U PlanIT assists all project contributors in adhering to the project management methodology. U PlanIT does not manage projects for you but captures project information in a manner that Project Managers can analyze and make decisions from. U PlanIT correlates the methodology into the tool through the use of lifecycles. This module demonstrates how each phase within the methodology directly relates with each lifecycle within U PlanIT. A lifecycle is an automated process that defines all actions that are required in a workflow. U PlanIT is configured with Lifecycle functionality to permit the University of Utah to implement business practices and processes that help make sure work that is to be completed is done. A lifecycle's primary purpose is to:  Collect the right information from the right person at the right time,  Notify the appropriate user when an action is needed,  Provide review and approval mechanisms for all lifecycle actions, and  Ensure that status changes cannot be made unless prerequisite actions are completed. Lifecycles are accessed within U PlanIT by clicking on your notifications from your main dashboards. To view the notifications screen click on the button at the top of this screen. Next Menu

The project management methodology follows the sections of the manual, Project Management Methods. The methodology is broken into phases, activities, and tasks. To identify a task you would simply look to the phase, activity and task. For example, Review and Activate the Project task is labeled I.A.1 Next Previous Menu

Several phases are associated with a sequence of lifecycles. On the graphic, everything above the red line reflects the Project Management Methodology process and everything below the red line reflects the associated Lifecycles. This module will explain which Lifecycles are associated with the corresponding tasks, activities, and phases. PM Methodology Lifecycles Next Previous Menu

According to the methodology, within the Project Initiation phase a project manager is to: A. Analyze Project Information B. Identify the Planning Structure The lifecycles that support this are: 1. Status Project (I.A.1)  Review project information  Activating the project (formally set the status to Open/Active) 2. Set Initial Schedule (I.B.2)  Set the planning schedule by requesting resources to be a part of the planning team 3. Baseline Initial Schedule Next Previous Menu

According to the methodology, within the Project Planning phase a project manager is to: C. Develop the Project Scope D. Allocate the Preliminary Resources E. Submit the Plan as Complete The lifecycles that support this are: 1. Constraint Matrix (II.C.4)  Define whether Scope, Schedule, or Resources are Most, Least, or Moderately constrained 2. Check In Definition Document (II.C.4)  Use U PlanIT’s CMS to save documentation 3. Set Schedule (Planning) (II.C.5, II.D.6, II.D.7)  This WBS reflects the actual work to be done in the Execution Phase as determined by the planning team. 4. Baseline Schedule (II.E.8, II.E.9)  Validate project plan with Sponsor, then set baseline Next Previous Menu

According to the methodology, within the Project Initiation phase a project manager is to: F. Manage the Project This phase has no corresponding lifecycle since you will only be updating the Definition Document, WBS and changing Allocations as needed throughout the project. Again, U PlanIT doesn’t replace the value of a good Project Manager. The tool cannot manage a project for you. Next Previous Menu
