3 Adding Contacts Step 1: Sign In url: http://192.168.101.38/vision/ User ID: First Initial + Last Name Password: Email Janet if you have forgotten your password.

4 Adding Contacts Step 2: Navigate from your Dashboard to the “Info Center”

9 Adding Contacts Why Search? To reduce the number of duplicate entries and to save you time! If the Contact already exists… Double check data, make edits, and save the changes. Call/Email the “Primary Contact” to develop a strategy to maintain the relationship with the individual.

10 Adding Contacts If the Company is in Vision but the individual Contact in not in the Rolodex… –Go to the “Company” –Click “Rolodex” –Click “New” –Enter Contact’s name and title e-mail address direct phone/fax select mailing address from the drop down menu select “Primary Contact” and check off campaign participation (Outlook, Holiday Card, Holiday Gift) –SAVE whenever prompted

11 Adding Contacts If the Company is in Vision but you need to add a new mailing address… –Go to the “Company” –Click “Add Address” and enter info –Click SAVE –The new address should appear when you go to add a new person to the “Rolodex”

12 Adding Contacts Creating a “New Company” –Go to “Company” –Click on “New” on the menu bar at the top –Create a “Company Code” First four letters of the company name + 001 (if company code already exists, continue with 002, 003, etc.) Baltimore City Gov = BALT001 Baltimore County Gov = BALT002 Baltimore Convention Center = BALT003 Baltimore City PS = BALT004 Baltimore County PS = BALT005 –Fill in as much information as possible

13 Adding Contacts - Cheat Sheet 1. 1. Sign In 2. 2. Navigate from your Dashboard to the “Info Center” 3. 3. Select “Rolodex” and search for your contact by entering a key word in the “Find” dialogue box 4. Select “Company” in the “Info Center” 5. Search for the company with a key word in the “Find” dialogue box. 6. If the Contact already exists…Double check data, make edits, and save the changes. Call/Email the “Primary Contact” to develop a strategy to maintain the relationship with the individual. 7. If the Company is in Vision but had a different mailing address…Go to the “Company” and click “Add Address” button. Make sure you click “Save” so that the new address appears in the drop down menu in the “Rolodex”. 8. If this is a completely new contact…Click “New” under “Company” and fill out all the fields.

16 Contact Management Reports 6. Go to “Selection Column” 7. Select Search Type “Primary Contact” 8. Select Operator “Equals” 9. Select Search List and click 10. Search for the name of contact and select it 11. Hit “Apply” 12. Click Preview 13. Click Download 14. Save as PDF, Word, or Excel File
