Research Publications Service (RPS) in Context

Research Publications Service (RPS) Data held in RPS will be used for: –Research Assessment Framework (REF) 2014 –To inform the Professorial Appraisal system (PAR) –To assist in the Senior Promotions process –Displayed in IRIS

Getting data into RPS Online searches –Data sources include Web of Science, PubMed, Scopus, arXiv, DBLP –Authors maintain their own search terms –Authors accept/decline their own records Manual entry –Typing –Import from Reference Manager, EndNote, BibTex, Google Books OnCite – i.e UCL’s legacy system

Information for RPS Administrators RPS administrators can “Impersonate” authors in their department in order to maintain their publications Authors may “Delegate” this task to any other UCL staff member Responsibility for maintenance of authors records always remains with the author.

Research Excellence Framework (REF2014) The REF is the successor the RAE as the UK-wide framework for assessing excellent research in all disciplines. Its purpose is: –To inform QR (quality related) research funding allocated by the four UK HE funding bodies* (approximately £2 billion per year annually) –Provide accountability for public funding of research and demonstrate its benefits –To provide benchmarks and reputational yardsticks *Higher Education Funding Council for England, Scottish Funding Council, Higher Education Funding Council for Wales, Department for Employment and Learning, Northern Ireland – UCL awarded QR funding worth £70m in

REF2014 Units of Assessment (UoA) The REF will be a process of expert review, with discipline- based expert panels assessing submissions made by Higher Education Institutions in 36 units of assessment (UoA) UCL will submitting in 31 of the 36 units of assessment Note: UoA does not always map directly to a department: –Some departments will report to more than one UoA –Some UoAs cover multiple departments See REF2014 website for more details

REF 2014 – Who is Eligible? Criteria: Category A Staff* –based on academic staff with at least 0.2 FTE contract at UCL on the census date of 31 October 2013 –primary employment function of either ‘research only’ or ‘teaching and research’ * “Category A” staff are UCL staff only

REF2014 – Who is included ? UCL Staff categories considered to be eligible by default are: –Professors, Readers, Senior Lecturers, Lecturers UCL Staff categories that are normally NOT considered to be eligible: –Research Associates, Research Assistants, Research Fellows,Teaching Fellows –Exceptions if they are acting as an independent researcher (Principle Investigator) on the census date of 31 st October 2013

REF 2014 – UCL Researchers? Communications: –All UCL staff considered eligible for REF2014 will receive an after Easter 2012 informing them of this and inviting them to disclose individual circumstances affecting research. Each member of staff will, at that point, be given access to the RPS REF module. –A process to identify the definitive list of all eligible staff at UCL is being conducted during the Spring Term 2012 by UCL’s REF Team in liaison with UoA leads and Heads of Academic Departments Contact if you need to ask a specific question regarding your own

REF 2014 – What to Nominate? Four nominated research outputs should be selected by each eligible researcher This number may be reduced where individual circumstances have affected research output during the assessment period: –Clearly defined circumstances, eg early career researchers, part time working, maternity/paternity/adoption leave, career breaks –Complex circumstances, eg long term sickness, disability, other complex issues Output volume may also reduced in certain panels where double-weighting of outputs is allowed Outputs must have first been published in full between 1/1/2008 & 31/12/2013

REF2014 – How to use RPS to nominate outputs Separate screen in RPS displays ‘eligible’ publications –i.e. first published between 1/1/2008 & 31/12/2013 Select 4 publications for nomination –More than four outputs may be initially requested for nomination by UoA leads so that a wider selection may be considered –Check/edit data if required within the nominated output list in the REF module –Selected records should be as complete as possible and MUST contain the DOI wherever available

Justification Statements Supporting information for internal review –Required for UCL internal use –Must be completed for all nominated outputs –100 words maximum for each output –Required for the UCL internal assessment review Text needs to explain why the output: –reflects excellent research –is appropriate to be considered as a candidate for submission

Justification Statements Support information for REF Panel –Requirements depend on the Unit of Assessment panel –Can be used for: requests for cross-referral requests to double weight an output additional info where required in the particular panel criteria abstract for output in languages other than English –NOT to be completed until the nominated output has been considered by internal UoA review

Check IRIS for HR related details and student supervision data Access RPS: –Verify that all pending publications have been accepted –Amend search criteria if necessary to retrieve any further publications that you would expect to see –Add manual records for any older publications that cannot be harvested –Select nominated outputs for consideration only when given access and instructed to by the UCL REF Team
