StudentsAchieve Admin Council April 27, 2012

Today’s Topics Review process – John 1. Academic Code Tables 2. PSD Rubric 3. Focus Area Weightings 4. Mark Calculations 5. StudentsAchieve Software Updates 6. Report Cards 7. Maplewood 8. Comments 9. Reminders and Next Year

1. Academic Code Tables Request to have “+” and “-” levels for K – 8 ▫Rubrics already developed for four levels. ▫Rubrics would need to be 13 levels. ▫Focus should be on learning not the number crunching game. Current method to remain. “With Assistance” re-worded to be “Mostly Meeting” ▫New codes will be in effect for next year ▫ (EU, FM, MM, NY) Breaking the tie between two levels ▫Changed next year to default to the higher level Gaps not equal with the 13 levels ▫By design, and will not be altered

2. PSD Rubric 1 PSD Report for all subjects ▫Research supports individual reporting ▫Current method will remain in place. ▫Need to determine a more convenient data entry method PSD should be reported Term by Term ▫Request will occur PSD for non-instruction times ▫Terminology regarding transitions has been added PSD not required if comments supplied ▫Current structure to remain in place.

PSD Rubric PSD needs a fourth column ▫Labels changed to match the levels of the academic rubrics (NY, MM, FM) ▫New version available More indicators inside rubric ▫Some have been added, support document titled “Essential Questions for Students” provide clarity Online Learning Teachers with PSD ▫This can work for online teachers provided communication and collaboration is in place

3. Focus Area Weightings More than 5 for old curricula ▫Current templates will remain in place. “13 bins” ▫Request to be addressed below Outcomes Appear in Multiple Locations ▫Arts Ed, Phys Ed – we have paralleled and honoured the curriculum, no change ELA – Assess and Reflect is weighted too much ▫It is a Goal Area, as a result no change

4. Mark Calculations Cumulative vs Term by Term Most Recent vs Most Consistent Uncertainty regarding Most Consistent ▫K- 8 will be defaulting to Most Recent, with additional information being Most Consistent ▫Gradebook will still be cumulative in nature since outcomes and learning is all year long ▫9 – 12 will make use of scaling within outcomes ▫Focus Areas will continue to be weighted based on outcomes ELA – change to strands ▫Report card will show the respective strands for each of CC & CR, reporting will be unchanged

5. Software Updates from SA Professional Judgement Term to Term ▫Item scheduled, to be delivered before September Default to Current Term ▫Item scheduled, not before September, but during year, probably in place prior to Term 2 Chronological Assignment Order ▫Item scheduled, to be delivered before September Software Updates Tab ▫Item submitted for further review

Software Updates from SA Improved Student Reports ▫Item scheduled, to be delivered before September ▫Subject and Teacher Name added to all Assignment Edit Capabilities ▫Item scheduled, to be delivered before September Cross-curricular Assignments ▫Item scheduled, not delivered before September Improved Parent Portal ▫Item scheduled, to be delivered before September

6. Report Cards Size of report card ▫Only current classes to appear on report card 3 reports versus 4 reports ▫Current structure will remain in place Focus Area/Unit names to be more descriptive ▫Not possible, especially with old curricula Only show topics current to that term ▫Request will not occur, far too much work for Admin Asst to select fields

7. Maplewood Display both comments and marks at the same time Maplewood comment bank should transfer to SA View all comments for a student ▫Very difficult or impossible to change Maplewood Verification Process ▫Support documents to be developed prior to Term 1 reports Online Teachers ▫We understand the difficulties, but cannot promise alterations to their processes

8. Comments Too many comment boxes Term 1 & 3 comments not required No need to personalize comments Comment boxes for both PSD & Academic More space for the comments ▫Comments will continue to be required on a subject by subject basis, with the emphasis on personalization ▫More space will be provided – this does not imply teachers must utilize the entire space

9. Reminders Teachers are to have ALL marks and comments completed prior to the deadline – no exceptions When the export is proceeding all staff must stay out of SA and MW – no exceptions Linda will reinforce with schools times to stay off of system and when staff can re-enter system Admin Asst will need to collect attendance, if required in June

Verification Process Complete all marks and comments prior to deadline. Print a SA class summary report of marks prior to the export – done within SA Following the export compare printed marks with marks inside MW. No need to print these MW marks and comments Make any necessary alterations inside of MW and SA Following staff verification – print report cards

StudentsAchieve Deadlines – Term 4 K- 6 & White Fox Marks & Comments Due ▫June 26, 8:00 am Results Ready of Review ▫June 27, 8:00 am Reports Distributed ▫June 29, 9:00 am Marks & Comments Due ▫June 27, 4:30 pm Results Ready of Review ▫June 28, 11:00 am Reports Distributed ▫June 29, 9:00 am K-12 & High Schools

Next Year’s P.D. Convention – 2 Sessions ▫1. New Teachers ▫2. General session highlighting updates Fall Tour – Secondary Schools (Aug 27, 28, 30) ▫John and Mark will schedule a visit to these facilities for approx. 1 hour to showcase how the grades will be calculated and the parent portal Fall Tour – Elementary Schools ▫Sessions can be provided at staff meetings to provide assistance with new features, such as parent involvement portal Data Entry Timeline ▫October 1 st will be a deadline for all teachers to enter a minimum of one assignment (Academic or PSD) to ensure templates are operational and correct prior to the first report card

Questions During the export process, is it necessary to keep parents off of the system? During the verification process when traffic is high, is it necessary to keep parents off of the system. ▫We are currently investigating solutions to these questions.
