Project reporting in FP6 Guidance notes for Integrated Projects, Networks of Excellence, Specific Targeted Research Projects, Coordination Actions

Project monitoring in FP6 consists of a review of the reports and of the deliverables submitted by the project coordinator. The Project Reporting document provides guidance and instructions to assist the consortium in preparing these reports and deliverables …dont panic, it is just a 86-page document!

Learning experience for both research community and the Commission Look at these Guidelines as a management tool to keep control of the project, not as a constraint Start using them as from now It is based on the reporting requirement of Annex II of the contract

3 reports to be delivered after each reporting period: 1) Activity Report 2) Management Report (including the Financial Statements) 3) Report on distribution of Communitys distribution 4) Draft planning for next 18 months (IP/NOE) 5) Questionnaires (to be completed on-line)

Activity report: -Publishable executive summary -Project objectives and major achievements during reporting period -Workpackage progress -Consortium management -Other issues: ex. ethical issues, competitive calls -Plan for using and disseminating knowledge (type: Press, TV, conf, publ, film… and type of audience)

Management Report -Justification of major costs and resources (linked to activity each contractor). Useful tabular overview: major cost items, budgeted vs. actual costs, person-months, major deviations from budgeted costs. -Financial statements (ex cost statements) -Summary financial report -Audit certificates

Report on the distribution of the Community contribution (financial forms) Draft plan for next 18 months (IP/NOEs) Questionnaires

Questionnaires: Science and Society questionnaire (all projects): to help coord. engage w/ actors beyong research community, monitoring S&S dimension in FP6 (ethics, gender, science education, policy makers, communic with public). Gender Action Plan (GAP) only IP/NOEs (1st year and end) to assess progress Work Force Statistics (not IP/NOEs) (table: type of position, how many wom-men)

Periodicity of reports indicated in the CT art. 6, however in the Technical Annex might be indicated an interim report (ex: 6 months). Deliverables in addition to reports. Commission has 45 days after reception to assess activity reports (deemed approved if no comments after 90 days). Other reports: no tacit approval after 90 days. Reviews: by one or more experts; possibility of hearings with the projects.
