3 Verbal Communication One must listen well – Recognize barriers to listening ( ex noise) –People remember 25 % of what they hear –People remember more when they see, read, or verbally repeat what they hear Become an active listener Ask questions to clarify the message Pay attention to speaker, make eye contact Be interested in what they are saying Be patient Keep the speaker in mind Stay focused Listen to the speaker’s tone of voice

4 Speaking The way you speaks affects the impression people form of you Techniques –Keep the listener in mind –Keep message short and simple –Be considerate of other’s feelings –Be open and honest –Respect the listener –Be positive –Check to see if your message is being received acurately

5 How to start a conversation Ask a question Make a sincere compliment Mention something you have in common with the other person Discuss one topic

6 E-Mail Etiquette Grammar, spelling, and punctuation must be accurate. Use the single-subject line so the receiver can easily decide the importance of the message. Begin with a friendly and appropriate greeting. Use first name ONLY if you know the person. Do not yell (using all uppercase letters is considered yelling. Do not use emoticons in business communication. Do not use e-mail to deliver extremely sensitive information. E-Mails are NOT secure.

7 Positive Feelings Open Communication – free flow of ideas, opinions, and facts among the people. They may not agree on everything, but they respects one another's point of view

8 Ways to Communicate Positive Feelings When you meet someone be the first to say hello. Offer praise and compliments when they are deserved. DEFEND people who are the object of harmful gossip. Smile and look happy. Look others in the eye and speak clearly Show concern for others by asking them about matters that are important to them.

9 Barriers to Open Communication Sterotypes – a person has a belief that all people in a group will behave the same way. Ex all males should play sports or all older people can not ear. Prejudices – opinions people foam without complete knowledge Coded Messages – people try to communicate without saying what they really mean. Ex. “Give me your honest opinion”. Some may really want your opinion but others may be saying “Tell me I’m right”. Gender Differences – role expectations of male and female. This is patterns of socially expected behavior. Ex a woman is expected to do all of the house work and the man is expected to pay for dates.
