1 Portal Tutorial (Career Services)
Using the PMI Portal Portal Tutorial (Career Services) Get started at my.pmi.edu This tutorial shows how the student portal was designed to interact with CampusVue Updates made in CampusVue are immediately available to the student The portal is a way for the student to view their record Student Portal CampusVue Using the PMI Portal This tutorial will instruct placement coordinators as to how the student portal was designed to interact with CampusVue. We’ll demonstrate how inputting various data into CampusVue will be reflected on the student portal. Remember that the portal is just a way for the student to view the record we create for them in CV. Also, keep in mind that updates you make in C V are immediately available to the student via the portal.

2 From the sign-in page of the PMI portal, the student will be prompted to enter a username and password. Their username consists of their fist initial, last name, birth month, and the last 3 digits of their SSN (just like their PMI address). The student’s password is their 8-digit birthdate. If your birthday is July 30, 1979 then your password is “ ” This is a recommended username and password. We encourage this format for 3 reasons: The first is professionalism. When you submit your resume or cover letter to employers, they can identify your more easily when it matches your name. Also, we want to discourage the use of inappropriate usernames such as Potential employers are unlikely to respond positively to applicants who identify themselves in this way. Second, IT support will be able to assist you if you ever forget your password. Lastly, PMI will eventually have a single sign-on for access to , portal, and Blackboard.

3 From the student’s portal home page, the career services advisor to whom they are assigned is shown in this box. If not, I’ll show you how to enter that information in CV. In CV, access the student’s account. Click Career Services, then Placements. Click the Exit Interview tab. To enter information, click Edit. Go to the drop-down menu for Career Services Advisor and make the correct selection. When you’re done, click Save.

4 If you need to notify the student of something they need to do—such as turning in immunization information, timesheets for externships, or other necessary documents—you can use CV to create a web alert that will pop up when the student signs into their portal account. First, access the student’s file. Go to Contact Manager then click Activity. Then click Add Activity. Under Assign to, select Lezah Joseph. To find your entry faster, you can type in the first letter of her last name to skip directly to that part of the list. Under Activity, select WP Web Alert. The subject will automatically populate with the type of activity you choose. It says WP Web Alert but let’s briefly specify what the alert is about. This is the information that will populate your Contact Manager screen upon log-in to CV. Enter the Due Date here. Use the Comments section to enter helpful instructions to the student such as directing the student on where to get the TB Test or where to go with their TB Test results. Then click Save. Now, in Lezah’s activities, the web alert should show up as “pending.” In the top menu, click Daily then Contact Manager. Click Contact Manager again. Under Staff Member, select Lezah Joseph. You’ll need to click Refresh to update the screen with Lezah’s Activities. You’ll see down here that Kara’s web alert does, in fact, show as “pending.” Now if we go to Kara’s portal account, we see that her web alert has popped up. Once she clicks “Acknowledge Alert,” the activity will show up in Lezah’s contact manager as “Closed.” If we go to Kara’s calendar in her portal account and go to the web alert’s due date of February 15th, we see here that it has automatically been entered in here for her.

5 You can set appointments for a student using CV
You can set appointments for a student using CV. These appointments will then show up in the student’s portal calendar. Let’s set up an exit interview between a student, Kara Bass, and her advisor, Lezah Joseph. Access the student’s profile and go to Contact Manager then select Activity. Select Add Activity. In Assign to, select Kara’s advisor, Lezah Joseph. Find the Exit Interview field using the drop-down menu. Make sure you have the right student. Select your interview date and a time frame. Use the comments section to include directions or details such as the interview location or what the student should bring. Then click Save. If we go to the calendar in Kara’s portal account, she can now see that she has an appointment scheduled that day.

6 CV and the portal interact to allow you to communicate with students via and text message. To do this, under My Profile, the student must first enter their personal information. SMS stands for Short Message Service. The student has the ability to opt in for receiving text messages. If, for whatever reason, a student has opted in but is unable to receive the text message, the text message will automatically be delivered to their . Now from CV, you can contact the student by going to the Student Master. If you wanted to send Kara a text message, you would click SMS but since that option is grayed out, it means she has not opted in to receive text messages. To send her an , click . When you’re finished composing your , click Send. The is now saved in the Activities section of the Contact Manager. If the is NOT sent successfully, this activity will show as “failed” so you may want to check here in case you need to send the message again or contact the student directly.

7 You can request a document from a student in CV and it will show up in their portal account. Then, from their portal account, they can upload the form. To notify the student, access their record, go to Contact Manager then Documents. Here, you can see what documents you currently have on file for Kara, what’s required, and what’s already been requested. To make a request, click Add Document and select what you need from the drop-down menu. Make sure that the fields highlighted in green—document, document status, and date requested—are accurate. Use the comments section to communicate any other instructions to the student then click Save. Now, let’s look at what Kara will see. When she goes to My Documents, Document Center, under Documents Due, she’ll see all the documents that are required of her. The document request we made in CV shows here along with its due date of February 15th. From here, Kara can also upload a document by clicking Browse then selecting a file from this window. When Kara submits a document, it will no longer show in the Document Due section as a required document. She can view any documents she has previously submitted by clicking here on View Previously Submitted Documents. Back in CV, by looking at document tracking for Kara Bass, we see that the status of our request now reads “Web Portal Submitted.” To view this document, click on it to highlight it then click Display Document. Click the magnifying glass icon to view the document.

