Project Status Enterprise Messaging Presentation Date

Project Overview Consolidate City & County Electronic Messaging Services Centralize Major Administrative Functions (e.g., backup, server upgrades) while delegating management of users within a department to local IT staff

Project History Early 2008: Sr. Staff Made Decision on 3 Points for future of –Use Web-based client instead of “thick client” –Move to latest Domino Release 8.5, Sametime 8 and external “kiosk” access –Upgrade out-dated hardware to consolidate servers into 2 redundant failover/DR system Mid-2008: COIT commissioned study to determine direction of enterprise –In Draft –DTIS decided on final hardware/software solution –Plan was to do phased rollout of client depts, with SFPD as a Proof of Concept (PoC)

Project Status Current status for NEW production system: –First physical iSeries in-house Configured with Domino 8, Sametime, Quickr Server currently fully populated as specifications –Second server in-house Clustered, failover server that will also serve as disaster recovery –External “kiosk” (non-VPN) access will be available –Clients: Web Client will be default Outlook, Notes 8 “thick” client will be options on departmental basis

Project Status Current rollout status: –DT migrated to new server (SFMail01) –Plan for CCSF Departments to be migrated in following order (tentative) DEM Elections Public Defender District Attorney Remaining depts left on OMP server (approx 25) Upgrade City Hall –Send out communication to departments with schedule –Provide training

Issues and Opportunities WAN Issues –1 SVN Issues Limited bandwidth between all client sites and 1SVN 1SVN not part of core network; not designed to accommodate high-data throughput required Issue is independent of , but is severely impacted by it.

Issues and Opportunities Backup and document retention –Current backup procedure exists and functions –Need to develop document retention system to work with backup

Action Items Work with DT WAN Team to determine amount of bandwidth available for messaging Work with DT WAN Team and client WAN groups to create a list of networks allowed access to 1 SVN DT WAN Team to work with SFPD & DPH and open ports from client to 1 SVN Develop true disaster recovery plan

Action Items Create training materials and set expectations for clients Distribute technical requirement specifications Regular communication with clients on project status
