Course Reimbursement Professional Staff Seaford School District

When do I apply? First determine when the course ends………. July 1 to September 30 – 1st quarter October 1 to December 31 – 2nd quarter January 1 to March 31 – 3rd quarter April 1 to June 30 – 4th quarter See next slide for dates….

Application Periods COURSES TAKEN AND COMPLETED APPLICATION PERIOD (When does the class end?) (Complete online application:) First Quarter Application: (send one Application for Prior Approval of Course/Workshop Reimbursement) July 1 -September 30 June 1st – June 30th Reimbursement: All receipts for First Quarter due no later than October 31st Second Quarter October 1- December 31 September 1st – September 30th   Reimbursement: All receipts for Second Quarter due no later than January 31st  Third Quarter January 1- March 31 December 1st – December 31st All receipts for Third Quarter due no later than April 30th  Fourth Quarter April 1 - June 30 March 1st – March 31st All receipts for Fourth Quarter due no later than July 31st  

How do I apply? Remit an online “Application for Prior Approval of Course/Workshop Reimbursement” form in the correct quarter. Dates of the application period are strictly enforced.

How do I know that I have been approved? After the application period ends, you will receive an e-mail.

I’ve been approved. How do I get reimbursed? After you have successfully completed the course, send the following: 1. Grade slip – must be “B” or better. 2. Proof of payment – must show account being paid – not pending balance. 3. Two completed electronic reimbursement forms with name, address, and signature completed. Vendor form must be completed online.

What is the deadline for sending in reimbursement materials? First Quarter – October 31 Second Quarter – January 31 Third Quarter – April 30 Fourth Quarter – July 31

When will I receive payment? Your first payment will be directly deposited soon after being remitted to the Human Resource Office. This amount is usually $450. Should this amount be less, you will receive a memo upon receipt of your application for prior approval.

When will I receive my second payment? The second green reimbursement form will be held until after the close of the course application period. First Quarter – after October 31 Second Quarter – after January 31 Third Quarter – after April 30 Fourth Quarter – after July 31

Items to be sent for reimbursement X 2 + Below is important information for any employee who needs to be reimbursed for an approved expenditure (such as tuition or course reimbursement, etc.). Please note that there is a delay at the State level (approximately 1 week at this time) for processing the W-9 form.   The State of Delaware has implemented a new employee vendor form and process for employee reimbursement.  The form requires the bank routing and bank account number for the account where payments are to be deposited.  Attached you will find an example of where on your check to find this information. Please go to https://w9.accounting.delaware.gov/EmplVndrForm.aspx.  Complete the secure form, read the certification and agree to the terms of electronic submission, and submit the form by clicking the “Submit” button.  Thank you. + Name, address, and signature
