Welcome to our first lunch & learn session, these sessions are designed to deliver a quick training or overview of a Campus Solutions topic. Today’s topic is the Student Services Center. I am Crystal Tangsrud. I am a Business Analyst for Financial Aid in Campus Solutions. Co-presenting with me is Heather Hoyt, a business analyst for Admissions and Campus Community. We also hope to have a guest appearance from Tom McNaughton the Director of the Student Information System during our question an answer period. He’s currently traveling back from a conference and was unable to be on the for the beginning of the presentation. But he did send a statement I’d like to read to you…

3 Welcome! Welcome to the first of our monthly webinars hosted by the Campus Solutions Business Analysts. We have recently activated a functional component called the Student Services Center or “Student Center.” Today’s webinar will cover the basic delivered functions and how to use them to benefit your students. In addition we’ll talk through access and finally have time for questions and answers as it relates to the Student Center. This is delivered functionality that allows for additional viewing of student data than most are accustomed to. Therefore, we asked for a NDUS legal review as well as a FERPA opinion, both of which have come back supporting this System-wide functionality. 5 Introduction to Student Services Center
You will be able to see data from other institutions for students who have applied to your institution AND have attended other institutions. The “Student Center” tab is different than the other tabs. It is an administrative view of the Student Center and not an exact copy. It’s a tool to help assist students and also to view things in a different way. You cannot do anything in the Student Center tab that the student is responsible for such as signing their Financial Obligation Agreement. -You will, however, be able to see data from other institutions for students who have applied to your institution that have attended other institutions. To say this another way you won’t be able to everyone’s information. You can only view information for other schools on your students who also happened to have attended another NDUS institution. -The “Student Center” tab is different than the other tabs. -It is an administrative view of the Student Center and not an exact copy. The Student Center tab is like what the student sees. The student would be able to see all institutions and modules. So your admin view will see all institutions and modules for your students. The student doesn’t get the other tabs we’ll cover so they act just like all other security. -It’s a tool to help assist students and also to view things in a different way. Much of the information here, especially on the other tabs, are just the same thing you can already see displayed in a different way. There are a few exceptions which we will point out. -You cannot do anything in the Student Center tab that the student is responsible for such as signing their Financial Obligation Agreement. The ability to complete a task for a student is not an option. This is an admin view and many features or locked down so you are unable to complete the task for them. Revised- Post Presentation

6 Student Center Main Menu > Campus Community > Student Services Ctr (Student) This is an overview of all the information in one location, similar to how the student would see their Student Center information. There are three main categories that we will discuss; Academics, Finance and Personal Information, along with a side bar of quick information including Holds, To Do List, Enrollment dates, Advisors and Student Communications.

7 Academics View of current class schedule My Class Schedule
Shopping Cart My Planner Academics: This section of the Student Services Center allows you to view the current terms class schedule for the student. If the student is not enrolled, you would see a message stating that the student is not enrolled in classes and you would see the links. These links available for more course schedule information are My Class Schedule, the Shopping Cart, and My Planner. We can take a look into these links to see what information can be found within them.

8 Academics – My Class Schedule
View of current class schedule Specific class information The My Class Schedule is just a more in depth breakdown of the current class schedule on the main student view page. This view allows you to see the credits, instructor, course delivery, dates and the ability to display in other views like a weekly calendar vs a list. As you can see, there just a little more information than what was on the first screen.

9 Academics – Shopping Cart
Now onto the Shopping Cart - Here is a view of what a student as enrolled in, has dropped or included in a wait list for. You can assist students with the ability to find this information all in one location. You can see here that this student had two courses in their shopping cart that were closed and unable to complete registration for. View of what a student has Enrolled, Dropped or put into a Wait List.

10 Finances Both Student Financials and Financial Aid section.
Will give you detailed information about the student’s bill and aid at any institution they attended. You cannot complete any actions for the student: Enroll in Direct Deposit Pay Online Grant online consent for 1098-T Sign the Financial Obligation Agreement Accept/Decline Financial Aid

11 Finances - Account Inquiry
This page will show you what the student owes by term by campus.

12 Finances - Account Summary
Account Summary is our custom summary page that shows the breakdown of all fees and payments by institution by term.

13 Finances - Enroll in Direct Deposit
Enroll in Direct Deposit is where the student would enroll to receive refunds via Direct Deposit. Links have been disabled here to disallow enrollment as the student.

14 Finances - Pay Online Now
Pay Online Now is where the student would connect to TouchNet to make a payment online, view eBills, etc. The link to connect has been disabled.

15 Finances - Student Account Detail
Student Account Detail will show the Customer Account screen for any institution for which the student has activity.

16 Finances - View 1098-T Info View 1098-T Info will show the student’s 1098-T info from all campuses. The ability to grant consent has been disabled on this screen.

17 Finances - Financial Obligation Agreement
Financial Obligation Agreement is where the student would sign his/her financial obligation agreement. The ability to sign the agreement has been disabled.

18 Finances - View Financial Aid
When students click on “View Financial Aid” they are directed to a page that has them select an aid year. Once an aid year is selected they will see an Award Summary. This summary has lots of helpful links for students that you can direct them to. This is also the only place you can view their Shopping Sheet. Please note you are not able to accept/decline awards for the student. Oracle does not even allow the link to appear for this in the administrative view.

19 Personal Information View of only Home Address, Phone and Address Demographic Data Photo Available Emergency Contact The personal information is a view of the students HOME information, if available. You can also view their demographic information, which includes the student photo (if loaded) and all of the bio-demo information pertaining to gender, DOB, birth information, ethnicity, and more. Students can also choose to have an emergency contact listed and can be found within that specific link.

