Five Tips for Effective Business Writing Copyright © 2012 RedLine Language Services LLC Unauthorized reproduction and distribution prohibited

Tip #1: Focus on the needs of your audience. Business communication is effective when the recipient understands a given message and finds that message helpful. Focusing on your audience increases the utility that your readers get from your document. Read complete tip

Tip #2: Use the appropriate word for the context. The perfect word for the context is correct in both its meaning and its register. Use everyday words for casual tone, “fancier” words for formal tone, etc. Read complete tip

Tip #3: Use the active voice most of the time. Writing in the active voice makes for easier reading. It usually has more “punch” and clarity than the passive voice. Active voice conveys transparency, telling your readers who did what. Read complete tip

Tip #4: Generally speaking, be specific. Say what you mean. Avoid vague wording and empty jargon. Name the operation, describe the process, or explain the concept in detail. Read complete tip

Tip #5: Be brief. Your audience is busy, so keep it short. When writing for the web, keep it even shorter. Bonus Tip: Break a long block of text into several shorter segments. Readers are able to digest content more easily if it appears in visually distinct pieces. Read complete tip
