Tracking List Workflow Provider Check-In/Check-Out From the Provider tab, click in the Availability Indicator Column to open the Provider Check-in window. To indicate you are available for assignments, click on Available Provider in the bottom left corner. To check out, deselect the Available Provider checkbox.

Tracking List Workflow Provider Check-In/Check-Out Based on your security, from the Provider Check-In/Check-Out window you can select a color to be associated with your name on the tracking list. Include: Provider Role Default Relationship Click ‘Associated Provider Color’ to select a color to display with your name/initials on the ‘Tracking List’. (optional) Check ‘Available Provider’ to mark yourself available to take patients Check ‘Available Reviewer’ to review orders (if applicable)

Tracking List Workflow Provider Check-In/Check-Out

Tracking List Workflow Patients can also be reassigned to other providers from the Provider Check-in window. Select Reassign Provider. Select the correct provider from the dropdown list. Click the names of individual patients to assign or Click Assign All. When finished, click OK.

Tracking List Workflow Pre-Arrival When notified by an EMS or referring physician that a patient is en-route to the Emergency Department, a pre-arrival form can be completed to place the patient on the tracking list and reserve a room for them prior to their arrival. Click on the Telephone Triage toolbar button to open the Pre-arrival form.

Tracking List Workflow Pre-arrival Location is a mandatory field on the pre-arrival form. Click on the drop down menu in the location field for a list of choices. Waiting Room may be selected if you do not know the location.

Tracking List Workflow Physician Call Back If the referring physician requests a callback regarding their patient, it can be indicated on the pre-arrival form in the Call Back Needed field. The designated staff member will then indicate this in the Call Back Needed column on the tracking list.

Tracking List Workflow Pre-Arrival Patients in a pre-arrival status will be highlighted on the Tracking List.

Tracking List Workflow When a pre-arrival patient arrives and is registered in registration system, they will display again on the tracking list. Right click on their name and select Attach Pre-Arrival from the drop-down menu. Highlight the patient name on the resulting screen and click Attach. The Pre-Arrival form will then be attached to the patient’s record and available for viewing in the documents tab in eKiDs PowerChart. Tracking List Workflow

Tracking List Workflow Modifying or Detaching a Pre-Arrival Form After a pre-arrival form is attached, it can be modified or detached if needed. Right click on the patient’s name on the tracking list and select Modify or Detach Pre-arrival from the dropdown menu. If you chose Modify, the pre-arrival form will open and you can make the necessary modifications. If you chose, Detach, you will get a message advising that any clinical note attached to the pre-arrival will be marked as “in error” in eKiDs PowerChart. Click Yes to “in error” the note in eKiDs PowerChart.

Tracking List Workflow A description of events and their statuses can be viewed by right clicking on the Events column to open the Events window. Events can also be requested, started, completed and canceled from this window. It can also be determined if the event was User or System generated.

Tracking List Workflow Assigning a Patient to a Bed A patient’s location can be assigned and tracked by the Bed column on the tracking list. Typically, a patient’s initial location will be the WR (Waiting Room). Double click in the Bed column to open a list of available beds. If a patient is already assigned to that bed, a one (1) will display beside the bed number indicating that bed is occupied. Highlight a bed to assign it to the selected patient.

Tracking List Workflow When a patient is assigned to a bed, Nurse and Physician Exam events will be triggered indicating that providers must be assigned for the patient. If a nurse is not assigned within 15 minutes, the event will become overdue as indicated by a yellow star. If a nurse is not assigned within 30 minutes, the event will become critical as indicated by a red star. If a physician is not assigned within 30 minutes, the event will become overdue as indicated by a yellow star. If a physician is not assigned within 45 minutes, the event will become critical as indicated by a red star.

Tracking List Workflow Double click on the Att or RN Column to open the assign Providers window. Click on the downward facing triangle to open a list of available providers for that category. Highlight their name and click OK to assign the Attending Physician or Nurse to the selected patient. You can also assign Residents from this window. To assign yourself to a patient, click on the person icon on the toolbar. To unassign yourself, click on the person icon with a line through it.

Tracking List Workflow Acuity Column You can determine the patient’s acuity level that was assigned during the triage process in this column. Acuities are color coded. Level 1 is BLACK Level 2 is RED Level 3 is YELLOW Level 4 is Purple Level 5 is GREEN. Level 1 is the most acute and Level 5 is the least acute.

Tracking List Workflow Completing Events As events are completed, their corresponding event icon will drop from the tracking list. For example, the icon that indicates a nurse needs to be assigned to a patient, will drop from the events column once a nurse is assigned. The only event left for this patient is isolation precautions as indicated by the black triangle icon. Double click in the Events column to open a quick flow sheet and access more information.

Tracking List Workflow With the patient’s chart open, you can view and manage information related for your patient such as tasks, orders, medications etc. Note: The view and functionality will differ based on your security in FirstNet

Tracking List Workflow Printing Patient Educational Materials Click on the Print button to print the materials. Click the icon beside Pt ED printed to indicate the materials have already been printed to prevent duplication.

Tracking List Workflow Manually Placing a Patient on the Checkout Tab In situations where you find a patient has reappeared on the Tracking List after discharge, you can manually put them on the Checkout tab by using the following steps: Click in their Bed column and assign them to CHKT (checkout). Enter a discharge disposition. Clicking OK will finalize the process and make the patient appear on the Checkout Tab.

Tracking List Workflow Admitted Patients When the decision is made to admit a patient an icon depicting a hospital will appear on the tracking list in the Events column. This will alert staff to start necessary admitting processes and will explain why the patient is still occupying a room.

Tracking List Workflow Admitted Patients When the patient leaves the department, the RN can move them to Checkout. When the visit is finalized in the registration system, they will be removed from the Checkout tab. After two hours, the admit event will be come critical and display a red star indicating the patient has been waiting to be admitted for at least two hours.

Tracking List Workflow Finalizing a Visit When the depart process is completed on a patient, they will be placed on the Checkout tab and will be removed from all other tabs. The final step in the tracking list workflow will be to finalize the visit in Eclipsys. This will remove the patient from the Checkout tab and place them on the 72 Hr DC Tab.
