3 Leading in an era of change
Slide Objective: Warm up. Land the reality of digital transformation happening. Connect with the audience. Establish credibility. Set expectations. Field Guidance: Use talking points to get comfortable with the narrative, but try to make it yours, personalize it, and avoid a formal presentation setting. Use slides as a visual support, but make sure to make this meeting an interactive conversation, a dialog. For example, use a whiteboard if you can. Share personal examples (as an employee) throughout the deck on how you experience our transformation and the communications inside Microsoft. Share customer examples from official case studies, your personal engagements, or the CSM community, and seek support from Microsoft HR Professionals for deep dives on this topic as well as Microsoft HR resources to share our learnings while shaping our new culture. Try to understand how does this change materializes itself for this organization or specific department. Is it a big cultural shift like at Microsoft? Is it a change of tools and processes only? Try to understand where is your customer in the spectrum of “change”. Talk Track Example: The world is changing, rapidly, and digital transformation is now a reality. There is no doubt about it. We feel it everyday. Do you feel it too? Your organization is most likely going through this change right now and so are thousands of our enterprise customers, worldwide. And so are we at Microsoft too! We know from first hands experience that going through this transformation, changing how we think, interact, operate, collaborate, can open new doors and create many new opportunities… we also know how difficult it can be at times to live through this change, as employees, because we (as in people) tend to be resistant to change. So how do you mitigate this for your employees ? How do you get buy-in and encourage change agents within your organization ? How do you communicate about your company vision, the opportunities ahead, engage and ensure that everyone's voice is heard, feedback captured, and initiatives are adjusted based on the signals you hear from the frontlines ? How do you lead in an era of change ? At Microsoft, we believe that for any organization to succeed in its digital transformation, the focus needs to be on its people first. We know how crucial it is to keep employees engaged as we continue to evolve and adjust to this new era.

4 Engaged employees are crucial to success
15% of employees are engaged worldwide 70% employees are engaged at best performing companies 21% more profit in business units with most engaged employees Slide Objective: Initiate the conversation about this specific customer’s needs. Field Guidance: Probe this slide to open up the conversation and ask open ended questions to understand the situation in your account. Understand what’s top of mind for your audience and tailor the rest of the presentation accordingly to make it more personal. Questions examples available below. Customize slide based on local or more relevant data, visit and Talk Track Example: Engaged employees are not only important for navigating in an era of change. A highly engaged workforce means the difference between a company that outperforms its competitors. Research from Gallup shows that it directly leads to higher performing employees, higher quality of work, and higher profits for your organization. “Engaged employee” is an index that can be measured through survey. But how do you view employee engagement? As a satisfaction survey or as a business strategy? The former produces a number. The latter produces results. (Source: Based on Gallup’s report, only 15% of employees worldwide are actually “engaged”. Of course there are variations by countries. For example, 33% of US employees are engaged at work compared to 8% of British employees in 2016 vs 17% in Why this decline? Gallup has directly correlated it to weak corporate culture (Source: the article also shows % of Employees Who Are Engaged at Work: U.S. and Selected European Countries, 2016 so you can use more relevant numbers) Our Chief People Officer, Kathleen Hogan, often says that culture is the new currency. When faced with the scarcity of talent and the competition against other companies to attract and retain the right people – the key differentiator doesn’t come down to money and benefits – it’s culture. When you think about it, corporate culture really guides how employees behave and work, which ultimately drives the entire success – or failure – of the organization. Culture is incredibly important. HR and Corporate Comms are in the unique position to set the tone of their corporate cultures, and drive initiatives to increase employee engagement. I’m curious to hear more about how you think about what are the initiatives or programs currently in place? Engagement questions: How is your company defining employee engagement? What does it look like? How does your company measure and improve employee engagement? Do your employees believe their voices are heard? Do you KNOW if your employees feel their voices are heard? Can employees help dictate the strategic direction of the company? Are you attractive as employer for millennials and do they have the right tools? Do you have a solution in place for people that like to work without ? What is your new employee turnover and onboarding experience? Do you have many contractors, vendors or frontline workers? Do you have flexible vacations policies? Leadership engagement questions: What are the typical ways your leadership connects with employees? Is it mostly one-way communication (sending out s, memos, etc.), from the top down? Can your CEO connect with employees in all openness and transparency? Source: Source: Gallup

5 Why foster a new culture of work?
Leverage employee engagement and communications Adjust initiatives faster based on people insights Inspire employees by articulating a consistent and clear vision Get stronger engagement across your organization React to workforce needs more quickly Foster creativity, ideation, and innovation Slide Objective: Land the business benefits of driving employee engagement. Field Guidance: Lead with business outcomes and weave in product capabilities/differentiators in the talk track. Do not name apps/services/features unless customer asks or names it first to avoid overwhelming them and confusion. Apps and services needed for those capabilities are captured in parenthesis for your knowledge. Talk Track Example: We’ve talked about why employee engagement is so critical. Now, I want to touch on some of the specific business outcomes of implementing such a solution. But first, I want to make it clear that this is all technology you already own through Microsoft 365. I’m not here to try and sell you anything else – we want to make sure you’re aware of all its capabilities. I’m here to help you get the most out of it, to show you how it works, and lay out a plan to help get you there. One of the core levers to drive engagement is when employees understand the vision of the company and how their job accrues to that vision. We can provide your leadership team and employees with an interactive and social immersive interface that can be one of your vehicles for this (Yammer and Skype’s broadcast capabilities). With ongoing dialog (Yammer or Skype broadcast) and built-in insights and social listening tools (resp. Yammer group insights and Pulse in Skype broadcast) you can adjust your initiatives faster and react to workforce needs more quickly. Leverage the same experience to foster a new culture of work that fosters creativity, ideation, and innovation across your organization. By shaping the behaviors that you want to see, you can empower employees, break down siloes, and get stronger engagement across your organization. All of this of course in a complete secure and compliant end-to-end solution that allows you to securely manage access and prevent confidential information to leak. So how to get started?

6 Opportunities Leadership connection Community of interest or practice
Engage your frontline Ideation and innovation [Optional] Slide Objective: Pivot to the overview of the scenario Field Guidance: Lead with Leadership Connections while painting the picture of what else is available Tailor conversation based on audience interest Use Macy’s public case story on how they are using workplace analytics to improve employee engagement: Talk Track Example: We’ve talked about the trends, the principles, the benefits. Now let’s talk about how the technology can help you achieve your goals and simple steps to get there. There are four solutions areas we see companies adopting to help foster a new culture of work. The same technical capabilities can be used to enable all four and many more. Let’s focus on the first in this presentation – Leadership Connection – Having leadership connect and engage with employees across every geography is paramount. Microsoft is a great example of leadership actively engaging with employees and doing it consistently. Once a month, Satya holds a town hall meeting for all the 120,000 plus employees to speak directly with us and answer our questions. A few can join in person – but the large majority attend the event virtually via an engaging and immersive experience. We can share our ideas and thoughts about what Satya is saying. Ask questions. That engagement helps our Leadership team understand what resonates and what doesn’t. Through these technologies, we are now more deeply engaged and are helping shape company culture faster than ever before. Data helps dispel myths that might hold companies back in areas like recruiting and retention. At Microsoft, we’re using predictive analytics to help us foresee what factors may drive employee attrition, and we use those findings to feed and nurture our culture. We also use people analytics to gain insights and correlations around things like the power of your peer network, talent and performance over time – even assessing manager behaviors and effectiveness. Our leaders can access diversity dashboards showing fresh data on retention and recruiting as well as survey results and sentiments around inclusion. (PowerBI) Let’s see what all this actually looks like.

