Lesson 4: Manage Presentations PowerPoint 2007 contains features that allow you to rehearse timings and customize your slide show, helping you to finalize your presentation for an audience.

How do I add, delete, and rearrange slides? How do I add hyperlinks and Action buttons? How do I create custom shows and rehearse timings? How do I burn a presentation to a CD? How can I check compatibility with earlier versions of PowerPoint? What vocabulary words should I review? Lesson 4: Manage Presentations View This Presentation to Answer the Following Questions:

A hyperlink is clickable text that takes users to a new location. Lesson 4: Manage Presentations Use hyperlinks to quickly move to a different slide within the same presentation, to another file on your computer, or to a Web page. To insert a hyperlink in a presentation, use the Insert Hyperlink dialog box.

An Action button is a button displayed on a slide. Lesson 4: Manage Presentations Like a hyperlink, it allows you to link to another slide, presentation, document, or Web page.

Lesson 4: Manage Presentations Buttons can take you to the first slide in your presentation, to more information, to the Help screen, to a selected document, or to the last slide. Buttons help you navigate among slides.

Grids and guides make it easier to create, modify, and align text and graphics. Lesson 4: Manage Presentations A grid is a series of horizontal and vertical lines that look similar to graph paper. A guide is an adjustable horizontal or vertical line on a slide to help you align objects.

To insert grids and guides in a presentation, use the Grid and Guidelines dialog box. Lesson 4: Manage Presentations

To insert sound and movie files into a presentation, use the Insert tab. Lesson 4: Manage Presentations Be sure to choose clips that add to your overall presentation. Clips that are too long or seem unconnected to the presentation’s message will distract the audience.

In Normal View, use the Notes pane to add notes to your presentation. Lesson 4: Manage Presentations You can write notes about what you will say on a slide- by-slide basis. Notes can help you stay focused on your main points as you give a presentation.

To see how slides, outlines, and handouts will look when you print them, use Print Preview. Lesson 4: Manage Presentations Use the Print What drop-down arrow to preview different views. You can also add frames, headers, and footers to your slides.

Depending on your audience, you may want to customize your presentations. Lesson 4: Manage Presentations Instead of deleting slides that you do not want to use, simply hide them by using the Hide Slide button. Hiding slides is also a quick way to reduce the length of a presentation without deleting any work.

Create a custom show to gear a larger presentation to a more specific audience. Lesson 4: Manage Presentations A custom show includes slides from an existing slide show. You can edit a custom show by adding, removing, and rearranging slides.

Use a Pen to highlight or circle items, and use an arrow to point to parts of a slide. Lesson 4: Manage Presentations You can change the color of the pen and erase an annotation, or mark. Select Print Comments and Ink Markup from print options to print your annotations.

To set a show’s timing, or how long each slide appears, rehearse the presentation. Lesson 4: Manage Presentations Use the Rehearsal toolbar to move from slide to slide, to track the presentation’s total time, and to pause if necessary. When finished, test your timings by viewing the slide show again.

Burning a presentation to a CD makes it easy to store and transport your work. Lesson 4: Manage Presentations When you use the Package for CD feature, PowerPoint automatically creates a folder that stores all the presentation files.

The Compatibility Checker will check for features used in your PowerPoint presentation that are not compatible, or capable of operating in previous versions of PowerPoint.
