Tina Jerzyk - Ariba Welcome everyone to Contract Management training. Note that everyone should have completed Procurement Workspace training before attending this course.

2 Contract Workspace Overview
Before we move further along in creating the contract workspace, let’s get familiar with its components. Module 2

3 Contract Workspace Overview
System-generated workspace ID. Project name and type. Number of incomplete required tasks. Project Tabs: Overview Documents Tasks Team Message Board History The Overview tab contains all the data you entered on the contract creation screen. You can tell the difference between a contract workspace and a sourcing project by looking at the project type in the top left corner. The contract workspace number or ID, which will always start with a CW, is displayed at the top right corner. Below that is the number of incomplete tasks. This number will decrease as you complete tasks required to create and execute your contract.

4 Overview Tab The basic details about the project are found in the Overview tab. The Process section lists the key project phases included on the Tasks tab. Note: All phases will be marked with red exclamation points until you begin working on the tasks and set due dates. The Process porlet at the top of the right column shows all the phases and tasks required to complete your contract. This list mirrors the Tasks tab.

5 Edit Workspace Overview
Project Overview details can be edited from the Actions link. Edit when: Commodity / service changes Originating department changes Project owner changes You want to change templates The Project Overview captures some of the data you entered on the contract creation screen. You can edit that data at any time during contract development by clicking Actions and selecting Edit Overview.

Contract Attributes can be edited from the Actions link. Edit when: Contract attributes change Publish the contract workspace Amend the contract workspace The Contract Attributes portlet captures additional data you entered on the contract creation screen. You can edit that data at any time during contract development by clicking Actions and selecting Edit Contract Attributes.

7 Edit Workspace Overview
Contract Term Attributes can be edited from the Actions link. Edit when: Term type changes Contract start date changes Contract expiration date changes Add notification recipients Adjust notification periods The Contract Term Attributes captures the rest of the data you entered on the contract creation screen. You can edit that data at any time during contract development by clicking Actions and selecting Edit Contract Term Attributes.

8 Documents Tab The Documents tab is the home of all Contract Workspace files, including any contract documents. Any type: .docx, .pptx, .xlsx, .pdf, .jpg, etc can be added. [Read the slide]

9 Tasks Tab The Tasks tab is your checklist for completing the contract. More than one task may be in progress at one time. See the task owner. Click the name of the task to start or complete it. [Read the slide] Asterisk indicates a required task. Review the task status.

10 Team Tab The Team tab lists all groups and users that can access the contract workspace. Click Actions and select Edit to add/change group members. [Read the slide]

11 Message Board The Message Board tab allows you to capture s from Outlook in the contract workspace. [Read the slide] To forward an to the message board: Click Post via . Select and copy the link that appears. This is the unique address for this contract workspace. Paste the link into the To field in the . Click Send. The will appear at the top of the Topics list.
