Town Hall Meetings Pennsylvania System of care Partnership An informal public meeting that gives members of a community the opportunity to come together to discuss emerging issues and voice concerns. These meetings have a loose structure. Community members of all ages and backgrounds can participate, bringing their own perspectives and issues.

These meetings are open to the public so they can be challenging. Pennsylvania System of Care Partnership Town hall meetings - great way to have an informal meeting to share facts and opinions. These meetings are a good way to find out what people are thinking. These meetings are open to the public so they can be challenging. It is important to take notes when having these meetings.

Focus Groups Pennsylvania System of Care Partnership Groups of individuals brought together for a specific purpose. To get input from individuals with knowledge you are seeking

Task Force/Work Group Pennsylvania System of Care Partnership A task force is usually brought together to work on a specific issue. When the task is completed the group is disbanded. The group is brought together by an organization and will include individuals outside of the organization to work on the task assigned.

Ad hoc Pennsylvania System of care Partnership This is a type of committee. The group is brought together for a specific task. Ad hoc groups work within a defined time frame. When the Ad hoc group reports to the group that brought them together the group is dissolved automatically.

Committee Pennsylvania System of care Partnership There are two different types of committees. Standing and Ad hoc. Boards and Executive Committees do not always meet frequently. The way and organization achieves goals beyond approving action and policies is to create committees. Standing committees are usually created by the organization's bylaws.

Committees Continued Pennsylvania System of care Partnership It is important that members of a committee understand the need and purpose of the committee.

Advisory Boards’ Responsibilities Pennsylvania System of Care Partnership Advisory Boards’ Responsibilities Advisory Boards are brought together so that a group can benefit by seeking guidance and information from individuals who have an interest in the work you are doing. Advisory groups will have individuals with knowledge, experiences and skills around the work you are doing. Will believe in your Mission and Vision.

Advisory Board - Continued Pennsylvania System of Care Partnership Advisory Board - Continued Provides objective opinions. Can operate with bylaws May use Roberts Rules of Order for meeting structure.

Advisory Board - Continued Pennsylvania System of Care Partnership Advisory Board - Continued Usually have committees. May have term limits for length of time on advisory board. Are not responsible for hiring or firing of staff.

Advisory Board – Continued Pennsylvania System of Care Partnership Advisory Board – Continued Can help fundraise, but not required. Are usually unpaid. Can give input of qualification of staff, policies.

Governance Boards - Continued Pennsylvania System of Care Partnership Governance Boards - Continued The role of a not-for-profit board has three primary legal duties. Duty of Care Duty of Loyalty Duty of Obedience

Duty of Care Pennsylvania System of care Partnership Fundraising so the organization has money to operate Understand their job as a board member and be willing to donate time and or money. Take care of the not-for-profit by ensuring decisions are made that property or office space is in good repair. There are good employee policies in place The organization is following it’s mission and vision The hiring and evaluation of the Executive Director who is responsible for the day to day running of the organization

Duty of Loyalty Pennsylvania System of Care Partnership Make decisions that are in the best interest of organization; not in their own self interest.

Duty of Obedience Pennsylvania System of Care Partnership Make sure that the organization obeys the laws. 501C(3) Bureau of Charitable Organizations Make sure the organization operates ethically, and that the activities of the organization advances it’s Mission and Vision. While serving on the board any problems stays within the board. That board members promote the organization.

10 Basic Responsibilities of Not-for-profits Boards Pennsylvania System of Care Partnership 10 Basic Responsibilities of Not-for-profits Boards Determine Mission, Vision or Purpose Select the Executive Director Support and Evaluate the Executive Director Actively be involved in the overall planning Make sure programs are consistent with the organizations mission and vision.

Pennsylvania System of Care Partnership 10 Basic Responsibilities – Continued Ensures the organization has finances Helps develop the annual budget, and make sure financial controls are in place. Build a knowledgeable board (influence, affluence) Make sure there is legal and ethical integrity. Be willing to promote the organization in the community .
