The Recruitment Process

Source job TA Consultant Hiring Manager HRBP A TA Consultant will receive the job in their queue and will contact the Hiring Manager to write a job brief and write the job ad, then place the ad on agreed job sites. Hiring Manager Successful candidate The Recruitment Process Let’s quickly recap the end-to-end recruitment process. 6. Onboard New Starter The Hiring Manager and successful candidate will be assigned a range of onboarding tasks via UniHire to complete prior to and post commencement. TA Consultant Hiring Manager Selection Committee 1. Create PD Applications received Once identifying the need to recruit, the Hiring Manager will work with the local HRBP team to create a Position Description and Business case (if required). Identify need to recruit 4. Manage Applicants Job approved in UniHire The TA Consultant will work with the Hiring Manager and selection committee to review and filter applications. Once a shortlist of applicants has been reached, the TA Consultant will organise all logistics for interviews. Offer accepted PD PD approved & position created (if required) Hiring Manager 2. Create a job in UniHire TA Consultant Successful candidate 5. Make an Offer The Hiring Manager can create the job request in UniHire Once a suitable candidate has been chosen, your local HR Business Partnering team will work with the TA Consultant to draft the Offer Letter, and once approved, TA will contact the candidate with the offer. Create and Approve Position Description Create Job Request in UniHire Finalise Job Request and Advertise Manage Applicants and Conduct Interviews Job Offer and Acceptance Onboard New Starter Once identifying the need to recruit, the Hiring Manager will work with the local HR Business Partnering team to create a Position Description and Business Case (if required). Tips & Tricks Some faculties require Hiring Managers to create a Business Case before a Position Description can be drafted. Speak to your local HR Business Partnering team to determine your local requirements before commencing the recruitment process, especially for new positions. When drafting your Position Description, please ensure you have the latest PD template.

Create and Approve Position Description Create Job Request in UniHire Finalise Job Request and Advertise Manage Applicants and Conduct Interviews Job Offer and Acceptance Onboard New Starter Once the PD has been created and approved, the Hiring Manager can create the job request in UniHire. Tips & Tricks It is quicker for a Hiring Manager to create the job in UniHire as they will know the specifics of the job. Ensure you know whether the role is continuing or fixed term (if fixed term, know the end date), and know who needs to approve the job. Know who your Panel Members will be, inform them of possible involvement in the recruitment, and even block out some time in their calendars for future interviews. If position information is incorrect in UniHire (e.g. wrong Grade, Level, Reports To), do not submit the Job Request and contact your local HR Business Partnering team. If you realise you have made a mistake after submitting the Job Request in UniHire, contact your Talent Acquisition Consultant and they can update directly in UniHire.

Create and Approve Position Description Create Job Request in UniHire Finalise Job Request and Advertise Manage Applicants and Conduct Interviews Job Offer and Acceptance Onboard New Starter A TA Consultant will receive the job and contact the Hiring Manager to write a job brief / job ad, then advertise the job. Tips & Tricks If you have specifics you want included in your job (e.g. where you want the job advertised), please share this with your TA consultant during the job brief. If you want to write your own job ad, your Talent Acquisition Consultant can share sample job ads to guide your thinking on how you could recruit for this job and where it should be advertised. If the job is likely to be aimed at international candidates (and therefore has specific visa requirements), the job must be advertised for a minimum of 28 days to meet labour market testing requirements (mainly academic positions).

Create and Approve Position Description Create Job Request in UniHire Finalise Job Request and Advertise Manage Applicants and Conduct Interviews Job Offer and Acceptance Onboard New Starter The TA Consultant will work with the Hiring Manager to review and shortlist applications, then arrange for interviews between the Hiring Manager and candidate. Tips & Tricks Once an application has been received, you will not be able to see the application in UniHire until the TA Consultant has performed an initial pass review and removed candidates who do not meet basic requirements of the role. This avoids a Hiring Manager from having to review excessive applications. Once applications have been made visible for a Hiring Manager to view, you can perform the following tasks in UniHire: Review the candidate’s application and CV Progress the candidate to the next stage of the interview process Reject the candidate’s application, sending an automated to the applicant. On completing all interviews, the TA Consultant will contact the Hiring Manager and complete a Selection Committee Report on your behalf.

Once cleared, the HR Business Partnering team will draft an offer letter, and if approved, the TA Consultant will make the offer to the candidate. Tips & Tricks Make sure you think about the appropriate level and step you want to offer the successful candidate. Have a think about the most ideal date for the candidate to start. If a visa is required, the TA Consultant will liaise with your HR Business Partnering team to discuss suitable commencement dates.

Tips & Tricks As a Hiring Manager, you can view the onboarding tasks for yourself and candidates (My New Starters tab) You can customise the onboarding tasks to suit bespoke needs for your division / faculty, e.g. add training or compliance tasks for the candidate to complete prior to or post commencement.
