1 Lesson Nine: Epic Appointment Scheduling Referrals Reports

2 Epic Appointment Scheduling Referral Reports
Epic provides a suite of standard reports that helps you ensure patient records, insurance information and referrals are accurate and up-to-date. Epic Reports can be found via the Epic button and selecting the applicable category (i.e. Scheduling, Referrals, etc.)

3 Epic Appointment Scheduling Combined Registration Report
The Combined Registration Report can be used to alert you to possible trouble areas and keeps you one step ahead by verifying coverage authorization for your referrals. Access the Combined Registration Report by selecting the Epic button  Reports  Registration Reports  Combined Registration Report.

4 Epic Appointment Scheduling Combined Registration Report
You can view referral information or the status of the referral from the Combined Reg Report. If the Rfl Sts (Referral Status) field is blank, select the line item and choose the Referral button to view and edit the referral information.

5 Epic Appointment Scheduling Combined Registration Report
The referral must be assigned to the listed visit for the status to display on the Combined Registration Report. Once you return to the report, you may need to click the “Refresh” button to see the most recent update to the referral status. You can view all referral statuses except Expired.

6 Epic Appointment Scheduling Referral Indicator via the DAR:
The actual referral will not display on the DAR, on the Ref column. If this column has been added to your DAR, it will display a symbol (hand writing a referral), this indicates that a referral is assigned in Epic to the listed visit. You can access the referral to view detail by double clicking the selecting this symbol.

Access the Unauthorized Services Report by selecting the Epic button  Referrals  Unauthorized Services.

The “Settings” button has added features to allow you to create a report based on your needs, these include: Filter selections within the “Criteria” tab Available column selection fields within “Display” Addition of an “Appearance” tab Arrangement of fields within the “General” tab and the addition of “Additional Filters”

9 Epic Appointment Scheduling Unauthorized Services Report
If you have security you can select the “Settings” button from your activity toolbar to create new or select other unauthorized referrals reports. Once created you can make this report your default report, so that the settings screen does not appear unless you select it from Settings button.

10 Epic Appointment Scheduling Unauthorized Services Report
The Unauthorized Services report displays all the appointments that require a referral, but do not have one assigned or are assigned to a referral with the status open, pending, denied, canceled, or new request based on the date range, department, service area, and/or payors you specified in the report settings.

11 Epic Appointment Scheduling Unauthorized Services Report
You can use this report to assign referrals to appointments or update the status of the referrals that have already been assigned. Highlight the appropriate patient and click on the “Assign” icon on your activity toolbar.

12 Epic Appointment Scheduling Unauthorized Services Report
Select the appropriate referral and Assign to the appointment. If there is just one referral, Epic will automatically assign the appointment to that referral, if that referral is not for your practice, Unassign and create the referral.

13 Epic Appointment Scheduling User Productivity Report
The Productivity report allows you to track and monitor the productivity of your Referrals users. This report allows you to see: The total number of referrals processed by or pended to a user or group of users for the period you specify. A detail and summary of each referral processed, including information about the status of the referral, the actions taken on that referral and the diagnoses, procedures, payor and benefit plan associated with each referral. The parameters you use to run the report can be saved for later use, and can also be designated as public or private. You can generate this report by selecting the Epic Button. Then select, Reports  Referrals  User Productivity.

14 Epic Appointment Scheduling User Productivity Report
When you first open this report, it displays information for the User Productivity report settings that have been selected as the default. To use different settings, or change your default setting, use the Settings button at the top of the report.

15 Epic Appointment Scheduling Referral Source Report
The Referral Source report allows you to see: The number of referrals originating from a specific location, department, or provider for the date range, referral classes, and referral statuses that you specify. Detailed information for each referral found by the report.

16 Epic Appointment Scheduling Referral Source Report
The bottom section of the report displays a list the referrals returned by the report. The report columns and the general appearance of the report can be configured on the Display and Appearance tabs of the Referral Source Report Settings form. To sort the list of referrals click on a column header. The top section of the report contains general information about the selected referral. Click to view the Source Totals button to view the total number of referrals. Only referrals that have a referred by location or referred by department will display in the source totals view.

17 Recording Referral Source When No Referral
As part of your process for recording the referring provider when a referral is not required, enter the referring provider in the Referral source field. This information can be entered during check in or check out. For billing: In charge entry, you must enter the encounter form number for the referral source to pull in. If the Referral source is 995, you must jump to registration and view the new registration notes on the visit info form.
