UC Irvine’s Injury and Illness Prevention Program www.ehs.uci.edu Angela Geissbuhler – Coordinator for the Safety On Site (SOS) program at EH&S Thank you for allowing me to speak to you about SOS Follow along in section 2 of your binder implementing all over campus (admin units, labs, FM) so some of you may have heard of it It’s a program that helps integrate safety into the work place. Different components – may be familiar with most of them, and may be doing some already Recently made some changes to the program to make it easier to implement

Overview Safety at UCI Purpose of SOS Roles and Responsibilities Hazard Identification Checklist Safety Training Tools and Resources SOS Rewards What SOS is Components of the program Tools and Resources to help the SR implement the program

Employee Injuries at UCI FY Incidents Cost 2006-2007 448 $1,786,597 2007-2008 485 $1,558,231 2008-2009 425 $1,168,138 2009-2010 500 $1,012,090 2010-2011 474 $676,032 2011-2012 $416,469 Give you some background on injuries on campus - Share data with you Last 5 FY – totals include first aid Injuries – stayed the same Costs have decreased quite a bit Money comes back to the University by way of Be Smart About Safety (building fixes, training, etc) may be b/c of increased awareness about safety = more reporting = implementing SOS

Most frequent injury? Most severe injury? These injuries pertain to all of us All of us are on a computer at some point during the day, some all day Ergo Evaluations Most severe injury?

Chancellor’s Safety Message As employees, we all have a role in creating and maintaining a safe environment Participate in safety training Empower employees to report near misses Safety is a shared responsibility Prevent workplace injuries and illnesses Sent out every year – your involvement in safety Elements the need to be met to fulfill your responsibilities as an employee to prevent injuries and illnesses. We can accomplish some of these goals by implementing SOS

What is SOS & why do we need it? UCI program that meets Cal/OSHA’s Injury & Illness Prevention Program (IIPP) Standard Integrates Safety into our Workplace Injury Minimization Workers’ Compensation Cost Reduction Creation of a Safety Culture Employee portion of the IIPP Asks employees to identify hazards and train staff Integrates safety = lower injuries = lower costs

Work Units Lowest level work group of individuals that have similar training needs       Includes people who work closely together on a regular basis Examples: PI and laboratory staff Office manager and staff Trades supervisor and staff We find that the best way to implement SOS is to first identify work units on campus

SOS Representative (SR) Appointed by a Supervisor or PI Coached by EH&S to implement SOS into their work unit Qualifications Familiar with the work units daily activities Ability to communicate safety procedures to work unit members Ability to maintain culture of safety in the work unit Next step is to designate a SOS Rep (SR)

SOS Representative Responsibilities Complete Hazard Identification Checklist Ensure work unit members have taken the Safety Training Self-Assessment and completed EH&S required training in UC Learning Center Complete work unit specific training Communicate completion of steps and safety related activities to EH&S                            IIPP – identify hazards 1) Train staff 2 and 3

Hazard Identification Checklist SR surveys work area and identify hazards Correct hazards Document date corrected Go to section 3 of binder

Hazard Identification Checklist Complete checklist every year Complete earlier if: Significant change to environment Significant change to operation New hazards Maintain SOS Records Indefinitely

EH&S Required Training UC Learning Center (www.uclc.uci.edu) SR ensures work unit members log into UCLC and complete the Safety Training Self-Assessment and EH&S required training Questions evaluate job categories/activities Responses determine required training Supervisors/PI’s have access to transcripts Other part of the IIPP is training 2 types of training. Go to UCLC Required for all employees PI Supervisor training Go to Section 4 of binder

Work Unit Specific Training Beyond the standard EH&S course offerings Address hazards and processes found only in your work unit Review Hazard Identification Checklist Review SOP’s Review other work unit specific activities Discuss specific work unit hazards at meetings Document work unit specific training Another type of training Beyond EH&S training Addresses hazards found in that specific work unit SR will review checklist, SOP’s – examples of WUST in Section 5 of binder Hold safety meetings for current staff – review items Document training - show template

Standard Operating Procedures (SOP’s) Includes safe procedures and steps for hazardous work processes Examples: Emergency exit procedures Using a highly hazardous chemical Performing an operation around high voltage equipment Security is another example Document training Show website

Lookout for Changes SR ensures when new hazards arise and when employees change job duties they: Retake self-assessment in UCLC Enroll in additional required EH&S classes Update Hazard Identification Checklist Receive work unit specific training

Tools and Resources Frequently Asked Questions (FAQ) Hazard Identification Checklist UC Learning Center (UCLC) Work Unit Specific Training Work Unit Specific Training Roster Template SOP’s and Other Resources SOS Rewards SR Listserve Refer to website hand-out Listerv – SR’s will be added

Incorporate S.O.S. elements into all work activities for improved EH&S performance on campus Using S.O.S. will achieve results beyond compliance and create a culture of safety awareness

In Summary Complete Hazard Identification Checklist Ensure all employees in work unit have taken the self-assessment and completed EH&S required training in UCLC. Complete work unit specific training. Communicate progress to EH&S Show binder
