MAKING A TECHNICAL POSTER SEDS International Conference - SEDSIC ’07 September 22 nd & 23 rd, VIT University, Vellore, Tamil Nadu, India NAKSHATRA Technical Paper/Poster Presentation Event

Why Technical Posters? Structured poster sessions, popular at all major conferences, are an important way to present your work and ideas throughout your scientific career. Posters allow authors and participants to ask questions and discuss their work in a more interactive manner than typical paper sessions.

Goals Publicize your ideas/work. Display what you did and how you did it. Present conclusions about your ideas. Encourage participants to ask questions, and read your papers. Identify errors so as to correct them next time.

Time-Limits  T Time-Limits:  O Oral Presentation to Judges: 7 minutes maximum  Q Question & Answer session by Judges: 2 minutes  T TIME LIMIT SHOULD BE STRICTLY FOLLOWED; any extension can lead to deduction of marks.  A All the authors may choose to speak, but time-limit should not be exceeded.  M Models (if any) may be included, but oral presentation of the same should be done within the same allotted time limit of 7 minutes.

Guidelines  A Any suitable poster medium/material can be used: paper (chart sheets), vinyl sheets, stiff cloth, hard plastic sheets etc.  P Poster area SHOULD NOT EXCEED 1 m 2.  Poster should have PRINTED DATA ONLY (including graphs, pictures, diagrams etc.).  If you are planning to make a full-size digital poster, the most ideal software is Adobe PHOTOSHOP.  P Paper print-outs can be stuck on a base made of any of these materials, in case printing whole poster is difficult.  N No form of artwork is acceptable: glitter, sparkle, paints etc. should be strictly avoided. Remember that you are at a TECHNICAL poster session, not an art exhibition!  However, markers may be used, but sparingly.  N Notice board will be provided, besides pins, cello-tape & other stationery.  M Models (if any) may be included, but oral presentation of the same should be done within the same allotted time limit of 7 minutes.  D Do remember that your team will be judged strictly on your poster only.

Some Tips on Making a Technical Poster

Text & Readability Keep the text brief (less than 50% of the total poster area); the message should be clear and understandable without oral explanation. Data should be given in POINTS. No more than 15 lines of text (or points) per page. All letters on your final poster should be big enough to make it readable at 8 feet. Avoid lesser-known abbreviations, acronyms, or jargon which may be difficult to comprehend. Keep in mind that upper and lowercase letters together are easier to read than all uppercase i.e. for eg. “ These are the Results “ is better readable than “ THESE ARE THE RESULTS ”.

Poster Background & Readability Poster background and print should be in contrasting colors. A light background & dark print works well. A dark background & light print also works well. A light background & light print??? Not at all! A dark background & dark print??? Not so much...

Making Intelligent Use of Color Color is an efficient and effective way to draw attention.

Layout (w.r.t. Eye Movement) The layout of the poster should be such that movement of the eye should be natural; for example…

Graphs & Figures  A A well-documented graph or figure is way more attractive and better than lengthy text.  T Tables are difficult to read; represent data graphically whenever possible.  A A photograph often is worth a thousand words.

Evaluating Posters If I am a participant of another poster-presenting team, I would evaluate a poster as below: What is this poster about (and was it easy to find out)? Is it easy to follow (do I know where to look next)? Are there elements in this poster I want to incorporate in my own? Are there elements I definitely do not want in my poster? Why is this [not] a good poster?
