2 Statement of purpose The demands and issues surrounding Office Space and Office Equipment/Asset Management accumulating to significant cost on the Company’s financial and operational performances. A comprehensive Workplace Management System is imperative. Presented herein is the proposed areas/functions for improvement: Office Space Management Assets Management. Staff and Furniture/Equipment move Management. The system to be capable of: Centralize Office Space, Occupancy and Furniture/Equipment Information. Quick and easy access to key facility information such as floor plans, Office allocation, employee information, Furniture/Equipment assets and other related critical documents. Securely share information and manage facility processes more effectively that impact the entire organization.

Goals and objectives Office Space Management Asset Management Staff & Furniture Move Management Creating and maintaining an accurate record of office space, office building allocation, departmental occupancy, support facilities allocation and tracking office space distribution by its use and identify the available vacant offices companywide.. Records specific information about each piece of office furniture and equipment. Including its all description details, history of previous allocation, maintenance/ services, details of Asset purchase, cost and tracking of each item which needs to be easily manageable its inventory by bar-code system Office Space reallocation Scenarios to be created and optimum options selection to meet organizational demands. Office Furniture reallocation and redistribution with its previous log.

4 System Capabilities Centralized Information:
Centralize all information related to Office space, Staff occupancy, Furniture/Equipment Asset and allow to view, maintain and manage Company’s portfolio across multiple spaces, buildings and locations. Web Based GUI: A web based (intranet) Graphical User Interface(GUI) for data entry and report generation. AutoCAD Integration: Workplace Management System to be capable of integrating Staff and Asset data with AutoCAD drawings which holds Company’s Facility information in graphical formats. Bar-Code Integration: Asset Management Module to be combined with barcode scanner technology to quickly place concise, informative asset management reports.

8 Where are we today Office Space Allocation:
Office allocation records are maintained separately in database and Graphical design application. Asset Management: Office furniture/equipment data keeping in a different format and the same is not integrated to the employee and room. Staff and Furniture/Equipment: Staff movement and Office reallocation scenarios are creating in individual files and data blocks. Management.

9 Recommendation and conclusion
It is vital to have an integrated solution to become more responsive to Companywide office accommodation demands and changes. In conclusion, it is believed that the office accommodation problems and deficiencies can be surmounted. There are many identifications that promise good outcome and benefits. Persistence to achieve the objectives of Mission should be absolute.
