B-11 Common Data Errors – Not intended to – CEPI’s Initial IEP Report is an account of what a district is submitting in a given collection It is not deduplicated It does not include multiple collections It does not include SRM It does not filter out incomplete records or for B-11 reporting ages It does not filter out timeliness codes that districts are not negatively held responsible for (parent did not make child available, student died, parent withdrew consent, student moved) Why does my B-11 data not match CEPI’s Initial IEP Report? Data Quality Alert – Sent out prior to EOY submission after reviewing Fall and Spring Collections – It is a courtesy-It does not mean there is definitely something wrong with your data (flagged as atypical because initials are fewer than 1% or greater than 25% of total SE count) 11

B-11 Monitoring Based on data review, locals issued a B-11 finding of noncompliance in the December workbook must: Convene a RAP Team Review and analyze local policies, procedures, and practices Submit a CAP by February 1 Submit a progress report by June 1 Request verification and closeout by September 15 12

B-12 Data Collection MI-CIS was decommissioned September 30, 2012 Beginning with Fall 2012 Special Education Count, MSDS was used as data collection tool Currently analyzing our first year of data using this new collection method Data collected during the School Year will be reported in the FFY 2012 Annual Performance Report (APR) in 2014 B-12 is a Compliance Indicator (Target = 100%) 15

B-Timely IEP Data Collection MSDS Fall, Spring, and EOY Collections are used to calculate Timely IEP (Student Record Maintenance is also included) The list contains all students who had an IEP date older than 365 days during the school year Exempt: – Initial IEPs – Students that exited district before IEP due date 19

B-Timely IEP Common Data Errors Student has two IEPs in the school year. The first is within 365 days and the second IEP is beyond 365 days. The local only enters the second IEP in MSDS. It appears that there was more than one year between IEPs. Locals believe that they have 30 days to do an IEP for students new to the district. 20

B-Timely IEP Monitoring Based on data review, locals issued a B-Timely IEP finding of noncompliance in the April workbook must: Convene a RAP Team Review and analyze local’s policies, procedures, and practices Submit a CAP by June 1 Submit a progress report by October 1 Request verification and closeout by February 15 21

B-Timely IEP Additional Information MSDS has a related report that checks for late IEPs. The “District Special Education Report” and/or “District Special Education Report for Download” in either the Staging Reports, before the collection is certified, or with the Certified Data Reports, after certification. It is not as detailed as the dataset used to create the Timely IEP report, but you’ll be able to tell who is late as of the collection count date. CIMS Website /TimelyIEPs.aspx 22
