2 Quarterly Reports Quarterly Reports are due by the 10 th working day of: January (October, November, December) April (January, February, March) July (April, May, June) October (July, August, September) The Due Dates are posted on the FAI system – at the end of each quarter (example if you look in the system on October 1 st you will see the due date of the report)

4 Quarterly Reports After logging on to PDE website – Go to the FAI webpage:

5 Quarterly Report Quarterly Report Status – Due, Not Due, Report Imported Shows Project Number Project Name Project Dates

6 Quarterly Report Quarterly Report Status – Due, Not Due, Report Imported Click on “Quarterly Report Due” and the following page appears and you will begin to fill in the sections.

8 Content of Quarterly Report Part I – Filled by PDE Grantee Information – School District/IU Name Address Quarter Ending Program-Project Number Approved Project Amount Monthly Payment Amount

9 Content of Quarterly Report Part II – Line by Line 1. Total Cash Received – Filled in by PDE – but need to verify that you have received the money 2. Total Cash Disbursed – You will need to fill in this number and it is for the time period if the Quarter Ending is March – the expenses go through the end of March

10 3. Cash on Hand – Filled in by PDE – it is subtracting the amount that you have spent from what has been received 4. Scheduled Monthly Payment – Filled in by PDE Content Of Quarterly Report

11 Content of Quarterly Report 5. Cash Available (Line 3 Plus Line 4) – Automatically Filled in 6. Estimated Cash Requirement for the Month of: (April, July, October, January) – You need to estimate what you will be needing in the coming month. This allows PDE to see if they need to accelerate or slow your payments

12 Content of Quarterly Report 7. Status of Cash (Line 5 Less Line 6 ) – This is automatically calculated. Part III – Do you have extraordinary cash needs? If you answer “yes” you will need to have an explanation.

13 Content of Quarterly Report Part IV – Certification: I certify that this report is true and correct to the best of my knowledge You will tab on each of the areas and you will be asked the question above.

14 Content of Quarterly Report After Part IV is complete there will be a tab that gives you the opportunity to submit the report. When you submit the report it will tell you one of the following: 1. Your monthly payment from PDE will be on time 2. Your monthly payment will be accelerated (not enough cash on hand) 3. Your monthly payment will be suspended (too much cash on hand)

15 Quarterly Report Submitted Once you have submitted the report someone in the school district needs to transmit it to PDE the person filling in the form isn’t the person transmitting it to PDE Once transmitted there should be a message that Quarterly Report Received – staging area waiting for the Comptroller’s Office Quarterly Report Imported – has been imported by the Comptroller’s Office
