2 Warm Up What do you say when you pick up a ringing phone at your office? What do you say when the person calling ask to talk to a person and you can’t see him/her around?

3 Telephone Talk I Asking to speak to someone A businessman named Perry Clark tries to call Allen Price, a business contact. Receptionist: Best Software Products. How may I direct your call? Perry: May I speak to Allen Price, please? Receptionist: Who’s calling, please? Perry: This is Perry Clark, from Perry Clark Productions. Allen should be expecting my call. Receptionist: Please hold for a moment. Perry: Sure.

4 Telephone Talk II Saying that someone is not available Receptionist: I’m sorry, Mr. Price isn’t available at the moment. Is there anything I can do to help you? Perry: I don’t think so, thanks. I really need to talk to Allen. Is there no way you can put me through to him? Receptionist: I’m afraid not, sir. He’ll be busy until about 4 o’clock this afternoon.

5 Telephone Talk III Leaving and taking a message Receptionist: Do you want to call back then? Or would you like to leave a message for him? Perry: OK, I’ll leave a message for him. Receptionist: Sure. Can you give me your name again? Perry: It’s Perry Clark. My number is 555-682-2956. I’d like Allen to call me as soon as possible. Receptionist: Can I tell him what it’s about?

6 Telephone Talk IV Perry: Well, just let him know I called. He’ll know what it’s about. Receptionist: OK, I’ll pass your message along. Perry: Uh, do you have a voicemail system? Receptionist: Yes, we do. Would you like to leave a voicemail message for Mr. Price, as well? Perry: Sure. That would be great, thanks. Receptionist: Fine. I’ll connect you. One moment, please.

7 Telephone Talk V Leaving a voicemail message Message: This is Allen Price. I’m sorry I can’t take your call right now. Please leave a message after the beep. I’ll return your call as soon as I can. (beep sounds) Perry: Hi, Allen. It’s Perry Clark. We really need to talk. My number is 555-682-2956. Thanks. Bye.

8 Telephone Talk VI Handling a wrong number The next day, Allen returns Perry’s call. Voice: Hello? Allen: Hi. Is Perry Clark there, please? Voice: There’s no Perry here. You must have the wrong number. Allen: Oh. Sorry to bother you. Voice: No problem. (hangs up) Allen: I must have written down Perry’s number wrong. And I already erased his message.

9 Telephone Talk VII Keeping a phone conversation short Allen dials more carefully. This time, Perry answers. Allen: Hi, Perry. This is Allen Price. Perry: So you got my message? Allen: Yes, both of them. How’s it going? Perry: Fine. But we need to talk about that software project. Do you have a minute? Allen: Yes, but I can’t talk very long. I have a meeting in a few minutes, so I’ll have to keep this short.

10 Telephone Talk VIII Ending a phone conversation Perry and Allen speak for a few minutes. Perry:... So then I said to him... Allen: Excuse me, Perry. I hate to cut you off, but I really have to go. Perry: OK. Bye, Allen. Call me back when you have more time to talk. Allen: OK, Perry. So long.

11 Email I Level of formality: Have you been in touch before, or is this the first time? Is the addressee above, below, or equal to you in age and/or rank? Title, Last Name To whom it may concern Best regards, Sincerely,…etc. as closings

12 Email II Requests & Inquiries: Could you please send me…..? Attached is the document you requested. I have attached the…..to this email. I would like to know if… I received your email about ….and I’d like to ask you about… I’m afraid we don’t have… I will contact you when…

13 Email III Invitations On behalf of….., I would like to invite you to… It will be held at… Please let me know by (…) if you are coming. I look forward to seeing you there. I would be delighted to attend. Unfortunately, I am unable to attend.

14 Email IV Scheduling an appointment I’d like to meet with you to discuss… I’d like to discuss this with you in person. Are you available to meet on…? Which day next week is most convenient for you? Could you please let me know which date between …and …is most convenient?
