2 Using the college electronic register system Every classroom has an edureg card reader in it. This can be used to register your students Click here to move on to next slide

3 Does the scanner in your room work ? If the read out on the top of the edureg box looks like this, the box is active and ready for you and your students to swipe in If the read out on the top of the edureg box looks like this, then there is a problem because there is not a lesson timetabled in that room at that time. However you can still use “My 5 Day Timetable “ to register your class Click here to move on to next slide

4 Using the college electronic register system Staff and students register themselves by passing their card in front of this reader You can check attendance by looking on “My 5 Day Timetable” Click here to return to menu page

5 How to use “My 5 Day Timetable” Either log into Moodle and select “My 5 Day Timetable” from the college links section or Go to the intranet homepage and select the “My 5 Day Timetable” link Click this box to see what this gives you 5 Click here to return to menu page

6 This area displays all of your registers for the week. This should be checked for accuracy and any inaccuracies reported using the EMAIL SDSREG link 6 View Register gives you all the attendances on that register so far this year. Click this button to see how Input Marks allows you to enter or change the marks for each student on that register. Click this button to see how Amend Marks allows you to change the previous day’s marks. Click the button to see how My 5 Day Timetable Click here to return to menu page

8 Each individual student attendance can be set/changed All students can be set as “All Present”, All Study Leave, All Holiday 8 This button links straight to the student's eILP additional notes page to allow you to easily add a comment on their attendance, punctuality etc. The Input Marks Page The Finished button takes you back to the My 5 Day Timetable page Click here to return to menu page

9 The Amend Marks button allows you to complete or modify your previous day’s registers. If a teaching register is not completed on the day or if attendance on that register is less than 15% then you will receive an e mail the next day informing you that you have a register which is possibly incomplete. Use the Amend Marks button to complete the register and confirm with the Marks Accepted button. If the low attendance is correct, please still use the Marks Accepted button to confirm this. All students can be set as “All Present”, All Study Leave, All Holiday, Course Complete Or student attendances can be set individually Use the Mark Accepted button to confirm these marks are now correct Click here to return to menu page

10 The student view The student can access their own “5 Day Timetable” through the eILP. If they access the eILP via Moodle, go to the student’s personal details page, and select the “Student Course Information” tab, they will see there is an option labelled 5 Day Timetable Click this box to see the student version of 5 day timetable Click here to return to menu page

11 The student view A student can not only see their timetable for the week But can also monitor whether or not they have been registered as present for each session on that day Click here to return to menu page

13 Room Changes Permanent room changes must be changed on celcat and sdsreg informed One-off room changes should be prearranged and logged on celcat For one-off room changes either register the students in the original room and then move, or use link from “My 5 Day Timetable” to register yourself and the students. Any register changes must be made before 9.00pm on the day of the session while still on a college site 13 Click here to return to menu page

14 What if I forget to register my students Registers can be completed using “My 5 Day Timetable” up to 9.00pm on the day of the class Registers can be completed the day after the class met using “My 5 Day Timetable” E mails will be sent to teaching staff where any registers has less than 15% attendance. Registers can be updated the next day using the Amend Marks feature 14 Click here to return to menu page

15 Study leave and Holidays For long periods of study leave or holidays sdsreg should be informed and registers will be pre- marked for you To register the group as on study leave or holiday use link from “My 5 Day Timetable” to register yourself and the students. There is a button which allows you to set all students to S or H Any register changes must be made before 9.00pm on the day of the session while still on a college site 15 Click here to return to menu page

16 Trips If your group is going on a trip inform sdsreg before you go and they will complete registers for you. 16 Click here to return to menu page

17 Cover/Sickness/Absence If you are covering a lesson for an absent member of staff, swipe your card as usual and get the students to register by swiping in the usual way To check whether students have successfully registered go to “My 5 Day Timetable” select the Cover Timetables link and search for the member of staff you are covering for You can then check that they have all successfully registered If a member of staff is off sick or absent and there is no cover arranged, edureg should be updated by your curriculum manager 17 Click here to return to menu page

18 Box not responding properly/unknown student If you are uncertain whether or not the edureg box is working correctly, check all the swipes have been registered by logging into “My 5 Day Timetable”. If the swipes have been recorded then no problem If the swipes have not been recorded go to “My 5 Day Timetable” register your class and use the “Report on Edureg Reader fault” section to report the fault 18 Click here to return to menu page

19 Box not active Box not active indicates that there is no register information held for that time in that room. If you are not scheduled to be in that room, manually enter your students using the “My 5 day timetable” link, to register your class If you think you are timetabled to be that room then check your “My 5 Day Timetable”. If this timetable does show you to be in the room, use the “Report on Edureg Reader fault” section to report the fault 19 Click here to return to menu page

20 Room does not have an edureg box or box non operational Manually enter your students using the “My 5 Day Timetable” link, to register your class If you think the edureg box is not working report the fault using the form on “My 5 Day Timetable” 20 Click here to return to menu page

21 Mismatch/Unexpected/Stranger You may find students on edureg who are referred to as Mismatch, Unexpected or Stranger. Mismatch – the student has swiped, but not in this room. They will show up as unexpected in the room they actually swiped in Unexpected – The student has swiped in this room, but is timetabled to be in a different room/lesson at that time. They will show up as mismatched in the correct room Stranger – The student is not enrolled on the course attached to this register and/or are not expected in the college on that day You should follow up these issues with the students concerned as soon as possible 21 Click here to return to menu page

22 How can I register my students before the class start time ? Student marks can be manually added using “My 5 Day Timetable” at any time during the day of the register “My 5 Day Timetable” is available from the front page of Moodle 22 Click here to return to menu page

25 September 2013 - Register set up All registers will be set up on edureg with rooms, staff and times Check your registers for accuracy before you start teaching using “My 5 Day Timetable”. Make sure you check rooms are correct Use the link provided to Report Errors 25

26 September 2013 - Register set up All registers apart from A levels and Cross College GCSE and Functional Skills will be populated with the students enrolled on that course. Initially you may find you have all the students enrolled on that qualification on your register, rather than just your group. Do not worry about this 26 Click here to move on to next slide

27 September 2013 – Registering Students Access the register system via “My 5 Day Timetable” and check the room and time. If the room is correct Swipe your own card using the edureg reader Get the students to swipe themselves in using the edureg readers If a student’s card does not register on the system then they can be added manually in the text box provided (this will send the student details to sdsreg) 27 Click here to move on to next slide

28 September 2013 – Registering Students If the room is incorrect Tell students not to swipe their cards. Manually register the students using “My 5 day timetable”, You will need to manually add A level and other students on cross college courses. Inform sdsreg via the link provided on “My 5 Day Timetable” that the room is incorrect 28

29 September 2013 – monitoring registers Monitor the swipes via “My 5 Day Timetable” New students to the register should turn up as strangers All A level and other students on cross college courses will initially be strangers You may find that some students are mismatched because they are in a different room at that time. Do not worry about this. Manually register any students who are not on your register using the text box provided. 29 Click here to move on to next slide

30 September 2013 – if all else fails If all else fails, and only if all else fails complete a paper temporary register. Temporary registers can be printed from My 5 day timetable and when completed place in the register collection tray in your staffroom. 31 September 2013 – updating registers SDS will modify registers to reflect actual student attendances They will attempt to have this task completed by the end of September E mails will be sent out from the start of term to tutors who have registers with less than 10% attendance 31 Click here to return to menu page
