2 Experience with Excel Spreadsheet and FY03 Data
Difficult to input data Difficult to print out and use (analysis, discussion) Difficult to double check numbers Experience with Excel: We worked with the Excel spreadsheet inputting and calculating the FY03 data. •Difficult to input data. We were trying to track data for several different programs. We had an extra large spreadsheet, so it was easy to lose the titles of the rows and columns. •Difficult to print out and use (18 pages of usage data taped together so we could double check the numbers; difficult to analyze data and discuss it with others. •Difficult to double check numbers (small numbers and rows, and pages taped together) 1/18/2019 National Agricultural Library - ALA Midwinter Meeting, Boston, MA

3 Objectives of the new database
Collect data for ARL; Keep it simple and easy to use; Assist individuals with tracking their data; Collect DigiTop data; Collect longitudinal data; Provide data “on demand”; and Make data accessible to many staff members. Objectives of the new database • Collect data for ARL Keep it simple and easy to use • Assist individuals with tracking their own data; • Assist with collecting usage data/accountability for DigiTop; (Explain DigiTop) • Assist NAL with collecting longitudinal data; • Provide data "on demand" in order to respond to Departmental or Congressional requests; • Make data accessible to many. 1/18/2019 National Agricultural Library - ALA Midwinter Meeting, Boston, MA

Starting EMET EMET startup provides access to forms for: Data Entry vs. Data Review Usage Subscription + Cost Digitization Maintenance Reporting References Here’s what EMET looks like: To input usage data or subscriptions and cost data, inputters use either the Data Entry Form or the Data Review Form 1/18/2019 National Agricultural Library - ALA Midwinter Meeting, Boston, MA

Starting EMET EMET startup provides access to forms for: Data Entry vs. Data Review Usage Subscription + Cost Digitization Maintenance Reporting References Here’s the Data Review Form—it looks and works exactly like the Data Entry Form. You may be thinking—why are there two forms that are alike. If someone has already entered some data on the form that I need to use, or if I need to make a correction, then I have to use the Data Review Form. 1/18/2019 National Agricultural Library - ALA Midwinter Meeting, Boston, MA

10 A Sampling of Usage Data: Silver Platter - Local (09/2004)
Separates DigiTop from NAL data. Provides access to read the definitions add/edit footnotes, and to save and exit The next 4 screen shots show usage data. This one is SilverPlatter Reference Sources that are mounted locally. Note: Capture data for two purposes: NAL and DigiTop Capture logins, queries and items requested on one data entry screen Have the ability to Read the ARL Measures and Definitions and to add footnotes from each screen 1/18/2019 National Agricultural Library - ALA Midwinter Meeting, Boston, MA

11 A Sampling of Usage Data: Web Sites & Catalogs (09/2004)
Captures Web Trends & HTTP analyze data. Here’s Usage Data for Web Sites & Catalogs - We list the sites separately so we remember to count each one - NAL captures most of its web site data through - We run the data through Web Trends software to capture the number of sessions (It requires a server to handle the Web Trends work, and it takes a lot of time.) - We also need to capture the "hits" to our web site and catalog because many other agencies report their web site “hits” When data are the same in both columns, programs are on a Unix server, and we are capturing data with analog software (It is better to under-report than to over-report) 1/18/2019 National Agricultural Library - ALA Midwinter Meeting, Boston, MA

12 Subscription & Cost Data
Let’s take a closer look at the Subscription + Cost Section We capture subscriptions and costs for: Electronic reference sources Journals, Full Text and Not Full Text Books 1/18/2019 National Agricultural Library - ALA Midwinter Meeting, Boston, MA

13 National Agricultural Library - ALA Midwinter Meeting, Boston, MA
A Sampling Subscription & Cost Data: Electronic Journals, Full Text (annual) Separates NAL from DigiTop Purchased Free Journals also provided as DBs. Subscription & Cost Data From this screen, we capture: NAL and DigiTop costs Number of journals purchased Number of journals received for free (we need to work on this free section—our Catalogers may want a separate screen for inputting titles) Total number of e-journals received Number of journals also provided as a database (and these get counted as reference sources 1/18/2019 National Agricultural Library - ALA Midwinter Meeting, Boston, MA

14 Digitizing Activities
Slowly working from left to right on EMET’s top page: Digitization Activities 1/18/2019 National Agricultural Library - ALA Midwinter Meeting, Boston, MA

15 Digitizing Activities (annual)
Here are the digitization activities for FY04. This section isn’t quite completed, so it may change. One thing we thought was important was to put the coverage period in so that we could track activities by year. The Organic Research Project, for instance, will continue. 1/18/2019 National Agricultural Library - ALA Midwinter Meeting, Boston, MA

Maintenance Here’s the Maintenance Portion of the Database - Add/Edit Resources - Add/Edit Footnotes - Add single record 1/18/2019 National Agricultural Library - ALA Midwinter Meeting, Boston, MA

17 Maintenance – Add/Edit Resources
This is the Add/Edit Resources Page - Title Reference Type has a pull down screen Source—we originally thought it was important to note vendors that provided the resources, or the servers the resources were on—but our thinking now is that this may not be important. Inactive box is important for the longitudinal data. If we delete something, we lose the title and the numbers for that fiscal year. If we inactivate the resource, the data remain on the system and are tallied in the totals. 1/18/2019 National Agricultural Library - ALA Midwinter Meeting, Boston, MA

18 Maintenance – Add/Edit Footnotes
Add/Edit Footnotes as data are being entered or all at once This is important for ARL and also for historical purposes—it helps us remember what we did last year! 1/18/2019 National Agricultural Library - ALA Midwinter Meeting, Boston, MA

19 Maintenance – Add single records
The data entry and data review forms are done as “batches” If you need to enter a new resource, you have to first go into - Add/Edit Resources and type in the title and assign a category to it (reference source, full text journal, etc.) Then you need to go into this Single Entry Record Form, and enter the data . 1/18/2019 National Agricultural Library - ALA Midwinter Meeting, Boston, MA
