3 What is an invigilator? As an invigilator you will: –ensure all candidates have an equal opportunity to demonstrate their abilities –ensure exam security before, during and after the exam –prevent possible candidate malpractice –Prevent possible administrative failures WRITTEN EXAMS – 1 Invigilator per 30 candidates 1 per 20 for Practical (Art, ICT, Science) ON-SCREEN – 1 Invigilator per 20 candidates Subject Tutor cannot be the sole invigilator

4 Exam room set-up requirements Displays and posters removed or covered (only in classrooms) Desks must be at least 1.25 metres apart Clearly visible clock Board with centre number and start and finish times and exam details displayed Warning notices and mobile phone posters must be displayed inside and outside the exam room Attendance recorded JCQ ICE regulations (yellow book) and awarding body subject specific instructions must be in the exam room

5 Before the exam starts 1.Candidates to check notice board outside the exam room for their seat number 2.ID Badges checked and attendance log completed 3.All bags/ coats must be placed at the back of the room 4.Mobile phones and other electronic devices must be switched off and in bags or exam collection basket 5.Food and drink are not permitted (except for water bottles with no labels) 6.Check your means of summoning help – exam or personal mobile

6 Starting The Exam Inform Candidates they are under exam conditions Introduce Invigilators and advise candidates to raise hands to attract their attention Check candidates have all necessary equipment and are using black pens Instruct candidates to complete their name and candidate number on the front of the exam paper Inform candidates of the duration of the exam Read the JCQ Suggested Wording for Invigilators at the start of each exam

7 During the Exam Invigilators must give their full attention to invigilating the exam and must not undertake any other task (i.e. working on a laptop, marking, reading a book etc.) Invigilators must not talk amongst themselves except to convey important information Respond as quickly as possible when a candidate raises their hand for help. –Only answer questions about the rubric on the front of the exam paper –Offer no advice to the candidate – check with the exams officer if you are unsure. Look out for cheating and malpractice, or candidates who may not feel well. Record every event in a log at the bottom of the Invigilator log Contact the Exams Office should a candidate wish to use the toilet In the event of disruptive candidates remain calm and contact the Exams Officer If you have to leave the room make sure the number of Invigilators does not drop below the required ratio 1:30 for Written and 1:20 for on-screen/ practical.

8 MOBILE PHONES If a mobile phone rings during an exam: –find it as quickly as possible, switch it off and place it in the Exam Department Collection Box at the back of the Exam Room. –allow the exam to continue in the normal way ensuring you make a note of the desk no/ candidate (the Exams Officer will take any necessary disciplinary action when the exam is over). Don’t forget to switch off or turn to silent your own mobile phone (including any pre-set alarms) before the start of the exam!

9 JCQ inspection ! Every centre will receive a visit from a JCQ inspector during one of its exam series Familiarise yourself with the JCQ ICE regulations (yellow book) Ensure candidates and all Invigilators are wearing their College ID Badge Be confident that you are maintaining the integrity of the exam at all times Challenge anyone who enters the exam room Do not view the inspector as an enemy – they should be seen as a professional colleague!

10 Late Arrivals The Exams Officer will be informed by Reception of any late arrivals. They will be briefed and will sit the exam where possible

11 Ending an Exam Announce the end of the exam Instruct candidates to stop writing when the time is up Be aware that some candidates may have extra time Know the centre’s emergency procedures Remind candidates that they remain under exam conditions until scripts have been collected and they have left the room Ensure that candidate details have been completed on all scripts

12 Summary Always: –remain calm –consider the security of the exam –think of the implications for the candidates –keep a written record – who/what/when –maintain the required invigilator: candidate ratio at all times Never assume! If in doubt, always consult the Exams Officer
