In the Outlook navigation pane, click Calendar and then click Share My Calendar. In the Calendar Properties dialog box, on the Permissions tab, click Add. Share your calendar with others Change permission levels Stop sharing your calendar See another person’s calendar See your permissions on another person’s calendar Remove another person’s shared calendar Share Your Calendar with Others Outlook 2003 allows you to make your calendar visible to others, as well as to see others’ calendars. Seeing another person’s schedule is helpful for planning events, checking availability, and confirming information. In this guide, you will learn how to: About Sharing Your Calendar When you are finished adding names, click OK. Click a name you added and under Permissions, in the Permission Level list, select the permission level you want to assign to that person. (See table on next page for Calendar permission level information.) Tips You can apply the same permissions to several people at once by selecting the names together and applying one permission to all. You can create custom permissions by selecting the check boxes and options under Permissions. If you do not wish to share everything on your calendar, create a duplicate calendar and move your private items to the duplicate. In the Add Users dialog box, enter the names of the people you want to share your calendar with. After each name, click Add. After you have selected a permission level, click Add.

Change Permission Levels In the Calendar pane, click Share My Calendar. In the Calendar Properties dialog box, on the Permissions tab, click the person’s name. In the Permission Level list, select a new permission level for that person. See the table below for permission level information. Click OK People with this permission Can do this in your calendar OwnerCreate, read, modify, and delete all items in your calendar and create subfolders. Can also change permission levels for others. (This level not available to delegates*.) Publishing Editor Create, read, modify, and delete all items and create subfolders. (This level not available to delegates*.) EditorCreate, read, modify, and delete all items. Publishing Author Create and read items, and modify and delete items you create. (This level not available to delegates*.) AuthorCreate and read items, and modify and delete items you create. Nonediting author Create, read, and delete own items, but can’t edit them. ReviewerRead items only. ContributorCreate items only. The contents of the calendar do not appear. (This level not available to delegates*.) NoneNo permission. People with this permission level cannot open your calendar If you wish to change someone’s permissions to access your calendar, you can do so at any time. Stop Sharing Your Calendar In the Calendar pane, under Other Calendars, click Share My Calendar. In the Calendar Properties dialog box, on the Permissions tab, click the name of the person you no longer want to share with. Click Remove and click OK.

All rights reserved. 1 2 See Your Permissions on Another Person’s Calendar In the Calendar pane, under Other Calendars, right-click a person’s name and click Properties. In the Calendar Properties dialog box, click the Summary tab See Another Person ’ s Calendar Once another person has given you permission to view his or her calendar, you can see it after performing the following steps. In the Outlook navigation pane, click Calendar. Click Open a Shared Calendar. In the Name box, type the person’s name, or click Name to choose it from the Address Book. Click OK. 4 The person’s calendar appears side-by-side with your main calendar. A check box for this calendar also appears under Other Calendars in the Calendar pane. Clear the check box to close the calendar. Your permissions for that person’s calendar appear. The permission check boxes are grayed out, because permission changes can be made only by the calendar owner. View several calendars side-by-side. Shared calendars appear with different background colors.
