1 Before you get started, make sure you have access to the Query Library! https://www.doit.wisc.edu/querylibrary/ At the bottom of the page, click the link, “UW-Madison Query Library Authorization Application” Click next to the options for which you’ll need access Choose your supervisor from the dropdown menu (or enter their NetID if you can’t find them) Click “Submit Request” Created by Madeline Juillard

2 1. Log into the Query Library using the Internet Explorer Browser 2. Once the program is launched, click “Explore” 1 2

3 On the left-hand side, click to expand: 3. “MADISON” 4. “Student” 5. “Undergraduate” 6. “Student Progress” 7. In the list of query options, click “Academic Progress Report for Students on Probation” 3 4 5 6 7

4 8. Click “Term” 9. Click “Values” – this will populate 3 term options 10. Choose the appropriate term term includes students enrolled in the selected term who are on some form of probation during that term, regardless of when the action was taken 2 = fall term 4 = spring term 6 = summer term 8 9 10

5 To narrow down your search, you have a few options. Use as many of the following 4 filters as you need. “Primary Academic Group” Choose a school or college Works best for advisors who advise students in just one school or college “Transcript Description” Choose by major or certificate Works best for advisors who work with just one major or certificate “Academic Level” Narrows down search by standing (i.e. Freshman, Sophomore, Junior Senior) “Advisor Name” Choose by your name Works best for advisors who work with multiple or no declared majors

6 11. Click “Primary Academic Group” 12. Click “Values” – this will populate the schools and colleges 13. Choose the appropriate school or college 11 12 13

7 11. Click “Transcript Description” 12. Click “Values” This will populate all majors and certificates that have students on probation If you don’t see your major/certificate listed, you don’t have any students on probation 13. Choose your major/certificate 11 12 13

8 11. Click “Academic Level” 12. Click “Values” This will populate the four level options: 10 (Freshman standing), 20 (Sophomore standing), 30 (Junior standing), and 40 (Senior standing) 13. Choose the academic level you want to see 11 12 13

9 11. Click “Advisor Name” 12. Click “Values” This will populate all advisors who have students on probation If you don’t see your name listed, you don’t have any students on probation 13. Choose your name 11 12 13

10 14. Once your have chosen all filters you want to use, click “PROCESS” This tends to take a few minutes … 14

11 If you wish to refine your query: 15. Choose one of the filters listed 16. Click “Values” 17. Click filter This will update your query – you do not need to click “PROCESS” again 15 16 17

12 You have 4 options to view your query. “Report-Advisor” Gives you a snapshot of each individual student, including GPA history and past, current, and future courses. Works best if downloaded as a PDF “Advisor Contact List for Export” Lists students by advisor name first Good option if running a query for multiple advisors Works best if downloaded to Excel “List of Students with Assigned Advisors” Lists students by their name first Works best if downloaded to Excel “Pivot – Documented Advisor Contacts” Lists students by their name first and then data regarding their ANS contacts (including who they met with, when, and for what reasons) Works best if downloaded to Excel

13 18. To view your query, choose one of the options listed in the upper left-hand corner 19. Export the data to an Excel file or a PDF It is recommended that you spot check a few students to make sure the query is accurate! 18 19
