15 Authorized Compensatory Absences (ACA)
ACA Accruals: Employees accrue ACA each pay period ACA accrues at the hourly rate of approximately .0577 Blackout Days must be approved in writing and in advance. ACA absences are restricted on these days: First five (5) instructional days of school The first instructional day of each quarter The day prior to the Thanksgiving Holiday State-mandated testing dates (excluding makeup testing) Last two (2) instructional days of the school year Bereavement Absence Benefit for ESP employees who are benefits eligible (20 hours or more/week): Up to three (3) days per annum, District-paid, due to a death of an immediate family member (as defined in ESP Meet and Confer) A d i s t r i c t o f e x c e l l i n g s c h o o l s

16 Absence Reporting For School-Based Education Support Professionals
(ESP) All absences must be reported in the Absence Management system even if a sub is not needed. Specify your work hours, otherwise, the system defaults to a full school day. Absences should be reported as soon as possible. Prior to being absent, verify with your site Administrator to determine if your position requires a substitute. If so, subs are requested through Absence Management system. Leave of Absence Employees may use up to ten (10) consecutive ACA days for eligible absences. If you will be absent from work longer than ten (10) consecutive work days, or you do not have accrued ACA to use, contact Human Resources right away, to inquire about an authorized Leave of Absence. FMLA regulations require a 30-day notification to the employer of the need for leave of absence. 20 Mandatory Training Federal and State laws require school district employees to be trained on topics related to the workplace and students.  Mandatory Training includes such topics as Sexual Harassment, Mandatory Child Abuse Reporting, and Bloodborne Pathogens Kyrene offers training online through the iVisions Portal and all modules are to be completed during your work hours Each module takes from 5 to10 minutes to complete Training is completed by all employees each year, and for new employees within the first 30 days of employment A d i s t r i c t o f e x c e l l i n g s c h o o l s

22 Kronos Time Clock System & FLSA
The Fair Labor Standards Act [FLSA] addresses minimum wage, child labor standards, overtime pay and the accurate record-keeping of exact hours employees work. All ESP employees clock in and out using the Kronos time clock in a central location at their job site, including when they leave and return from lunch. ESP Meet & Confer defines break and lunch periods. Kronos calculates work hours weekly which are transferred to Kyrene’s payroll system Employees are held accountable for reporting missed punches to the school or department secretary. Non-exempt (hourly) employees are not allowed to “donate” their time. FLSA states: “Hours worked include all the time during which an employee is required to be on the employer’s premises, on duty, or at a prescribed workplace.” A d i s t r i c t o f e x c e l l i n g s c h o o l s

25 BENEFIT ENROLLMENT PROCESS
New Hire Benefit Eligibility – 30 hours per week Log in to iVisions to enroll – required even if declining Complete enrollment within 31 days of the first day of work* Waiting Period: 1st of the month following 60 days of employment i.e. Hire date 7/20, benefits effective 10/1 District paid medical plan allowance covers full cost of employee only Health Savings Account or Base PPO medical plans Benefit payroll deductions 20 deductions; August – May, 10 month school site staff 24 deductions; July – June, 12 month year round staff * Failure to complete enrollment within the 31 days results in automatic enrollment in the Base PPO medical plan. Employees who work 30 or more hours per week in all positions combined may be or may become eligible for employee benefits. If you are a new hire your Employment Specialist may have indicated to you if you are benefits eligible now. Employees who are eligible have 31 days from their first day of work to log in to their iVisions self service portal to enroll. All eligible employees are required to complete the enrollment, to either elect or waive our offer of benefits. The waiting period for benefits to go into effect is the 1st of the month following 60 days of employment. For example if you are hired July 20, your elected benefits will go into effect October 1. Kyrene School District offers an employee medical plan allowance in the amount of $4,992 this year which fully covers the annual cost of employee only medical insurance on two of our medical plan offerings. We will discuss the plans in a moment. For employees who work a 10 month contract which is generally most school site based staff have 20 pay check deductions for their insurance benefits. On a full year, deductions begin at the end of August, and the last deduction is taken at the end of May. The benefit plans themselves have a plan year of July 1 through June 30. This means that you do have benefits through the summer months, as you will have pre-paid for the month of August. For 12 month employees, you will have 24 paycheck deductions.