20 Holds for all functions and institution appear here.
Side Bar - Holds Now onto the Side Bar. We will begin with the Holds. If the student has a hold, you would click on details for more information regarding those holds. Here you can see all the holds placed by any department. Clicking on the Hold Item will give you a detail of that specific hold. Holds for all functions and institution appear here.

21 Side Bar- To Do List The “To Do List” provides a list of pending/incomplete items or tasks the student needs to complete. This will show from all functions and institutions.

22 To Do – Enrollment Date Open Enrollment Scheduled Appointments
Term Credit Limits The Enrollment Dates section would allow you to view any appointments and enrollment dates available for the student. These enrollment dates are by session so you can select the term and change that view if available. You are also able to view the term enrollment limits set for that term and campus.

23 To Do - Advisor Students Advisors by Program and Institution.
If an advisory has been assigned, you will be able to view those assigned by program and career. The side bar view may only show one, so click on the details link for more information. Students Advisors by Program and Institution.

24 Side Bar- Student Communications
This is a modification that NDUS made to the Student Center that allows students to see the communications that are sent to them out of CS. This will show from all functions and institutions. If you view a communication it will not mark it as “read,” so the student will still receive a pop-up notification about un- read communications.

25 General Info Tab Personal Information is seen here
The student’s name, EMPLID and service indicators (positive, negative and FERPA) are found at the top of the page. This section contains information regarding the following: Service indicators; Initiated Checklists; Student Groups; Personal Data; National ID; Names; Addresses; Phones and Addresses. One thing to be reminded of as we continue this presentation is the following specific tabs are not seen to the student in their student view and are secured down a bit more than the Student Center tab we just reviewed. This is dependent on your security. The same Personal Information as the small section on the main viewing page is found on this “General Info” tab with a bit more detail. This section contains information regarding the following: Service indicators; Initiated Checklists; Student Groups; Personal Data; National ID; Names; Addresses; Phones and Addresses. The hyperlinks at the top will take you to that location within this page, it will not take you to another location within PeopleSoft. The student’s name, EMPLID and service indicators (positive, negative and FERPA) are found at the top of the page, followed by any checklists in any function assigned to the student. All of the names, addresses, phone numbers and addresses are found at the bottom.

26 Admissions Tab Information includes the career(s), program/plan
The admissions tab includes the application information that the student completed when they applied to that institution. You will be able to see multiple applications within your institution and at others the student applied to. Remember, even though you can see this information on this screen, you are unable to go to that specific admission information if you don’t have security.

27 Admissions Tab - Cont. Applicant Progression External Education
Movement through the application process External Education Previous Schools Attended The applicant progression is specific to each application. The External education is a list of all of the education history recorded within the application. You can click on the arrows for more information tied to that education history such as the transcript status, date received and GPA.

28 Admissions Tab – Test Summary
Summary of the Tests taken and entered into Test Results The test summary will be a list of the tests taken and sent to the institutions that are recorded in Test Results. You can filter by test if the student has taken more than one type of test or multiple tests within that test ID.

29 Transfer Credit Tab Institution where student transferred credits from to enrolled institution Detail Breakdown of each course transferred Transfer Course Detail Transfer Summary Listed in the transfer credit tab includes any transcripts that included credits to be transferred to the enrolled institution. The detail link will give a breakdown of each course transferred in from the listed institution.

30 Academics Tab The academics tab will allow you to see the program information for the institutions the student has been enrolled. The two screen shots here will show you that even though LRSC and UND program information appears you are unable to view the specifics at an institution you do not have access to. The view will default to your institutions security. You can click on the Edit Program Data to get taken to the student program/plan page Edit Program Data takes you to the Student Program/Plan pages.

31 Academics Tab – Term Summary
Academic summary for current term enrolled Terms enrolled at institutions Academic Standing Grade Level Classes The Term Summary lists the terms that the student has been enrolled at that institution for, the grade level and, it also lists the academic standing for the term chosen. If the student is enrolled in classes for that term, you can view those here as well. the edit term data button will take you to the term activate screen for a full view of this summary.

32 Academics Tab - Statistics
Enrolled Credits – Current GPA The statistics section is a breakdown of the credits taken and GPA for that term. The Term History link at the bottom takes you to Term History.

33 Financial Aid Tab Easy to compare years
See a snapshot of information all in one place. To a financial aid user this page is the same as other pages you use on a daily basis such as View Financial Aid Status. However, it displays the information differently. You can click through the aid years more quickly as well which is nice when you are working with a student who insists that “last year they got more aid” or wants to compare years. You don’t have to go out to a search page to do this you just click the next aid year. It displays EFC, COA, SAP, and aid on one page. Kind of handy.

34 Finances Tab Easy to compare terms. This will allow you to view:
Account Information Refunds Direct Deposit Bills/Invoices Payment Plans Credit History and Collections Like the previous tabs if you have access to this page it is the same as other pages you have access to, just displayed differently. It is easy to compare terms. You can also view account information, refunds, direct deposit info, invoices, payment plans, and collections info in one place. It is just a snapshot though. There are some links to pages where you can also complete actions such as calculate tuition.

35 Access and Documents To access this view you will need to go through your Campus Access Control Officers and request: NDUS CC STUDENT SERVICE CENTER. Once you have access you can find the functionality by going to: Campus Community > Student Service Ctr (Student) Once you select a student from the search criteria you will be presented with tabs and information on the student you selected Oracle documents and outlines the functionality here, though keep in mind that we have modified those pages: n-576bf7.html#u9e6cffa7-841b e-93fe17e664c5 A better document is the ones compiled by the Campus Solutions BA’s, located under Training and Documentation here:
