1 ADVANCED MICROSOFT POWERPOINT Lesson 10 –Using Advanced Presentation Features Microsoft Office 2003: Advanced

2 Objectives Hide slides. Set slide timings and rehearse timings. Add action buttons to slides and specify action settings. Record narration for a presentation. Use on-screen navigation tools during the presentation.

3 Objectives (cont.) Annotate slides during the presentation. Set up online broadcasts and collaborate online with others in a group. Package a presentation to be viewed on another computer.

4 Terms Used in This Lesson Action buttons: Pre-drawn buttons that you can use to move from slide to slide or to other documents.

5 Hiding Slides Prevent slides from displaying during a presentation by hiding them. You can hide a slide in any view. A hidden slide has a diagonal bar across its number in Slide Sorter view or the Slides tab in Normal view.

6 Setting Slide Transitions and Timings Slide transitions control the way each slide displays during a presentation. Transition effects supply visual interest as one slide replaces another. To apply any of more than 50 transitions, use the Slide Transition task pane.

Use the Slide Transition task pane to – Select a transition effect. – Specify speed and choose a sound effect, if desired. – Choose an advance option: Manually using the mouse Automatically after a specified time Click Apply to All Slides to apply chosen effects to the entire presentation

8 Adding Action Buttons and Action Settings Action buttons are predrawn buttons that perform specific actions, such as taking you to the next slide or taking you to a Web site’s home page. After you choose a button and draw it on a slide, the Action Settings dialog box opens so you can customize action settings.

In the Action Settings dialog box, you can – Specify settings for either a mouse click or a mouse over action. – Set up a hyperlink from an action button. – Specify a program to run when a button is clicked. – Play a sound when a button is clicked.

10 Recording Narration Record narration to accompany a presentation when it will be delivered unattended. You must have a microphone and sound card to record narration. Voice narration takes precedence over any other kind of sound on a slide.

11 Recording Narration (cont.) Click Change Quality to set the sound quality of the recording Store the narration at a specified location if desired, and link the file to the presentation You can start recording narrations on any slide in the presentation.

12 Rehearsing Slide Timings Use the Rehearse Timings command to find whether you have allowed enough time for each slide. This command displays the Rehearsal toolbar in Slide Show view to show elapsed time. Use the toolbar to move from slide to slide, pause, or repeat a slide.

13 Setting Up the Show Use the Set Up Show command to – Select the show type. – Choose what slides or custom shows to present. – Set show options. – Select an advance option. – Set up multiple monitors.

14 Navigating During a Presentation Advance from slide to slide during a presentation using – The mouse button. – Keys such as Spacebar, Page Down, and left arrow. – Shortcut menu options, such as Next and Previous. – The popup toolbar that displays in the bottom left corner of the screen.

15 Navigating During a Presentation (cont.) To jump to a specific slide in a presentation, use the Go to Slide command on the right-click shortcut menu. Click any slide title on the popup list to go to that slide.

16 Annotating Slides During a Presentation Use any of three marker options—Ballpoint Pen, Felt Tip Pen, or Highlighter—to mark on slides during a presentation. Access the markers by clicking Pointer Options on the shortcut menu, or click Pointer on the popup toolbar. Save the markings or delete them after viewing the presentation.

17 Annotating Slides During a Presentation (cont.) Another way to annotate slides is to use Speaker Notes during the presentation. These notes are attached to the slides just like notes created in the Notes pane.

18 Other Ways to Present Slides Use Microsoft Producer to publish a presentation that can be used for an online broadcast. Use NetMeeting to collaborate on a presentation with other meeting participants. Run a presentation on another computer by first packaging the presentation for delivery.

19 Using Package for CD Use the Package for CD feature to organize presentation materials. The packaged files can be copied to a CD- ROM or stored in a folder on a disk. Package for CD lets you specify whether to include the PowerPoint Viewer and the presentation’s TrueType fonts.

20 Using Package for CD (cont.) First, name the CD (or the folder in which materials will be stored) Click Options to choose whether to include the Viewer and TrueType fonts

21 Summary You can use a number of features to fine- tune your presentation before presenting it. During the presentation, you can use shortcut menu commands or the popup toolbar to jump to specific slides, annotate slides, and record speaker notes.

22 Summary (cont.) PowerPoint has several features that allow you to broadcast a presentation or host a meeting for persons in different geographical locations. You can easily pack a presentation to take it to another computer. Use Package for CD to gather the files necessary for the presentation.
