4 USAS-R Menu Menu above displays a user with USAS Group Manager Access (default) NOTE: USAS Access is customizable. The menu options displayed can be changed based on what you want a particular user to have access to. 4/7/2019

6 Grids Most data types show up in customizable grids
User able to select what appears, as well as order Grid is lazy loaded Meaning scroll down through all data and is loaded as you go No maximum records returned and no page numbers No limitation on fields they can query on Filter grid results from filter row Wildcard % Advanced query against any field related to data type Can be saved and recalled Available as filters in reports 4/7/2019

7 Grids - continued Grids can be: Customized Sorted Filtered

12 Users User accounts from Classic will be imported into USAS-R
Users option is under ‘System’ menu. Only users with USAS_USER or USPS_USER permissions will be able to create user accounts and/or change passwords. Assign a Role(s), Filter (USASEC), etc. Users are assigned one or more Roles.  The roles assigned to the user thus determine the access that user will have in the system. 4/7/2019

13 Roles Roles defined to represent the basic functions, responsibilities, or tasks of users in the district.   Each role is granted one or more "Permissions", each of which allows a specific functionality within the software.   For example, default Roles in USAS-R include SSDT encourages districts to create custom roles for their users. Allows much more flexibility and control over “who has access to what” in the system. 4/7/2019

14 Permissions When creating a role, there are many permissions that can be granted. For example, creating a Role for an AR user who creates receipts and refunds. To grant access to all options within receipts, I can click “USAS_RECEIPT”, which gives them access to create, delete, report, update and view receipts. 4/7/2019

15 Posting Periods Posting Periods is located under the 'Core' menu.
Allows flexibility to keep several months open within the same fiscal year... in order to post transactions in previous and/or future months. A rule can be enabled to restrict a period from being re-opened once it is closed.  Click on to open a period Click on to close a period Click on to make it the current period 4/7/2019

16 Req to check Requisition Convert Requisition Purchase Order AP Invoices (Legacy) Payables (INVLST) Disbursements 4/7/2019

17 USAS REPORTS Three ways to create reports:
Automatically using any of the grids Report Manager Available Template Reports Via your own Custom Reports Generate and download reports: Various output formats available: PDF, CSV, Excel, etx. report definitions to others Upload report definitions from others Share reports with others within your district USAS-R contains very dynamic reporting capabilities which allow you to select data from nearly any data type, filter the data, determine which columns to include on your report and the order of the columns, sort by any field, and do control breaks with totals.  You can output to a variety of formats including text, pdf, excel, and csv format, along with other lesser known formats, and select between portrait or landscape orientations.  The report criteria can be saved and recalled later.  The saved reports can also be shared with other district users via the role(s) they are granted, or downloaded and shared with other districts. Posting period is a period within a fiscal year for which transactions are posted.   When posting a transaction, transaction dates will be required to be in an open posting period.   You may have more than one period open simultaneously but only one period can be current.   An open period allows you to post transactions in that month.  The current period can be an open or closed period (you do not need to re-open a period to make it current).  The current period is used when calculating MTD and FYTD figures on accounts and reports.  In the example below, both July and August are open and August is my current period, so when viewing MTD figures in accounts or reports, they will reflect August amounts.  The current period is displayed at all times in USAS-R in the top right-hand corner of the screen and is also highlighted in the grid.  4/7/2019

18 BUDGETING The Budgeting menu offers interfaces to handle the budgeting processes involved in creating temporary and permanent estimates of expenditures and revenues. The interfaces include: Scenarios & Proposed Amounts 4/7/2019

19 Redesign’s FIVE YEAR FORECAST
Two options are available under the PERIODIC menu: The CSV option creates a comma separate value format that you can copy and paste into a five year forecast spreadsheet The EXCEL option creates an EXCEL formatted file that is automatically pulled in the SSDT Forecast spreadsheet! The parameter sheet is displayed by default and already pre-filled with the district name, county and fiscal year 4/7/2019
