Data Protection Manager - From The Customer Perspective Jason Buffington Sr. Product Manager Data Protection Manager Microsoft Corporation

System Center Data Protection Manager Backup/Restore remains the single most costly IT administrative task. The cost of managing data protection and storage is 5x - 7x the cost of purchasing the hardware. More specifically, 74% of storage costs are for management and administration, with only 12% going to hardware. – Gartner – Gartner

System Center Data Protection Manager 97% of all tape restores are single files – Strategic Research 85% of tape restores are for data less than 30 days – IDC

System Center Data Protection Manager Tape Restores fail 41% - according to Yankee Group 66% - according to Strategic Research 70% - according to Promise Due to a variety of reasons, including unreadable tape, corrupted indexes, mechanical issues with tape changer, unable to locate tape, etc

Rapid and Reliable Recovery Customer Data Protection Pain Points Customer Needs: Faster Recovery Recovery is unreliable and painful Too slow and expensive to recover files Typical recovery takes hours or days (slow, expensive) Recoveries are unreliable 42% of companies had failed recovery in past year 50% of customers wish for online backup verification Data protection is labor intensive All recoveries go through the server admin Solution with DPM Designed for fast recovery Enables a whole new recovery scenario–end users: files, Admins: servers Snapshots enable multiple recovery points Recoveries are assured through verification

Customer Data Protection Pain Points Customer Needs: Eliminating Backup Window Backup is too complex, slow, and inefficient Shrinking backup window Growth in data makes it too difficult and time consuming to back up Backups too slow/lots of manual scheduling Mandated disaster recovery plans 24 hours of data loss assumed with tape Tape as one size fits all (file and server recovery, offsite protection and long term archive) Tape inconvenience and unreliability of is # 1 challenge Solution with DPM Faster and More Efficient Backup Never do a full backup from a production server again Avoid the shrinking backup window Avoid the shrinking backup window Continuous and efficient protection

Customer Data Protection Pain Points Customer Needs: Simpler Solution, Lower costs Current backup products are too complex, costly Companies spend too much time and money on backup Labor is the majority of backup cost Branch office data protection is cumbersome Massive data growth increases costs Too many tapes Most disk-based backup solution are cost prohibitive Solution with DPM Designed to reduce TCO via continuous, disk-based backup Automatic protection schedules = reduce operational costs, increase efficiency Allows end users to easily recover their own files Usability and easier management Integration into existing environment Industry standard hardware and software Operational Simplicity

What Does DPM Do? Near continuous (hourly) protection of files DPM agent on file servers Byte-level changes transmitted to DPM server Multiple scheduled snapshots per day Easy IT or End-User restore – fast from disk

Solutions With DPM Disk to disk to tape within data center Active Directory Scheduled auto-discovery job Queries AD for new servers Protects Win2000, 2003, WSS2003 (non-clustered) Maintains ACL’s Redirects shadow copies ActiveDirectory Clients

Clients ActiveDirectory File Servers Solutions With DPM Disk to disk to tape within data center Agents Agents track / synchronize data from production servers to DPM All agent communication initiated from DPM Components: file system filter, Coordinator Each protected volume has sync log (10% of volume size) Agent overhead 3-5% Deployed via DPM UI

Solutions With DPM Disk to disk to tape within data center DPM Server Windows Server 2003 or Storage Server AD, SQL, Reporting Services Lots of disks (1.3X) Snapshots created for quick recovery Virtual Disk Service Installed parallel to tape Clients ActiveDirectory File Servers DPM Servers

Solutions With DPM Disk to disk to tape within data center Snapshots Multiple, schedule driven point-in-time copies User-friendly, wizard driven set up and restore Clients ActiveDirectory File Servers DPM Servers Snapshots

Solutions With DPM Disk to disk to tape within data center Customer Scenarios Fast Restoration from Disk End User Recovery (via DPM client) IT Admin can restore entire servers, volumes, shares Clients ActiveDirectory File Servers Tape Library DPM Servers Snapshots

Implementation Scenarios Branch office data protection Corporate WAN New York Chicago Los Angeles Clients Clients Clients Headquarters DPM Server Backup process Agent deployed to branch office servers Agent captures data and replicates to DPM server in HQ DPM takes snapshots to enable recovery at multiple points in time Benefits Rapid & reliable recovery including end user recovery Less potential data loss Easy and efficient scheduling and management No trained staff needed in branch Reduce tape equipment requirements in the branch

Completing The D2D2T Scenario Allows for restore of DPM server itself (system state, replicas) Enables restore of any file object on production servers from tape Provides ISV’s ability to control this process through their software applications Solutions available: Yosemite, Veritas, CommVault, Windows Backup Clients ActiveDirectory File Servers DPM Servers Tape Library

San Francisco School District School District Adopts Backup System to Easily Restore Files, Saves $100,000. “You’re saving all this staff time, training time, and monitoring time to make sure that the people are doing what they’re supposed to do. It really is a good solution for us.” Customers Tell The Best Story… Microsoft Information Technology The Microsoft IT Data Protection Services Group centralized the backup and restore services protecting 130 branch offices with DPM. The DPM deployment will save Microsoft $2.7 million over the next two years. New York City Department of Sanitation, Bureau of Motor Equipment “Ease of installation and use, handy management and reporting features, speed of recovery and cost-effectiveness of DPM blow the competition away” Shrunk backup from 48 hours to 10 minutes; drastically lowered failed backup jobs and error messages across 30 file servers. Des Moines School District DMPS cuts data protection costs by 94 percent DPM expected to save the district $135,000 for the first year. “When a user needs a file restored, they don’t ever have to file a work order or contact the Help desk. They can restore their own file instantly.” The district is so pleased with DPM that it is implementing the solution in all elementary schools and eventually, in all secondary schools.

