2 2 There are two methods to finding information in the parts/merchandise file. Searches can be performed on the following: Merchandise - sales items and/or Parts - items used for repair of equipment The completed search allows you to view many items including availability, purchase price, sales price, sales history and P.O. history.  NOTE: The system will display the parts/merchandise available at different locations. If another location has a needed item in stock, you can process an inter-company transfer of goods.

3 3 Parts/Merchandise Inquiry: Parts/Merchandise Search There are eight different search options available from the Parts/Merchandise Search screen. After choosing an option, you can either select a “Search Criteria” or leave it blank. If left blank, the system allows you to search sequentially. To further define your search, use the “Item type” codes to search for a specific grouping of items. For example: If a “P” is entered and the I/O (Include or Omit) is set to “I” the system displays all the items in the item master that start with a “P”. If the I/O is set to “O”, the list will exclude items beginning with “P”.  Helpful Hint: Searching for parts can be challenging and tedious. Explore all the options available and find which methods work best for you.

4 4 Parts/Merchandise Inquiry: Search Definitions Because we are in single location mode, all the Part/Merchandise in this location will be displayed in either alphabetical or numerical order depending on the type of search. From any of these search screens you can further refine your search by using the delimiter lines underneath your options. The delimiter lines are helpful when you are searching for an item, and are unsure of the name or description. Type in partial words or numbers, and the delimiter bar search will display the associated items.  Helpful Hint: To explore all the available combinations to find what works for you, don’t forget to try the Options at the top of the screen and search F Keys at the bottom that are available throughout.

5 5 Parts/Merchandise Inquiry: Search Definitions – continued… After you have selected the item, use your options to find out more detailed information. The following gives you a brief description of a few of the options: Select (Opt 1) – takes you into the item information screen. Availability/Location (Opt 2) – lists what locations have the items you are looking for. Sales History (Opt 3) – Provides you with a historical listing of who has purchased the item. P.O. History (Opt 4) – Shows how frequently the item has been purchased and the vendor used.  NOTE: Not all of the function keys that are displayed at the bottom are available. F6 = Sales History F9 = Item Inquiry F10 = P.O. History These functions only work once the item has been selected.

6 6 Parts/Merchandise Inquiry: Item Record The Parts/Merchandise Availability screen displays both parts and merchandise available by location for sale. It lists the current availability for each location using the following fields: Availability – What is currently available for sale. Reserved – Allows you to place items on a sales order or contract pending completion of the transaction. On Order – Shows you what has been ordered to replenish stock. Customer Back Order – Allows you to place items on back order for a customer when quantity levels are not available. In Transit – Items that are being transferred between locations. Sold Y-T-D/Sold Last Year – Shows activity on the item to assist in forecasting future purchases. As you work more with the search functionality in the system, finding the information you are looking for will become quicker and seem easier.
