Time Management ADEL & KAMAL

Definition Time management: Time management includes prioritizing tasks and setting deadlines for their completion, reviewing progress and delegating. Prioritizing allows managers to deal with what is most important first, then leaving less urgent tasks for later.

Characteristics Six characteristics of successful time management:  Evaluation: Includes documentation of time spent on different tasks. Determine the tasks that you want to achieve and be aware of the tasks that don’t fall into this category. Note any factors that prevent the completion of task and plan ways to avoid them.  Planning and prioritization: Includes setting aside time through out the day every day to identify the tasks that link to the ultimate goal and have a high level of importance. These tasks should be prioritized above all others. Planning includes splitting large tasks into smaller, much easier ones.  Elimination of ‘time thieves’: Includes removing distractions which interfere with productivity. This can be done by scheduling a block of time each day to return phone calls, answer text messages, respond to s, etc

Characteristics  Delegation: Includes allocating tasks to a person with authority or control of another within an organization. This saves time as more tasks are done as a single time.  Saying no: Refuse to do additional work and activities that do not fit your personal goals. It is better to spend time on tasks that are important to you.  Rest and replenish: Includes taking time to refresh yourself. Includes planning activities such as excursive, eating healthy and getting a good nights sleep.

Application to workplace Time management is used in the workplace to increase productivity and allow goal to be achieved in the set time frame. Tasks can be planned out and completed properly. It also reduces procrastination form employees as they will always have tasks to do by a specific deadline. They will have focus on prioritized tasks and complete them first, creating order in the workplace.

Activity  Split into 3 groups  You have 5 minutes to complete as many tasks as possible  Each group can only do a single task at a time  Each task is worth a different amount of points  You can redo tasks as many times as you want  Group with the most points at the end wins

Tasks  Complete a detailed summary of points  Make 10 paper planes with no provided paper - 20 points  Do 20 push ups with a supervisor watching - 10 points  Beat a supervisor in rock paper scissors (max 10 times) - 1 point  Recite the alphabet backwards with eyes closed to supervisor - 20 points  Win an arm wrestle with someone from another team (they decide who) - 5 points  Spin around 10 times and walk straight 5 steps - 5 points  Spin around 10 times and walk straight 10 steps - 10 points
