The BalticGrid-II Kick-off meeting, Vilnius, 14th May Objectives The NA2 objectives from Annex I: to ensure expertise sharing and active dissemination of the benefits of Grid- empowered e-Infrastructures (especially of BalticGrid-II), to carry out the necessary education to build active and successful user communities in the Baltic States and Belarus.

The BalticGrid-II Kick-off meeting, Vilnius, 14th May Objectives – in more detail Sharing information on the benefits of Grids, especially the BalticGrid-II project and its offer, to broad communities of potential users in academia and the public sector with special emphasis on communities in the Baltic States and Belarus. Provide training for the formation of staff skilled in Grids (Grid administrators). Provide training for users at various levels – for beginners (especially for users from new communities), and more advanced – mostly for application developers. Assuring communication of Project progress among its partners. Ensure expertise sharing between partners to improve skills and comprehension of teams that work with BalticGrid-II infrastructure.

The BalticGrid-II Kick-off meeting, Vilnius, 14th May NA2 Plans - events Organization of Grid conferences and events: Project conferences (3-4 during the 24 months of BalticGrid-II) accompanied by “Grid Open Days” hosted in partner countries and aimed at potential users, local industry and authorities:  Kick-off Meeting (M1) in May Vilnius  1st AHM (M7) to be organized in Nov 2008 – Minsk  2nd AHM (M13) to be organized in May 2009 – Tartu  3rd AHM (M21) to be organized in Jan 2010 – Riga At least two AHMs will include Grid Open Days. At least one scientific conference – at the end of BalticGrid-II life, where research results of the Project partners and users will be presented:  to be organized in Nov 2009 – Vilnius Scientific workshops on various Grid aspects

The BalticGrid-II Kick-off meeting, Vilnius, 14th May NA2 Plans - events Organization of Grid conferences and events (cont’d): Dedicated sessions for Grids during other large and suitable conferences co-organized by BalticGrid-II partners in their countries, New forms of dissemination activities devoted for broader audience (like Grid Info Festival) – organized locally by Partners at least once during BalticGrid-II life – to attract new communities.

The BalticGrid-II Kick-off meeting, Vilnius, 14th May NA2 Plans - events Grid Seminars  organized by each Project partner, in particular those from the Baltic States and Belarus (at least 1 organized per 6 months by each Partner in BS and Belarus),  involving lectures on subjects such as basic concepts of Grid technology, distributed computing and enabling applications to Grid, etc. Grid Tutorials  during the first 12 months we plan to organize (together with SA3) three, 2-4 day training of the support specialists,  tutorials are also foreseen for infrastructure support and maintenance staff, as well as for people interested in management of Grid infrastructure (e.g. based on gLite),  the main focus will be put on tutorials for Grid users (application developers), who are interested in the results which can be achieved through Grid computing.

The BalticGrid-II Kick-off meeting, Vilnius, 14th May NA2 Plans - events Grid Summer School  in Jul / Aug 2009, in Vilnius,  dedicated first of all to young researchers and postgraduate students,  senior lecturers (a.o. trained within SA3) will give lectures and hold classes with practical exercises in order to allow young researchers to acquire the necessary background in disciplines related to Grid computing and especially with different aspects of enabling applications on the Grid.

The BalticGrid-II Kick-off meeting, Vilnius, 14th May NA2 Plans – participation in events Participation in external events All Project Partners are encouraged to actively participate in various conferences, workshops and exhibitions promoting the Project and its results through:  presentations,  exhibitions and demonstrations.Examples  EGEE events (e.g. EGEE'08 Conference, on September 2008, in Istanbul,Turkey),  Cracow Grid Workshops (October 2008, 2009),  ICT conference and exhibition (November 2008),  TERENA conference,  NREN and Grids workshops,  Open Grid Forums,  Grid Concertation Meetings.

The BalticGrid-II Kick-off meeting, Vilnius, 14th May NA2 Plans - materials Disseminative materials templates (slides, brochures, deliverables) presentations posters, brochures articles targeted at general public and scientific communities a short e-learning course (on CD/DVD or available from the web site) other promotional items some input for relevant European Commission initiated dissemination activities (e.g. press releases, news bulletins, brochures, success stories, posters, web- based publications, multimedia material, etc.) need to be prepared by: NA2 leader – general presentations, brochures, posters, etc. Activity Leaders – technical brochures, posters locally by the BG Partners – (in local languages) The NA2 leader should be provided with copies of all disseminative materials to place them on the Project website

The BalticGrid-II Kick-off meeting, Vilnius, 14th May Organization of work Partners responsibilities - dissemination is a duty of every BG partner: IFJ PAN - the leader of NA2 - will plan, organize and coordinate all NA2 activities. Other partners:  will spread BalticGrid-II information via lectures, seminars, tutorials and local media, and promote local activities on a broad base during conferences and workshops,  will support locally organization of workshops, Grid Summer School, AHMs (All-Hands Meetings) and Grid Open Days,  will also be responsible for providing the NA2 leader with information and materials concerning results of their work within the Project,  Partners involved in SA3 will have a leading role in teaching at tutorials organized within BalticGrid-II. RTU - will be responsible, in addition to the responsibilities of all partners above, for preparation of distance learning resources.

