Standard Operating Procedures Definition: A detailed, written instructions to achieve uniformity of the performance of a specific function.

SOPs are essential in defining operations/technical components for the project. SOPs force study planners to identify potential roadblocks and therefore proactively develop and deploy solutions. SOPs hold the person working on the project accountable.

SOPs provide a level of transparency that is often expected when working on projects. SOPs are a best practice for many different services.

Types of SOPs in FCT We have two types of SOPs namely: 1. End user and 2. Internal SOP.

Internal SOP The internal form development process is designed to assist in: Training new FCT members on the step by step process of the core function of the team. Remind and educate existing FCT members on the processes to follow when developing a form. To help the team understand, implement and explain the different stages of form development both internally (within the team) and externally (to other people).

Cont.. To help team members to participate in the step by step process and review its contents in different steps to better their work. To assist explain the details steps of form development to other users who are interested in knowing. To improve the work requirements and responsibilities for the team. Act as a source document for the detailed process when developing forms for future reference

End user SOP Purpose :To establish and provide standard procedures regarding the submission, creation, implementation and publishing of electronic data capture forms for use within AMPATH Medical Record System (AMRS). Scope: This Standard Operating Procedure (SOP) applies to all individuals in AMPATH who seek to add the following into the AMRS: electronic data capture forms, concepts, person attribute types, patient identifier types and encounter types.

SOP creation Principles Define your work flow Use a broad approach and create SOPs that can apply to multiple projects whenever possible. Set Standards that are realistic. SOPs should be self explanatory, standalone documents. SOPs should be fluid documents that reflect your changing processes.

Cont.. SOPs development and maintenance requires significant time commitment. Justifying unique processes or work flow /practices to an external entity requires SOPs All staff with that section should be familiar and sign off on all applicable SOPS
