Purpose Running the Operational Report Resolving Issues Adding New Organizations Resources Support This training module will provide an overview of the activities needed to confirm Responsible District and School Codes for the PARCC assessments. This training may be viewed by LEA Test Coordinators or School Test Coordinators and School Test Administrators involved in PARCC assessments. Note: In some states, only a State-Level User will be able to confirm Responsible District and School Codes. Please follow your state policy on contacting the department of education to determine if you have the correct permissions in PearsonAccessnext to complete the following tasks.

User Roles Click to go back to: Topics Base roles must be applied to a user account in order to perform the actions covered in the training module. For demonstration purposes we will use the LEA Test Coordinator Role with the Sensitive Data Add-on Role. Users must be assigned certain roles in PearsonAccessnext to perform actions outlined in this training module. One of the following base user roles must be assigned to LEA staff who will confirm the Responsible School Code: LEA Test Coordinator Role School Institution Test Coordinator Role In addition to one of those base roles, the user must have one of these add-on roles: Sensitive Data Add-on Role Student Test Update Add-on Role For this presentation, we will use the LEA Test Coordinator role with the “Sensitive Data Add Role.” If you have further questions on user accounts, review the User Role Matrix document to help you understand base and add-on user role options and permissions sets.

Definition of Students Relationships to Organization
Click to go back to: Topics Testing Organization - Students are enrolled under a testing organization within PearsonAccessnext. Users that have organization access to the testing organization can update student data. Responsible (Accountable) Organization - The responsible organization is accountable for specific educational services and/or instruction of the student. The responsible organization is required and, in many cases, will be the same as the testing organization. If students are initially enrolled and registered for an admin via an SR/PNP file, the responsible district and school code fields can be left blank and the testing district and school will be auto populated into the responsible district and school code fields. Shipping Organization- By default, reports are shipped to the responsible organization. However, users can choose to ship reports to an organization other than the responsible organization. 1. Running the Operational Report

To do this, run the Students where Responsible District/School and/or Ship Report To District/School is different from Testing operational report. Why is correcting this data important? Without an accurate Responsible School Code, the student’s score report will not be connected to the right organization, nor will it be shipped to the correct location. Resolving Issues Click to go back to: Topics To resolve the issues identified in the report, users will need to update the incorrect organization code on the student record. Additionally, if an invalid organization code is entered into a file import, an error will be returned.

To use the User Interface to resolve a conflict between testing district/school and responsible district/school: Go to Setup > Students. Search for and select the student(s). Under the Tasks drop-down menu, select Register Students and click Start. On the Register Students screen, update the Responsible School Code and select Save. Note: A valid organization that is set to participating in PearsonAccessnext can be updated in a file import, regardless if the user importing the file has permissions to access that organization. In the User Interface, only organizations that a user has access to can be updated in the responsible and shipping organization fields.

This is a great place to determine the Base Role and Add-on Role required to perform tasks in PearsonAccessnext. Additionally, the PearsonAccessnext User Guide is accessible while a User is in PearsonAccessnext. Click Support > Documentation. The PearsonAccessnext Online User Guide is found in the Top Resources menu, on the right of the screen. Use the SR/PNP Training Module and reference the SR/PNP File Field Definitions for further information on updating Responsible (Accountable ) District and School Codes.
