2. Experience with Excel Spreadsheet and FY03 Data
Difficult to input data
Difficult to print out and use (analysis, discussion)
Difficult to double check numbers
Experience with Excel:
We worked with the Excel spreadsheet inputting and calculating the FY03 data.
•Difficult to input data. We were trying to track data for several different programs. We had an extra large spreadsheet, so it was easy to lose the titles of the rows and columns.
•Difficult to print out and use (18 pages of usage data taped together so we could double check the numbers; difficult to analyze data and discuss it with others.
•Difficult to double check numbers (small numbers and rows, and pages taped together)

Collect data for ARL;
Keep it simple and easy to use;
Assist individuals with tracking their data;
Collect DigiTop data;
Collect longitudinal data;
Provide data “on demand”; and
Make data accessible to many staff members.

• Assist NAL with collecting longitudinal data;
• Provide data "on demand" in order to respond to Departmental or Congressional requests;

Capture data for two purposes: NAL and DigiTop

11. A Sampling of Usage Data: Web Sites & Catalogs (09/2004)
Captures Web Trends & HTTP analyze data.
Here’s Usage Data for Web Sites & Catalogs
- We list the sites separately so we remember to count each one
- NAL captures most of its web site data through
- We run the data through Web Trends software to capture the number of sessions (It requires a server to handle the Web Trends work, and it takes a lot of time.)
- We also need to capture the "hits" to our web site and catalog because many other agencies report their web site “hits”
When data are the same in both columns, programs are on a Unix server, and we are capturing data with analog software
(It is better to under-report than to over-report)

This is the Add/Edit Resources Page
- Title
Reference Type has a pull down screen
Source—we originally thought it was important to note vendors that provided the resources, or the servers the resources were on—but our thinking now is that this may not be important.
Inactive box is important for the longitudinal data. If we delete something, we lose the title and the numbers for that fiscal year. If we inactivate the resource, the data remain on the system and are tallied in the totals.

The data entry and data review forms are done as “batches”
If you need to enter a new resource, you have to first go into
- Add/Edit Resources and type in the title and assign a category to it (reference source, full text journal, etc.)
Then you need to go into this Single Entry Record Form, and enter the data .
