3 Main page Always starts with upcoming occasions as default
Put mouse over View to see the entire actual year or previous years Click on column header to sort the column Click on column information e.g. Date, Course name, City, etc. to get detailed information Click on to download participants per occasion

4 Courses Click on column header to sort the column
Category is also visible at the front page Click on to download all Interested and Participants per course (Interested has no date in column Occasion Date) Click on number beneath column header to see all Occasions and Interested In rectangular box the SortOrder per category is defined, remember to save with button “Save sortorder” at lower right corner A tick will appear in boxes if course is Internal or Published Internal: if ticked, only visible on Intranet (employees only) Published: if ticked, visible for customers

5 Courses – New Click on New in upper left corner – New course
Course name appears on front as you write it Owner will appear as contact towards customer, sender / receiver of mails Category defines where the course will be placed at front page Cost, no spacing is allowed Image1), visible at front SAP art. number appears in Invoice mail Link to evaluation: possibility to attach link for on-line evaluation e.g. Surveys Partner name: only to be used if a third party is involved Partner a copy of customer registration will be sent to this for notice Partner phone: only as contact information 1) See “Media & files” for more information

6 Courses – New Show subscription agreement, if box is ticked, the text will show on front at customer registration view, e.g. if customer has a subscription course is included. NB! Needs to be corrected at participant details Information: all text will show on front. (“§…§” is only to guide where to put the text – between the § marks remember to remove them incl. the dots.) Webex text for if filled in, this text will only show in confirmation to customer Internal: if box is ticked, only visible on Intranet (employees only) Published: if box is ticked, visible for customers Save with button “Add course” at lower right corner NB! The course has to be saved before it’s possible to add document. Add Document click on Course name to edit the course and add document by clicking on If document is added, it will be attached to the confirmation .

7 Courses – Edit Click on Course name to edit
Click on button “Update” to save changes Click on button “Delete” to permanently remove the course

8 Courses – Interested Click on number beneath “Interested”
Date when notice of interest was made Name, Company and City for the Interested Date when Interested mail ( Thank you for your…) was sent Date when Offer mail ( We can now offer you the following…) was sent Details of the interested To move interested to specific Occasion please put a tick in the box and scroll down to the occasion in the dropdown list “Move to occasion”

9 Occasions Click on column header to sort the column
Put mouse over View to see the entire actual year or previous years Days, the duration of the course Course name City where the occasion is held Owner and category of the course Participants registries / max. # participants, click to see participant view Click on to download participants per occasion Click on the date to edit occasion

10 Occasion – New New occasion - go to - edit course - click on New in upper left corner Course name appears automatically Location: the place where the course will be held e.g. at Schneider Electric or at other venue. Date: start and and to date, “to date” will automatically be the same as start date but is possible to override. Max. # participants can appear at front on Customer registration view, (optional, see “Settings”) Information: possibility to add default text, this text will follow in to leader as information. (equals text in Translations – TextBoxOccasionInformation) Internal notes: possibility to add default text, this text is only for admin reminder and will not appear anywhere else (equals text in Translations – TextBoxOccasionInternalNotes) Published: if box is ticked, visible on front. Click on button “Add” to save occasion To add new occasion direct, click on New occasion beneath Course name

11 Occasion – Edit Occasion must first be saved before leader or documents can be added Click on to add Leader Click on to add Documents If added it will be attached to Confirmation NB! To add new occasion direct, click on New occasion beneath Course name

12 Occasion – Participants
Put mouse over actions to see the options Date of registration, name, company of the participant Date when Confirmation, Reminder, Invoice mail was sent Date when certificate was created Details of the Participant Put a tick in the box to move the participant to either interested or a different occasion by using the drop down list at Move to occasion Click on to open participant details Real cost when 0 = standard price for the course, If Real cost actually is 0 you need to put a reason in Reason not Paid (Only to be used when Real cost is zero "0") Reasons is pre-defined in Translations Put a new price without space to override standard price

13 Occasion – Participant actions
s, confirmation, reminder and evaluation mail to participants. (All mails is pre-defined at Mails main menu but is possible to override per occasion) Invoice to the owner of the course Confirmation to manually print a confirmation on paper Certificate automatically takes all info from course and occasion Save occasion participants, click and save to Excel Save course participants, click and save to Excel Add new participant manually, remember also to send confirmation To move Participant to other Occasion / Interested put a tick in the box and scroll down to the occasion in the dropdown list “Move to occasion”

14 Locations Click on column header to sort the column
Click on number beneath Occasion to list all courses per location Click on Location name to edit New Location, click on New in upper left corner City will show on front page Courses Place, Address and City will appear on front page at Customer registration Location Link, possibility to insert a link to a map Address, do not add Zip code or City Route description will appear on front page Customer registration To attach a Document the Location first needs to be saved, then enter again by edit and click on Documents will be attached to both Confirmation and Reminder s

15 Certificates When a new course been added it automatically creates a certificate linked to the course with the title “CERTIFICATE NAME NOT SET” Write the certificate name as it should appear on the certificate Head text will always be printed with all caps as default Write the certificate text as it is, there is margins defined in the pdf. creator. Some adjustment may be needed, always use the “Preview” before printing the first time. If a different “logo” (Pelco by Schneider Electric) is required, use the “drop down” list and change.

NB! All changes here will reflect on ALL mails per country To design a specific mail: It has to be done by Occasion Put mouse over Select Mail in upper left corner to see the alternatives Confirmation mail is automatically sent at registration If a participant is manually added in admin, the confirmation also has to be manually sent Reminder mail is automatically sent to participants 3 days before course Offer mail is information to Interested when occasions have been created for the actual course Invoice mail is automatically sent to Owner the same day or last date of the course Evaluation mail is automatically sent to participants incl. the URL in course day after end of course. If not used no mail will be sent. Interested mail is automatically sent at registration

18 Leaders / owners Leader is the person who is the course leader per occasion Owner is the person responsible for the course. This person will act as contact person for the course and also receiver / sender of mail regarding the course Leader and owner can be the same person Put a tick in the box copy of registration if the leader wants to get a copy of all customer registrations for his/her occasions Put a tick in the box if the person is a Leader Put a tick in the box if the person is a Owner

19 Media & files Here it’s possible to upload all pictures and files Use jpg. and at least 190 px wide for pictures Click on New / New media to upload the specific file Please use a “Description” easy to understand for all users

Options If box “Interested sign up” is ticked, it will show on course registration If box “Number of sign up it” is ticked, will show on course registration If box “Create product sheet” is ticked, it will show on course registration If box “Catalogue download” is ticked, it will show on course front page Put mouse over Options to find Categories Categories Click on header to sort the column Click on to sort the Categories on the front page If box “Internal” is ticked, the course will only be visible internally If box “External” is ticked, the course will only be visible externally If box “Published” is ticked, the course will be visible to others than admin. according to other ticks in Internal or External boxes.

21 Translations Do not change if you are not fully aware of the impact your changes will have!
Any changes will effect the entire system per country Here all the translations in the front as well as at the admin pages is made

22 Statistics Specify the period, it always shows the whole actual year as default It’s possible to sort the statistics directly by Course, by Article number, Category, Owner and Reason Text. Use the to download an Excel file
