1 Expectations of Lab operators

2 Opening a lab If you are opening Withers or Thurmond labs, contact ACC Manager for security system information Be early to unlock and prop open ALL doors You will need ID access to open the labs. If you do not have access, contact ACC Manager before you work the opening shift. Log in to the Lab Operator workstation Check printers and refill paper trays as needed Pick up any trash, push in chairs, and arrange keyboards and mice neatly Report any problems to ACC Manager immediately

3 Closing a lab If you are closing Withers or Thurmond labs, contact ACC Manager for security system information Make announcements to notify patrons the lab will be closing at the following intervals: 30 minutes, 15 minutes, and 5 minutes before closing Notify patrons at closing time that the lab is closed Refill printer trays and recycle any loose paper Push in chairs and arrange keyboards and mice When you leave, turn off the lights and close ALL doors ACC Manager if there are any lost-and-found items

4 During shifts – basic duties
To be done at the beginning and every 15 minutes throughout the shift Pick up any trash and check for food and drink Inform patrons that food must be put away and drinks must remain on the floor Ensure the chairs are pushed in, keyboards and mice straightened, and monitors aligned. Maintain paper levels in printers If students have any questions, you are expected to assist them to the best of your ability Report any computer problems to the ACC Manager immediately

5 During a shift - professionalism
You may listen to music with one headphone and one ear free to supervise the lab No food or drink is allowed at the Lab Operator workstation - food must remain put away and drinks must stay on the floor You may not have guests at the Lab Operator workstation When answering the Lab Operator phone, state the lab you are in followed by your name – no one should use the phone except for the Lab Operator Have a positive attitude at all times If someone is causing a problem, call a member of the Management Team

6 General maintenance If there is any type of computer problem, restart the computer If this does not fix the problem, call a member of the Management Team Paper should be refilled as often as needed in the printers, but should never be overfilled There should be one or two boxes of paper in the lab at all times Do not wait until the last one is empty before notifying the Management Team Paper at the Lab Operator workstation should NOT be used except in the printers

7 Printer maintenance Every Lab Operator is trained to fix printer issues such as jams and changing parts If there is a paper jam, follow the directions on the printer display If you cannot clear the jam, contact ACC Manager and redirect people to a working printer For specific instructions on how to change toner, review the printer guides located in the Lab Operator manual on the Academic Computing website

8 Scheduling Schedules are set up on a semester-long basis
2 business days notice is required when requesting time off Any violation of this will result in a point deduction When asking for time off, include the time, day, lab, and reason for the request. For extended time off the request must be made at a minimum of two weeks notice You are expected to arrive on time and work the entire shift If you need to leave your shift for more than a few minutes, contact ACC Manager.

9 Shift coverage Attempt to contact other Lab Operators to cover a shift by ing If another Lab Operator agrees to cover your shift, ACC Manager and Cc the person who agreed to cover If you DID NOT agree to take a shift, inform ACC Manager immediately If you DID agree to cover a shift, no reply will be considered a confirmation If you cannot secure shift coverage, contact ACC Manager and include that you attempted to get the shift covered

10 Open hours Open Hours will be ed by ACC Manager periodically as an uncovered shift becomes free The first person to respond to ACC Manager will be given the shift Check the Open Hours system on the Academic Computing site to confirm hours taken or view current Open Hours If at the end of your shift the next Lab Operator does not arrive, you may partially or completely cover that person’s shift by contacting ACC Manager

11 Payroll procedures Timesheets are completed on Wingspan through the Employee tab You will receive notification alerting that a timesheet is due to be submitted There are two pay periods per month, from the 1st through the 15th and the 16th through the end of the month Payment is usually distributed on the 10th and 25th of every month Direct deposit is available for all student employees through the request given to the Payroll office in 21 Tillman Hall

12 Emergency procedures Power outage Fire alarm
Keep everyone calm. Wait 10 minutes. If the power has not turned back on after 10 minutes, ask everyone to leave the computer lab. Contact ACC Manager immediately. Close and lock ALL doors. Fire alarm Get everyone out of the lab, then close and lock the lab doors. Inform students the lab will be locked and to not waste time gathering their belongings. Once everyone leaves, close and lock lab doors. In the event a patron of the lab is causing a disturbance, contact the Management Team, or in extreme cases, contact Campus Police.

13 5-Point rule system Every employee begins each semester with 5 points
When a rule is broken, there is a subsequent point deduction If you reach 2 points, you will be placed on probation with the possibility of termination There are cameras in every lab and footage is checked constantly to review for violations of Lab Operator duties Random tests and inspections of the lab will be conducted

14 Lab not maintained = 1 pt PER violation
Point deductions Time off request: Lab not maintained = 1 pt PER violation Less than 48 hours before = 1 pt Violation of headphone policy 2-24 hours before = 2 pts Lacking presentation – chairs in disarray, keyboards and mice misaligned, food and drink violations, failure to be alert 2-0 hours before = 3 pts Tardiness: 0-15 minutes late = 1 pt 15-30 minutes late = 2 pts More than 30 minutes late = 3 pts

15 When you fail to meet expectations
Failure to behave according to policies outlined in this presentation will result in a point deduction or termination By accepting your position as a Lab Operator with the Academic Computing Center, you are agreeing to uphold the standards outlined in this presentation as well as the expectations of the management team All of the information listed in this presentation can be found at winthrop.edu/accstaff/nosearch