8 From the PMI portal, Kara can upload her resume by going to My Career, My Resume. She must first select the type of file she would like to upload then click Browse to find where her file is located. Then Open. Then Upload. Now because Kara is a Tucson student, the Tucson Coordinator, Yolanda Arroyo, will receive a notice in her Activities that reads “WP Student Uploaded Resume.” In Kara’s activities, there will also be an activity “WP Student Uploaded Resume”. Make sure that you review the student’s resume as soon as possible and approve it. If it’s not approved, they won’t be able to submit their resume to any of the job postings on the portal and they will see a warning like this when they search for jobs. To review a resume, go to the student’s contact manager, then click Documents. Scroll to find the uploaded resume, then click Display Document. Then this icon View Document. If necessary, you can make revisions to the resume and click Save As. You must remember the location where you are saving the resume. To upload the revised resume, click this icon Clear Document Attachment then click this icon Upload Document. Note that if the student uploads another version of their resume, it will override the version we just uploaded. BUT this shouldn’t be a problem since you’ve saved your revised version to your hard drive. Now to approve a student’s resume, click on it then click Edit. From the Document Status drop-down menu, select On File. Then select the Date Approved if it hasn’t already been selected, and click Save.

9 To enter a student’s job skills in CV, access their file then select Career Services, Placement then select the Student Job Skills/Titles tab. To add or edit skills, click Edit. Now you can use the drop-down menu to add as many skills as you’d like on the left. On the right, select any applicable titles. In the near future, we hope to have options for certifications and licenses. If you need to delete an entry, click the arrow next to the entry to highlight it. Then press Delete on your keyboard. A window will pop up to confirm this action. Let’s click on the Preferences tab for a moment. Here, click Edit to specify the student’s industry and desired job location. If Kara currently lives in Tucson but would like to find a job in California, you can select both. The job skills and preferences that you select for the student will link them to employers with matching preferences. On the student’s end in the portal, they have the ability to enter their soft skills by clicking My Career then Employment Profile. Note that students cannot enter Program Skills but they CAN enter Soft Skills and Preferred Job Titles. When they click Let Employer View My Resume, the employer will be able to see the student’s student ID#, skills, and matching criteria.

10 Students can log in to the PMI portal to run a job search
Students can log in to the PMI portal to run a job search. From the home page, click on My Career then Job Search. Then just use the drop-down menus to fill out the form. Keep in mind that not all of these fields are required. So the more you choose, the more narrow your search is. To broaden your search, leave more fields blank. Click Search and all the match results appear. To get more details, click on the job post then click Job Details. Notice that this student has a warning telling them that their resume has not yet been approved by their advisor. Make sure to pay attention to all your web alerts so that you and your students are in constant communication.

11 Using the PMI Portal, any employer in our CV database can post a job for an opening at their company. When the placement coordinator adds the company to the database in CV, CV will automatically generate a “code.” Give the employer this code to use as their username when they sign into the portal. For example, let’s go to AccountTemps and double-click. Their code is acco0375. This pin in CampusVue, 1234, is their password for the portal is the portal password for all employers. If this field is not already populated in CV, please enter 1234 and save it. Note that an employer is not going to be able to log in to the portal and complete their profile unless the contact information has been entered in CV. To allow the employer to log in, check the box next to Allow Online Access. So when they sign into the portal, they will click Employer Portal Homepage. Then enter acco0375 in the username field then their password. The employer’s portal account opens to their Company Profile. This one is already entered but if it wasn’t or if they needed to make changes, they can click on Edit. Now make sure that a contact is entered. Click My Company then Contacts. To post a job, the employer will go to Jobs then Add New Job then enter the required fields. The employee should check the required Job Skills making sure to use this scroll bar to scroll down and check all that apply. This red star means that the employer must fill out this field before clicking Save. The record cannot be saved without including the contact information for the employer. Then click Save. Employers can also click View/Modify Jobs to make any changes. This employer currently has 3 job postings. To make changes, click on the posting then scroll down and click Edit.

12 An employer can also use the PMI portal to search for job candidates
An employer can also use the PMI portal to search for job candidates. To do this, click on Candidate Search, then Candidate Search again. Use the drop-down to select a job title. Then the portal will automatically populate the screen with students who match the job post preferences. Notice that only the student’s # appears. Click on the student # to see enrollment details and student skills. When an employer clicks “Inform Career Services,” that student’s career services coordinator receives an alert in her CV Activities. Go to Daily, Contact Manager then Contact Manager. In the window, select the staff member from the drop-down menu. In this case, Yolanda Arroyo. Click Refresh to see her activities. Find the alert that reads “WP Employer Candidate Search” and click on it. Then click Edit Activity. From this activity, Yolanda can look up the employer’s name or code in the database by going to Daily then Career Services then Employers. We’ll run a search on All Campuses. Then enter the employer’s code and hit enter on your keyboard or click Search. If she double-clicks on the search result, Yolanda will see the interested employer’s name, address, and phone number so she can make a follow-up call to the employer regarding their expressed interest. In which case, Yolanda should immediately fax the student’s cover letter and resume to the employer.
