Terminology E-monographs = Online monographic resources = Remote access monographic computer files: Resources containing text, sound, images, etc., found online which are not continuing resources, i.e., not serials and not integrating resources Providers = Aggregators: Entities responsible for making resources available online

Terminology Provider-neutral records = Aggregator-neutral records: Bibliographic records which emphasize recording information applicable to all equivalent manifestations or instances of a work with the same content found online; information specific to any one provider is generally omitted

Scope New provider-neutral cataloging policy changes the cataloging of online monographic resources resulting in fewer bibliographic records Those bibliographic records will omit details previously recorded in records for online resources No change to cataloging offline monographic resources such as CD-ROMs

Scope No change to the “single-record” option where some details concerning an online version can be added to its corresponding print version record New policy parallels the development and use of the aggregator/provider-neutral method in cataloging online serials and online integrating resources

New Cataloging Practice Create only one record to represent equivalent manifestations of a work found online That one record will represent all existing and future instances of the particular online monographic resource Use the provider-neutral policy even when there is only one instance of the work online Provider-neutral records are intended to be base records in the shared cataloging environment to which libraries can add information locally as needed

New Cataloging Practice Different online publishers, distributors, providers, digitizers, etc., do not matter Different file formats do not matter Different access restrictions do not matter Different URLs do not matter When the content is the same it’s all represented by one record

New Cataloging Practice Omit provider-specific information from the record representing an online monographic resource: No notes regarding providers and their named collections or series No added entries for providers and their named collections or series No notes regarding file formats No notes regarding access restrictions

New Cataloging Practice LCRI 1.11A for reproductions no longer applies: No need to determine whether the print and online versions were simultaneously issued or whether one preceded the other No need for reproduction notes Body of the description (fields ) should describe the online version

Exceptions DLF Registry of Digital Masters and other institution- specific digitization projects will continue to add the following notes to provider-neutral records with their MARC institution symbol in $5: Access restrictions notes (field 506) Reproduction notes (field 533) System requirements notes (field 538) Action notes (field 583)

Exceptions DLF Registry of Digital Masters and other institution- specific digitization projects will also continue to make 7xx and 8xx added entries specific to their digitization projects in provider-neutral records with their MARC institution symbol in $5

MARC Field Information Field 490 – Record series statements which are not provider-specific; record the ISSN for the electronic version instead the ISSN for the print version if both are available; otherwise, record the ISSN that appears in the item or the record being cloned

MARC Field Information Field 500 – Use “Description based on print version record” if cloned off the corresponding record for the print version, otherwise record the source of title per AACR2 chapter 9, but include an indication of which provider’s instance of the resource was used, for example: 500 Title from title page (NetLibrary, viewed Feb. 27, 2010).

MARC Field Information Field 776 – Do not use “$c Original” in 776; give the full citation and prefer use of the $i caption instead of a 530 note to indicate the availability of other formats, for example: $i Print version: $a Chadwick, Peter K. (Peter Kenneth), $t Borderline. $d London ; New York : Routledge, 1992 $z $w (DLC) $w (OCoLC)

MARC Field Information Fields – Use the series heading corresponding to the print version for a series that exists in print as well as online; in other words, do not supply a qualifier such as (Online) to differentiate the online version of a series from its print counterpart

MARC Field Information Field 856 – Don’t use $z for institution-specific information notes, e.g., “Click here” Field $3 may optionally be used to specify the name of the provider or collection; prefer to use it only when the domain name in the URI is not specific; in some cases OCLC will use it even when the domain name is clear—please do not remove it in those cases

Digitized Manuscript Material AACR2 rule 9.4B2 – Consider all remote access electronic resources to be published. Type code a should be used in place of code t Field 006 – Add 006 with the first position coded t Field 260 – Code as [S.l. : $b s.n. … if no other publisher information is available

Current Limitation Aside from online serials and online integrating resources, apply the provider-neutral technique to textual online monographs only within WorldCat. Additional guidelines will eventually be developed for online cartographic materials, scores, sound recordings, visual materials, etc.

Database Conversion WorldCat bibliographic records for online monographic resources will need to be made “neutral” via macros set-by-set, e.g., NetLibrary, ebrary, MyiLibrary, etc., beginning in January 2010 Duplicate Detection and Resolution (DDR) software will subsequently identify and merge most of the duplicate records which result

Conversion Issues No automated conversion will ever be complete Need to identify and convert records received via batchload; all incoming records may not be caught and completely converted You may convert master records where possible as needed for your cataloging You may also report duplicate records, especially those with differences that make them unlikely to be merged automatically
