3. Comments/Questions to ASG This is a grab bag list of issues brought up since Sunday evening. APA TC asked about the possibility of 20 minute papers to increase number of papers per session. Also asked if it would be possible to reestablish some 8 paper session slots in the technical program. ( Keenan : This is a recurring theme among ASG TCs.) AFM TC asked what is the balance of the AIAA portfolio which is being used for the rainy day fund? Why did the institute lose money on the MDA conference cancellation instead of the Government? AA TC: Too much time is lost each morning prior to technical content. AA has not lost 20-30% attendance, so why is the institute changing their technical model? They would like direct input to the integration chair. Too much time is wasted on networking slots and afternoon session chair briefing. With some simple changes there could be a plenary plus an 8 paper session. MVCE: Why not add the integration layer to the call for papers? They want a return to 8 paper sessions. Too many sessions have only 3 papers and they are all biased to the beginning of the session. Why not stagger? Conference is too long. Why no message board in the high traffic area? Career board was only board found and it is in the exhibit area. 3

4. Comments/Questions to ASG TP TC: Discipline chair felt directed to only allocate 4 to 6 papers in morning sessions. The were instructed for 6 to 8 papers per session at AVIATION. Suggested possible “satellite” sites around the country for keynote speakers and panel sessions. (Think Pay-Per-View locations) GNC TC: Asked about ITAR sessions and the classified Defense Forum. I explained that P&E and AVIATION will have ITAR sessions with this option being rolled out to SciTech in the future. For the Defense forum, we need an organization to say that they need to have a classified meeting. ( Keenan : Did we have a chance to talk to Frank Kendall about this?) FD TC: No new issues raised. PDL TC: Meeting ended prior to Director/Deputy Director arrival. GT TC: Meeting scheduled for tonight. 4

5. Comments/Questions to ASG AMT TC: Four very vocal members pushed hard for the “ad hoc committee” issues and recommendations (see upcoming slide). They would like technical sessions in parallel with keynotes/plenaries and let the chips fall where they may. Claimed only 3 of the 35 attended the opening keynote - "a complete waste of time." They fear continued erosion of attendance by students and academics if the program remains 4.5 days and has less technical content per day. They stated genuine concern for the institute, but were very inflexible. At one point some wanted to go somewhere else such as APS. Two others took a more reasoned approach and would like to see some form of compromise. Perhaps opening and closing keynotes/plenaries only and parallel others. It was apparent that some TCs have been working together in a unified effort to try to steer conference planning back to the Reno days. They would prefer to do networking on their time and when they prefer. Academics are missing an entire week’s worth of classes. An academic did calmly state that the forum is too long and too expensive to bring graduate students which will be negative to YP efforts. 5

6. Comments/Questions to ASG Other: Scholar One papers shift to the left when papers/authors drop out. Can we stagger this (e.g. odd number sessions shift left, even number sessions shift right)? ASG Meeting: What metrics are being tracked to show effectiveness of NEM? What are we (AIAA) going to do about Scholar One and Registration Fees? AIAA needs to emphasize that the total number of papers and technical presentations are still the same or greater at the Forums. There may be an industry perception that we are moving aware from this with all the attention being paid to other Forum topics (e.g. key notes and panels). Papers session of 6 vs. 8 Discipline chairs not recognized in program! Director Observations: Opening sessions are too long (especially for the uncomfortable conference chairs). Move panels to the afternoon? Or, have 15 minute break and then start 45 minute panel? Wednesday keynote was great but panel after was too long. Also start time of 1000 is too late. Room size was an issue. The hypersonic sessions (e.g. Hypersonic BL transition and scramjets) were well undersized while some sessions were overwhelmed by the room (e.g. wind tunnel data in Maryland B). Paper award at reception did not work. Look for alternative. 6

9. ASG Recommendations for SciTech 2015 Reduce conference to 4 days (as promised during NEM development).  Need to find 4 hours during the week  Move speakers briefing to morning with opt out if speaker sends bio and acknowledgement that they are aware to 20 minute presentation and 10 minute question. This frees 2 hours.  “Right size” keynote and/or luncheons to free an extra 30 minutes a day. Frees remaining 2 hours Restore more papers to the morning  Do we want 7 in the morning and 7 in the afternoon?  Do we want to ask conference organizes if they want 20 minute papers? Survey TCs? Locate new home (not at reception) for paper awards (a.k.a certificates) Alter marketing that reflects we still have as much technical content. Must make SciTech and AVIATION similar (lessons learned) Replace Scholar One ASAP! 9

10. AIAA & DEPS DEPS Information: Tom Beutner (ASG Deputy Director) talked to someone at ONR who was responsible for organizing a recent DEPS conference. In terms of session planning, chairing sessions, printing programs, dealing with registration, the split between volunteers and paid staff was similar to AIAA. Big difference was the security for classified sessions. ONR had to check all clearances in JPAS, provided reservists for security monitoring at the hotel, did an advance trip to deal with security details at the hotel, and had responsibility for the security plan. This is a significant time and resource burden. AIAA should understand who will be doing those activities for any joint conference. She (person at ONR) is willing to talk through the details of that planning with someone from AIAA if that would help. (May need to have Jean Riley and Sandy discuss how DEPS arranges conferences.) 10

16. AIAA Topic: Conference Attendance 16 NOTE: AIAA always starts the year out at zero and attempts to create a budget that gets us to zero at the end of the FY. The vast majority of our events occur in the summer, and that is where we make up much of the negative difference. Any money that is above the line goes into the portfolio. Any shortfall is made up by dollars that are in the portfolio. The FY12 shortfall that started in July was due to the beginning of the government travel restrictions. The Board authorized passage of an unbalanced budget with the intent that cuts would be made during FY13 to make up for the shortfall.

27. TAC Topic: Forum Technical Chair and Associate Chair 27 The “AS Associate Chair” is a title that I have made up and is not listed in the AIAA NEM Forum organization. The goal is to have a back-up to the ASG Technical Chair. This back-up role would allow the next TC member to learn the organization and bureaucracy associated with planning the SciTech/AVIATION Forums. The AS Associate Chair would have a year to learn the process prior to taking a lead role (e.g. attend Forum planning meetings and participate in planning teleconferences). I would anticipate that the process internal to ASG would be that a TC member who has organized their TCs call-for-papers, sessions, etc. would move up into the AS Associate Chair role and then to the ASG Forum Technical Chair position. By combining smaller conferences into Forums, there will be fewer opportunities to learn conference planning. Also in a worst case scenario, the AS Associate Chair would move into the ASG Forum Technical Chair position if the current Chair cannot complete this task for whatever reason.

Expand the products that AIAA offers at its events to a broader swath of aerospace professionals than the R&D community, to whom it has most appealed historically Entice design engineers, analysts, systems engineers, etc., to join AIAA, or to become active if already a member, by offering compelling and topical subject matter, speakers and presenters Bridge gap between plenary and technical sessions and offer relevant and instructive topics and materials to the great number of aerospace professionals who may not think of, or see, AIAA as offering much to them in terms of professional career development, training, or networking 50
