Charge conference books, forms checklist you must use the conference forms for all materials! Even though the clergy worksheets are available—do not use! Please send all compensation numbers to the district office AA. We will complete and input the worksheets. This form will be sent to all clergy on September 13th. ALL compensation numbers are due to district office by October 16th! Note: accountable reimbursement policy is only applicable to those churches that do not currently have a policy in place.

Charge conference book order This is the checklist used by the salina district aa to ensure that all forms have been submitted for review by the DS. It is recommended that each pastor use this as their check list while working on the charge conference material.

Form 1-vision and goals/outcomes for 2018 (no changes)

Form 2-care of members & assets Churches will need to provide a copy of their insurance summary sheet OR renewal page! Note: if you participate in GP group insurance this is not required but helpful to have a copy at the District Office.

Copy of 2016 fund balance report

2018 local church budget estimated income and expenses for year - if ready for consideration. Otherwise, a draft budget must be included. Official budget must be approved by Church Council and submitted to district office no later than December 31st if not ready by charge conference materials deadline.

Parsonage review report-due to district office prior to charge conference! This is an annual report that is to be completed for all church owned parsonages, whether lived in by pastor or a rental. Be as complete & thorough as possible if it hasn’t been updated for a while. If these have been completed annually, you may complete lines 12-18 only.

Setting pastoral compensation 2018 minimums & insurance allowance $’s

Clergy worksheet--Numbers due by October 16th to district office!

Housing resolutions Did you know there is a worksheet available to help you determine the amount you may exclude from gross income? Go to wespath.org for this and other benefits information. A new resolution must be completed EACH YEAR to accompany the clergy compensation worksheet. Helpful hint: complete the housing resolution when your compensation is being decided/approved. You will be able to get signatures without trying to track down people!

Pastor continuing education plan This needs to be turned in with the charge conference materials. (a copy of this is in the packet you received when you arrived.)

Lay leadership/nominations report

Form 4 – laity contact information This must include address, a preferred phone number, & email (if they have one) If they do not have an email address please indicate this on the form! If possible, please highlight those positions that now have a new leader It is your responsibility to provide updated information to the district office for those positions determined after charge conference! (example-many churches elect their trustee chairs in January)

Form 5 – report of clergy NOT to be completed by pastors currently serving local church appointments. These are to be completed prior to charge conference—please send this form now.

Safe gatherings policy – new! Each church must adopt this new policy, which takes into consideration the recent action of annual conference on definitions - and more. To be adopted prior to the charge conference materials deadlines!

Start thinking now about the other deadlines: Appointive recommendation forms will be due by December 1st All church property deeds will be due by December 31st Year end ezra tables I, ii, iii are due by January 31st Pastoral leadership assessments due by may 15th

They do not just go into a file to never be looked at again: You have submitted all the materials for charge conference—what happens to all those forms? They do not just go into a file to never be looked at again: Form 1- is reviewed with what is reflected in vitals signs & will then be reviewed with table I year end reporting Form 2-insurance information is scanned, items 4 & 5 are shared with conference office, investments are reviewed with fund balance report Clergy worksheets, housing resolutions, umpip forms are scanned, saved & entered into the conference databases Form 4-all information is reviewed/added to conference database and scanned to district database Safe gatherings policy scanned for conference database and copy placed in each church folder in district office
