1 Getting Started Using the Wheelock Student Portal

2 INTRODUCTION Complete the following steps to register for courses using the student web portal: Logon to the portal (page 3) Change your password (page 5) Resolve Registration Holds (pages 6-7) Search for the courses you and your advisor have identified that you will take (pages 8-13) Confirm that you meet the pre-requisites (page 12) Register for the course(s) and verify your registration (pages 13-14) Add or Drop to make any necessary schedule changes (Adds: pages13-16; Drops: pages 18-19) View your schedule (page 20) Where to Get Help For help using the Student Portal to access personal academic record information, for course registration, and to add and drop courses, please contact our office: Academic Records & Registration Phone:

3 LOGON TO THE STUDENT PORTAL Wheelock Student Portal: http://portal
1. Enter your Wheelock ID Number and Password (this is not the same as your Wheelock logon information). See the next slide if you don’t remember your password. 2. Click LOGIN 2 1

4 GETTING A NEW PASSWORD If you have forgotten your password and you can access your Wheelock account to retrieve the new password Enter your Wheelock ID Number (without any password) Click I Forgot my Password 2 1

5 SELECT A PERSONAL PASSWORD
To change your password follow steps 1-4 below: 1. Click on Personal Info 2. Choose the Password tab and enter the information. 3. Click on Save. 4. Click on Exit Admin when finished. 1 2 3 4

6 REGISTRATION HOLDS Some registration holds are informational and some prevent you from registering for courses. Please see the next page for more information.

7 INFORMATION ABOUT HOLDS
Hold Type Explanation Next Step Student Acct. Registration Hold You cannot register due to an outstanding balance or similar obligation Contact Student Accounts or 2121 Student Acct. Transcript Hold You cannot receive official transcripts; Registration is permitted Academically Ineligible You cannot register due to Scholastic Review Board (SRB) or the Graduate Review Board (GRB) actions Contact Academic Records or Inactive Student or LOA/Withdrawn Student You are currently ineligible to register OK to Register-Collect New AGD You can proceed to register for courses; this in an informational hold Contact Academic Records to update your expected degree date Transcript Review Not action is required; Academic Records will be reviewing your transcript as part of its data verification project and will then remove this hold

8 COURSE SCHEDULE SEARCH
1 There are several windows where you can access ‘Course Search’. 1. One option is to click on the ‘Course Search’ tab. 2. Read the information in Search Instructions before you begin. 3. Click on the ‘Course Search’ link in the View Course Schedule. 2 3

You can experiment searching using these additional (‘advanced’) options: ‘Department’ ‘Faculty’ ‘Campus’ (Select ‘Main Campus’ for Boston/Brookline courses) ‘Course Number Range’ Do not search using ‘Title’ because it is unlikely you will get the results you expect. We don’t recommend using the ‘Time’ or ‘Day’ options as they are not fully functioning at this time. 1 2 3 4

10 COURSE SEARCH RESULTS Drilling down for more details
Click on any ‘course code’ link to view detailed information about that course including: Meeting day/time and special meeting dates Special course notes The course description Course requisites (prerequisites and co-requisites) Classroom(s) assigned

11 Use this BACK to navigate
COURSE DETAILS To Navigate back to your search results, Click the link marked ‘Back’ (Do not use your browser’s ‘Back’ button!) This window displays many details about the course including: Special course notes (‘Note’) Meeting day, time, and dates (‘Course Schedules’) Classroom information when it is available (not displayed here) Course description Cross-listing information (alternate course codes) Current Enrollment Course pre- and co-requisites (Click on ‘Course Requisites to view these details) Use this BACK to navigate 6 7 1 2 3 4 5 6

12 COURSE REQUISITES (Example)
Navigate back using one of these blue links. Do not use your web browser’s ‘Back’ button! Before you can register for this course you must meet all prerequisite courses listed Co-requisite courses will also be listed on this window; these must be taken in the same semester (corequisites not shown here) 1 2

13 REGISTER FOR A COURSE Use The ‘Course Search’ Window To Register
This outlines the preferred way to register (but it is not the only way). Register for all your courses during the registration period. You will only see the ‘Add’ buttons during this designated time period. Note that registering for courses and adding courses are the same set of steps: Check the ‘Add’ box next to the course (you can check multiple courses if appropriate) Click ‘Add Courses’ button at the bottom of the page If you get this error message, IGNORE IT 3 1 2

View your registration confirmation message(s) View your current list of registered courses (i.e. your course schedule) To add another course, Click ‘Course Search’ to repeat the steps 1 3 2

15 RESOLVING ERROR MESSAGES
If you have any errors, you will get a message with the details; you will not be registered for the class if errors exist. Error message examples appear below. Read the error message Click the ‘Remove’ button to remove the course MESSAGE DETAILS NEXT STEP Prereq Course has previous course requirements Remove this course Coreq Course must be taken concurrently with another course Add the additional course required Course full course capacity has been reached Select another course Overload you have reached your full-time credit limit You may need to drop this course or another course to reduce your total enrolled credits Time conflict course meets at the same time as another course on your schedule You cannot register or add a course that meets at the same time as any of your other courses; check the course details to confirm Contact Academic Records and Registration (see page 2) if you have questions or need assistance dealing with error messages 2 1

16 RESOLVING ERROR MESSAGES (continued)
Pre-requisite Error - Course has previous course requirements You should remove this course from your schedule and select a different course NB: If you return a completed ‘Special Permission’ form with appropriate signatures to the Academic Records and Registration Office we can add this course to your schedule Co-requisite Error - Course must be taken concurrently with another course Once you register for this course you will see the following warning message: Successfully added with warnings: Coreq Your next step is to register for the named co-requisite course(s) View course requisites through the course search (refer to page 15) Register for the co-requisite course Course Full Error - Course capacity has been reached Overload Error - You have reached your full-time credit limit Time Conflict Error - Course meets at the same time as another course on your schedule The ‘Special Permission’ form is available on the portal under the Course Search tab.

17 MAKING CHANGES TO YOUR SCHEDULE Adding and Dropping Courses
First, click on the ‘Course Search’ tab To add a course, click on ‘Course Search’ and follow the steps detailed on pages 9-17 -or- To drop a course click on ‘Add/Drop Courses’ 1 3 2

18 DROPPING A COURSE To drop a course:
Check the ‘Drop’ box next to the course you wish to drop Click on ‘Add/Drop Courses’ at the bottom of the page 1 2

View your drop confirmation message(s) View your current list of registered courses (i.e. your course schedule) To drop another course, repeat the steps for dropping a course 1 2

20 REGISTRATION TAB You can add, drop and search for courses from the ‘Course Schedules’ area of this tab the same way you would from the ‘Course Search’ tab

View your unofficial Wheelock transcript here. This view contains information about tests such as MTEL and WLCE. View your grades at the end of semester here. 1 2 4 3
