1 What is Expected from our Districts
Minimum Standards for Districts

2 Growth Growth plan for 3 year period:
Achieve net growth over a 3 year period Minimum members in a district: 400 Minimum clubs per district: 15 Growth

3 Leadership Development
Develop a 3-year leadership plan of succession District board members should attend all district meetings. 33% of clubs should be at district conventions/conferences. Majority of club presidents-elect should receive leadership training, i.e. Exchange University or other training. Majority of district board should receive leadership training. District president must attend National Leadership Summit. District president-elect must attend Mid-Year Leadership Summit. District president and president-elect should attend National Convention. 4 Service Programs Programs of Service and National Project
25% of a district’s clubs should earn the National Service Award. 50% of a district’s clubs should participate in child abuse prevention projects. District should develop an awards program that recognizes exemplary and innovative activities of the district’s clubs. Service Programs

5 Training Leadership and Member Trainings
District and club officers should complete Exchange University modules. Provide consistent and meaningful district and club officer training opportunities. Provide Exchange education programs. Training

6 Administration and Finance
Hold at least 3 board meetings that are attended by a majority of district board members. Prepare and approve district’s annual operating budget by July 1. District president must file timely monthly reports. Annual audit of district financial records must be completed by October 31. District newsletter should be published at least 3 times each year. 7 Have we submitted a progress report to Exchange’s National Headquarters, along with an action plan to The National Exchange Club Board of Directors? Has your regional vice president reviewed your growth plan and given feedback and assistance? Has your district board committed to meeting at least the minimum standards each year? Are the District Minimum Standards on your board agenda for each meeting, and are updates and progress discussed? Growth: have you considered merging with another district, within the district or growing Exchange within your district? All district goals should be achievable and realistic. This is the 3rd year that Exchange’s National Board of Directors has worked with districts. Where are you? You will be held accountable for achieving your goals and meeting the minimum standards. 9 Growth What can we do? Do we have a 3-year growth plan?
Does our district have the members to meet the standards? Do we have the minimum number of clubs? What can we do? Set reasonable goals. Year-round recruiting, ask prospective new members, identify those who have like minds, market what we do in our clubs, use social media, and brainstorm. Identify places in your area that need an Exchange Club. Find a key person to help charter a club and JUST DO IT! Growth

10 Leadership What can we do?
Do we have a leadership development plan in place? Do a majority of district board members attend meetings? Do 33% of clubs attend conventions and conferences? Do a majority of district club members complete training opportunities, i.e. Exchange University? Do a majority of district and club officers receive training? Does the district president attend the National Leadership Summit? Does the district president-elect attend the Mid-Year Leadership Summit? Do the district president and district president-elect attend the National Convention? What can we do? Easy: Provide opportunities for training or make sure they know about Exchange University, provide funds for travel, have district directors conduct trainings in clubs or within their areas. 11 Service Programs What do we Need to Do?
Do 25% of clubs earn the National Service Award? Do 50% of the clubs conduct a child abuse prevention projects? Do we have district awards in place? What do we Need to Do? Encourage every club to report projects to Exchange’s National Headquarters. If they don’t do it, have district directors do it for them – or , YOU do it for them. Establish district awards program, if you don’t have one. Service Programs

12 Do we provide opportunities for club and district training?
Do we orient our new members? Do we provide training for our members? What can we do? Communicate to district and club officers about Exchange University and how they can receive the needed training. Provide training at a board meetings and conferences. Have district directors provide periodic training for clubs and members. Training

13 Administration and Finance
Do we hold 3 district board meetings each year? Do we have a district budget which is approved each year? Do the district president and district president-elect submit monthly reports? Do we have a district newsletter that goes out 3 times/year? What can we do? District president sets a calendar for the administrative year. District president and board set a balanced budget and get it approved. District president and district president-elect send in monthly reports; due by the 5th of each month. Assign a person to do a newsletter and ask clubs/members to submit items for it. District president, president-elect, and regional vice president can all have a place for a few short sentences. 15 If you haven’t done a 3-year plan …
what is stopping you? It is simple. Make it achievable and realistic. Get the district board and clubs to take ownership in the plan. Share the plan with everyone.
