Customer Class Maintenance

Customer Class Maintenance GL Accounts

Customer Class Maintenance tools → setup → sales → customer class Explain the concept of classes and how they are used to “group” customers with like characteristics. The information entered for the class will make entering individual customer records easier and faster. Using classes also allows for a method of “mass updating” customer records. Changes can be made to the class, and those changes can then be “rolled down” to customers assigned to the class. If all customers are basically the same (i.e. one group) it is still beneficial to set up one class to be used when setting up customer cards. The default class will be used when setting up new classes. Remember that this information can be changed when setting up individual customer records if necessary.

Customer Class Maintenance tools → setup → sales → customer class Balance Type Review the differences between open item and balance forward balance types. Minimum Payment The minimum payment amount entered here will be printed on customer statements. Credit Limit Explain how to use the expansion button to enter the specifics of when the credit limit warning message will appear. If a credit limit password was entered in Receivables Management Setup, the password will be required before a transaction can be entered that exceeds the customer’s credit limit.

Customer Class Maintenance tools → setup → sales → customer class Writeoff Explain what writeoffs are and how they are used in Dynamics. If a maximum applies, enter the amount here. If a writeoff password was entered in Receivables Management Setup, the password will be required before an amount can be written off. Trade Discount Trade discounts are discounts that are automatically given at the time of the sale. They are in addition to any payment terms discounts offered. Maintain History Review the history options and what each option provides in terms of reports and inquiry windows.

Customer Maintenance cards → sales → customer Customer ID and Name Explain how the short name and statement name are used. Address ID Use the Customer Maintenance Address window to enter multiple customer addresses. Be descriptive when assigning the ID (consider including state and city in the code so it is easy to determine which address is associated with the ID). Customer Account Maintenance These accounts will default from the class if the customer was assigned to a class. These accounts will appear as the defaults when entering transactions for this customer. If posting accounts are not entered in this window, the accounts that were set up in Posting Setup will be used instead.

Salesperson Maintenance Sales Territory Maintenance Explain how sales territories are used in Dynamics. At least one sales territory must be set up in order to use salespeople. Salesperson Maintenance Salesperson records are used to track commissions for calendar and fiscal years, and to keep historical information for each salesperson. Salesperson ID The salesperson ID does not have to be the same as the Employee ID. Employee ID If using Payroll, enter the employee ID. The employee ID will print on the Salesperson Commission Summary report which will make entering commission transactions in Payroll easier.

Customer Maintenance Options cards → sales → options Much of the information on this window defaults from the class.

Customer Account Maintenance cards → sales → accounts These accounts will default from the class if the customer was assigned to a class. These accounts will appear as the defaults when entering transactions for this customer. If posting accounts are not entered in this window, the accounts that were set up in Posting Setup will be used instead. For sales invoices, the GL account numbers will be drawn from the inventory items.

Professional Service Tools We use the RM Master Trigger function to copy the customer info to other databases The customer modifier lets you change a customer number The customer combiner combines customer info if you mistakenly enter a customer twice You can also use these tools to change customers and sales territories The RM Transaction Unapply function backs out historical transactions into the open receivables file if you made a mistake in applying a payment.