The BalticGrid-II Kick-off meeting, Vilnius, 14th May Organization of work The following organizational rules will be enforced by this activity: each partner will identify a contact person in his/her institution who will be responsible for close contacts with NA2 leader and local coordination of ETDO activities, dissemination mailing list will be used for regular communication within the NA2 team to discuss current activities and plans, regular contacts and cooperation between the NA2 leader and Dissemination Contact Persons will be performed through s as well as through meetings organized to:  discuss current activities and plans,  update all partners on work progress, events, decisions, etc. IFJ PAN will collect monthly reports concerning dissemination activities of every Project partner (by use of specially prepared questionnaires (which will be distributed by and available on the internal NA2 Web page), as material for:  dissemination deliverables,  BalticGrid-II web pages,  brochures, posters and other promos.

The BalticGrid-II Kick-off meeting, Vilnius, 14th May Organization of work Contact Persons’ duties: participating in the NA2 meetings (mainly during AHMs) to discuss current activities, results and plans, distributing information received from the NA2 leader among BG-II members and other interested parties at their respective institutions, providing information on dissemination activities performed in their institutions every month (through specially-prepared questionnaires), providing information on the local progress of the project: status of the local Grid infrastructure, applications, users and education activities, as well as the work progress and results achieved so far; this information will be collected and used in web pages, presentations, brochures and posters, coordinating the preparation of local BG-II web pages on the websites of respective institutions.

The BalticGrid-II Kick-off meeting, Vilnius, 14th May Organization of work Activity Leaders’ roles (in the framework of cooperation with NA2): approval of NA2 actions, dissemination materials and documents, providing information on the progress of each Activity (results, achievements, news) used for the Project dissemination materials, preparation and maintenance of public Activities’ web pages, containing detailed and up-to-date information useful for potential users of the Project infrastructure or people interested in Project applications (guides, instructions, etc.),

The BalticGrid-II Kick-off meeting, Vilnius, 14th May Organization of work Activity Leaders’ duties (cont’d) supporting ETDO activities planned centrally, and especially:  the NA3 will cooperate with NA2 in terms of organizing Grid scientific workshops,  the SA1 will cooperate with NA2 in terms of delivering the infrastructure for training events,  the SA3 will help NA2 in terms of preparation of tutorials for users (definition of program and finding lecturers and teaching during the events) and will cooperate with organization of training of the support specialists,  the JRA will closely cooperate with NA2 in terms to reach the added value on all levels, i.e.: – to have the integration of e-Infrastructure with scientific community needs, – to make a wider dissemination of what functionality (services) will be delivered for the research community (done through seminars and workshops in the early project stage) – and what was delivered (done via practical examples at summer school, training courses and tutorials).

The BalticGrid-II Kick-off meeting, Vilnius, 14th May Expected Results NA2 Deliverables  Information presented in the NA2 deliverables will serve as one of the main sources of knowledge about the results achieved by NA2 Measurements of Results  Number of d isseminative materials and publications prepared in the framework of the Project (presentations, brochures, posters and other promotional materials as well as scientific papers and press items).  Number of organized events (Project conferences, scientific conferences, Grid Open Days, workshops, seminars, tutorials, etc.)  Statistical information on attendance at different types of events  Number of contacts gathered during Grid Open Days and external events such as conferences, workshops and exhibitions.

The BalticGrid-II Kick-off meeting, Vilnius, 14th May Expected Results Audiences  The list of audiences will be extended with the potential users and researchers from new scientific communities of Baltic States and Belarus.  The dissemination will also be performed to a greater extent outside Baltic States - in Europe and at other events.  Through the conferences, summer school and other events organized by BalticGrid-II, the application users and developers will have opportunities to familiarize with the Grid technologies’ issues and achievements of BalticGrid-II.  It will be also possible for these users to establish some initial contacts with Grid experts, during some face-to-face meetings held during above- mentioned events.  The goal is to ensure that potential users in all relevant disciplines are properly informed about, and assisted in, using BalticGrid-II and resources available through it.

The BalticGrid-II Kick-off meeting, Vilnius, 14th May Expected Results Website statistics  website usage reports will be introduced,  they will contain information concerning the website activity and access statistics for three-month periods,  the number of hits, page views and visitors will be given along with information on user hosts and top-level domains,  full reports will be available in the NA2 Internal area of the website.

The BalticGrid-II Kick-off meeting, Vilnius, 14th May Collaboration NA2 will collaborate with  other Grid projects (mainly for the development of education and training material),  existing national and regional organisations (NGIs in Partners’ countries) to have a broader scope of dissemination activities. NA2 will also cooperate with users from Special Interest Groups (already started in the BalticGrid and to be further developed within BalticGrid-II) to disseminate their achievements.

All Partners’ institutions should create their local web pages with some information on the Project:  these pages will be linked to the main BG-II website,  they should contain some general description of the Project, but also some info on Partners’ work in the BG-II: role, tasks, results, etc.
