Spring 2016 Testing Reminders April 8, 2016 Call-in toll-free number: (US) Conference Code:

WebEx Procedures  All phone lines will be muted  Send questions via chat to everyone 2

CBT Calibration  Selected schools must administer designated CBT subject first, completing as much as possible by Friday, April 15  If a calibration school in your district experiences difficulty completing this requirement (due to technical issues, etc.), contact our office immediately  Our office will receive a daily report from AIR indicating calibration participation and we will contact you if there appear to be issues with a selected school in your district 3

Calculators  FSA Calculator and Reference Sheet Policies (document on portal) FSA Calculator and Reference Sheet Policies  Can ONLY be used in FSA Grades 7–8 and FSA EOCs  Can ONLY be used in the correct session(s)  Sessions 2 and 3 for Grades 7–8  Session 2 for EOCs  NEW sign in the FSA test administration manual (NO calculators)  Session 1 of Grades 7 and 8 Mathematics and EOCs  NGSSS Biology 1 — four-function calculator allowed 4

Reference Sheets  Hard copies may be provided (for CBT and PBT)  Please ensure schools distribute the correct sheet  Ensure schools use the FSA Algebra 1 NOT NGSSS Algebra 1 (invalidation)  NO NGSSS GEOMETRY reference sheets may be used  Ensure all grade levels are correct  Copies must contain all information (nothing cut off) and be readable (not faded or smudged) 5

Work Folders/Worksheets  Use the correct version (FSA versions have the Testing Rules Acknowledgment)  Students use the same work folder for Sessions 2 and 3 for middle grades mathematics  Students can request more than one if they need it  Work folders/worksheets are not provided for PBT accommodations 6

Accommodations  Ensure that test administrators are familiar with the accommodations to be provided to each individual student  Care must be taken to provide a student with only the accommodations permitted for that student  Incorrect provision of accommodations may be cause for invalidation  Braille manipulatives for Grades 6–7 Mathematics and audio transcripts for Grades 4–10 ELA Reading are shipped from FDOE  We will provide return instructions for audio transcripts (do not include with NOT TO BE SCORED materials – will be returned to FDOE) 7

ELA Oral Presentation Instructions  Ensure test administrators administering FSA ELA Reading assessments to students with an oral presentation accommodation are familiar with what may be read aloud  Guidelines are available on the portal: FSA ELA Reading Instructions for Oral Presentation AccommodationsFSA ELA Reading Instructions for Oral Presentation Accommodations  If testing a group of ESE students together, ensure that TAs are aware of each individual student’s accommodations 8

CBT Resources  Help Desk Guidance document  Lists information for schools to have ready when they call/  Reference the Testing Irregularities troubleshooting flowcharts  Test Administrator User Guide, including Common Error Codes Test Administrator User Guide  Ensure there is a communication plan in place to deal with any technical issues within each school 9

Correct Secure Browser  Check the Secure Browser page to ensure schools have the latest version installedSecure Browser  iOS 9.3 and Chrome OS version 49 are now supported  It is especially important for schools who have not administered any tests this year (e.g., elementary) to check devices BEFORE testing 10

Re-open Test Requests  CBT user role (school assessment coordinator) can enter requests; Districts can approve the requests  Re-open a test is used if a student submits too early (not Restart — this request wipes out all previous responses)  Re-open a test session is used when a student needs to return to a previous session  If there are special circumstances where a student may need to complete a session on a subsequent day:  Ensure schools know to contact you immediately to discuss the situation  Districts must contact FDOE for guidance  ALL efforts must be made to complete test sessions on the day they are started 11

Assessment Viewing Application (AVA)  AVA is used to administer listening passages/ASL videos to students using paper-based accommodations in Grades 4–10 and Retake  Make sure paper-based ELA test administrators have the AVA user role assigned in TIDE  AVA User Guide provides step-by-step instructions on how to use the system AVA User Guide  An individual device with headphones for each student is ideal; if not available, speakers may be allowed to play the audio for an individual or group of students  Grade 8 has an audio passage in both Session 1 and Session 2. Ensure test administrators click “Next” in AVA on Day 2 to access the audio content for Session 2 12

Listening Item Sessions  See session information for audio passages below: Grade LevelSession(s) and Retake2 13

Grades 6–8 Mathematics  Schools should communicate to test administrators whether they are taking a short or an extended break between Sessions 2 and 3  TAs need to read script ahead of time and be aware of differences in procedures for breaks  TAs will approve Exit Session requests in the TA Interface when students are ready to move to Session 3 14

TIDE Accounts  Make sure users have access to TIDE and have the correct roles assigned before testing begins  Password resets can be handled at the login page or by calling the FSA Help Desk ( )  Ensure users check their spam or junk mail folders for automated messages from the Help Desk with account information 15

ORS Reminders  ORS can be used to check the testing status of students in each school  ORS shows the number of answered items when students are in a Paused status  The Test Completion reports run overnight and are up to date as of the previous day’s completion rates  Accountability participation rates are not calculated with information in TIDE/ORS 16

Incident/Irregularity Form   Use this form to document incidents/irregularities  As a reminder, if time-sensitive incidents/irregularities require an immediate FDOE response (e.g., if you need approval regarding allowing a student to re-enter a test session), please call FDOE first and then submit this form for documentation purposes  This form does not replace the form on the ShareFile site that is used to collect information about incidents that require district investigations and may require the involvement of the Office of Professional Practices (e.g., educator misconduct, security breaches) 17

PreID Labels  Please make sure that your schools understand the importance of ensuring that every TO BE SCORED test and answer book has a PREID LABEL affixed to the front of the book in the designated area, and that the label is not faded or wrinkled and includes all necessary information, including complete barcode  If books do not have labels affixed, school staff must print and affix On-Demand Labels (from TIDE) 18