7 Leadership connection
Facilitate connections between leaders and employees See what’s top of mind in your workforce Be transparent and model behaviors you want to see Seek feedback, act accordingly, and measure response Slide Objective: Recap demo, showcase what Microsoft 365 can do to help leadership listen to employees. Field Guidance: Lead with business outcomes and weave in product capabilities/differentiators in the talk track. Do not name apps/services/features unless customer ask or name it first to avoid overwhelming them and confusion. Apps and services needed for those capabilities are captured in parenthesis for your knowledge. Weave in competitive differentiators as needed. Talk Track Example: It all starts with active listening. Our solution provides you with a secure social experience that allows you to stay connected with your frontline workers, you can at any moment tap into the zeitgeist of your corporation, you can see what’s trending and what people are having issues with. It’s a great way to flatten your organization because it connects all kinds of employees – everyone is on one platform for communicating. You can engage through various tactics, such as conversations, events, polls, announcements. You can share digital content like videos or files that can be streamed or viewed right from this feed. Think about the power of built-in integration of Office, allowing everyone to view and consume documents, presentations, spreadsheets, right there in one click and on any device. Group insights allow you to see how many people are posting, reading, and linking your posts. One of our customers, Red Robin, is using Yammer across the board for a number of initiatives and to engage with frontline workers. But it’s not just restaurant staff who feel more plugged in to operations because of Yammer—it’s corporate executives, too. CEO Carley uses the network for everything from posting videos about business results to “liking” employee successes singled out by Yammer’s Praise feature. “But the number one thing I use Yammer for is to feel the pulse of the business from the perspective of front-line team members,” he says. “That’s invaluable to me.” Source: Competitive Differentiator(s) - use as needed: Microsoft offers dedicated firstline worker plans to put them on a common platform with the rest of the company while empowering them with fully integrated toolset to be productive, part of the culture and community and ensure access to training and video content. Unlike other social tools on the market, Yammer in Office 365 is built to help you get work done while connecting across the organization, as it includes integrated tools like a shared SharePoint site, document library, Calendar, Planner and OneNote, and time-saving features like a personal inbox and strong search capabilities.

8 The connections Grundfos employees make—from top to bottom and back—drive collaboration, knowledge sharing, and innovation across the company. Mads Nipper, Chief Executive Officer, Grundfos Source: Slide Objective: Make these concepts real through a customer example. Talk Track Example: I want to quickly share an example of our customer that’s finding new ways of engaging with its employees using Microsoft 365. A renowned innovator of pump and clean water technology with 83 sub-companies around the world, Grundfos needs to provide the same level of quick, highly secure data access for its global partners, its technical teams working in remote areas with limited infrastructure, and its design groups in the home office. The company stores standardized files on Microsoft OneDrive for Business, manages and shares files with SharePoint Online, and uses Yammer to help employees collaborate within and across teams in real time. Mads Nipper, Chief Executive Officer at Grundfos, posts a blog on Yammer about his visits to customers, field employees, stakeholders, and facilities around the world. Employees respond to his posts using the Yammer app on their smartphones. The connections Grundfos employees make—from top to bottom and back—drive collaboration, knowledge sharing, and innovation across the company.

9 Community of interest or practice
Help employees learn from the best practices and learnings of each other Connect people with common issues or goals Identify and share expertise across departments or teams Slide Objective: Recap demo, showcase what Microsoft 365 can do to help leadership listen to employees. 10 By reducing the barriers to connecting the talents of our global workforce, employees can work better together for our clients. Gideon Kay, Chief Information Officer, Dentsu Aegis Network Source: Slide Objective: Make these concepts real through a customer example. Talk Track Example: Dentsu Aegis Network is a global network of creative agencies. Their leadership team has found Yammer to be great for asking questions in real time during their town hall sessions, where they use Skype Broadcast to reach hundreds of employees with quarterly updates. Previously, they sent this information out via , and the field had no real opportunity to respond to it.

11 Engage your firstline Give employees in your front line to provide feedback and escalate issues Help employees communicate between team, shifts and locations Break down silos so that you can harness the collective knowledge of your front line Keep every employee in the know about important updates Slide Objective: Recap demo, showcase what Microsoft 365 can do to help leadership listen to employees. 13 Ideation and Innovation
Develop new products and keep up with competitions Improve process to react to changing markets Ensure hierarchy doesn’t act as a barrier to the fluid exchange of ideas Encourage collaboration between cross functional and geographically dispersed teams Slide Objective: Recap demo, showcase what Microsoft 365 can do to help leadership listen to employees. 14 We’ve put Office 365 at the heart of how we enable our people to share their local knowledge and build our global brand to provide customers with leading-edge services in a digital age. Russell Sheldon, CIO, SVP HR Consulting, NGA Human Resources Source: Slide Objective: Make these concepts real through a customer example. Talk Track Example: Another one is NGA HR, an outsourced HR agency. Their senior leadership is keeping their teams aligned with corporate directives much more easily thanks to video calls and Yammer. For example, one senior VP’s quarterly meeting with 150 managers has been transformed from a top-down, one-directional message to a lively exchange of ideas born out of local experience from all over the world. This is because they use Skype for Business Online and Yammer. They can poll and come up with innovative ideas in real time on topics they wouldn’t normally get to. Now people are expressing their thoughts and contributing more to the company.