Case Study: Microsoft IT Situation Needed an alternative to tape-based solutions for providing backup and restoration services to the company's 115 branch offices. DPM Solution Benefits Savings of $1.4 million in the first year of deployment through not having to support a tape-based infrastructure at 115 branch offices Better user experience, because restorations that formerly took hours to retrieve from tape can now be completed within seconds Better process for protecting data for IT personnel and others who help ensure data availability

Case Study: Microsoft IT

At least 14 days of past data immediately accessible on disk Data Center BranchesServersData DPM servers Redmond TB 4 Dublin TB 5 Singapore TB TB 12

Case Study: Microsoft IT The largest DPM Server (heaviest production load): 22 production servers protected * 10.2 TB total capacity 7.1 TB allocated 3.5 TB used * 22:1 number is not indicative of a DPM maximum capability * 22:1 number is not indicative of a DPM maximum capability The busiest production server - going to the DPM server Average change rate of 4.91%, next highest server change rate is 0.9% In an average of 2:51 hours, 5.49GB of data is synchronized to the DPM with a transfer rate between kb/sec The big news is that the DPM server is using 180GB of DPM storage to protect a 120GB production disk with a 5% change rate This provides 40 replicas of protection for this server!

Case Study: Microsoft IT Ranking of Top 10 File Servers by average data change rate (in %) over five week interval ending March 2006 Rank File Server Change Rate(%) Data Protected (GB) 1PHUP % DUFL % HOUP % EDUP % TOUP % ATUP % NCUP % HAUP % BOUP % BOUP % 9.98

Case Study: Microsoft IT "After our initial investment of $1.1 million for equipment, we are saving $1.4 million in fiscal year 2006 and anticipate saving $1.4 million in fiscal year 2007," – Bob Davis, General Manager, Global Technology Services This figure does not include the additional savings the team will see from reducing the personnel it now has assigned to supporting taped-based backups. "We have committed to reducing the team we use to support remote backups," says Davis. "We'll reduce the size of the vendor support team by as much as 40 percent. That doesn't include the additional savings from not having to use local resources to help manage backups. DPM enables us to run our IT operations at these remote sites on a 'lights-out' basis, completely eliminating the need for local IT staff at the branch."

K-12 Education Des Moines Public Schools San Francisco Unified School District Case Study

Case Study: K-12 Education The problem Non-profit / public service = limited budget IT different than core function = very limited budget Minimal core function at “data center” EVERYTHING is done at the remote sites (schools) “The teachers can recreate a worksheet” “It’s just files”

Case Study: K-12 Education Des Moines Public Schools The state’s largest school district 65 elementary and secondary schools. Employing 5,000 faculty and staff Teaching 32,000 students Solution Benefits DPM cut data protection costs by 94 percent DPM saved the district $135,000 in the first year. “When a user needs a file restored, they don’t ever have to file a work order or contact the Help desk. They can restore their own file instantly.”

Case Study: K-12 Education San Francisco Unified School District Among the largest school districts in the United States Tape Backup were costing $1700 per site 7,100 employees, including 4,000 teachers Over 130 schools to protect 58,000 students Solution Benefits School district adopted backup system to easily restore files – and is saving $100,000 “You’re saving all this staff time, training time, and monitoring time to make sure that the people are doing what they’re supposed to do. It really is a good solution for us.”

Case Study: K-12 Education “Compared to the alternatives, the System Center Data Protection Manager solution is incredibly affordable...for school districts that run on tight budgets.” -- Robert Bledsoe, Network Architect “Before, it could take up to eight hours to do a full tape backup, but with DPM, byte-level backups typically take less than an hour.” – Dan Warren, Network Specialist

Case Study: K-12 Education “DPM just solved problems. It didn’t really have any problems that came with it – amazing!” – Eric Boutwell, CIO San Francisco Unified School District (SFUSD) ““The whole process is simply going to the centralized console, and then just right-click the file and recover. It’s done basically instantly.” – Lance Auman, IT Director, San Francisco Unified School District (SFUSD)

Common Customer Criteria DPM is a solution for customers of all sizes but frequent customers are Medium-sized data centers servers Significant backup window issues Frequent file recoveries from tape Few IT staff Familiarity with VSS and SCSF Have a Recovery Point Objective (RPO) of approximately one hour Have a faster Recovery Time Objective (RTO) than tape can provide Enterprises with lots of branch offices Many distributed branch office file servers Few or no dedicated IT staff in the branch Likely to currently use existing tape infrastructure High backup costs
