1 March Follow-15D & 16D How am I doing on 15D and how to get a jump on 16D

2 Aren’t we all this excited about EMIS/CTE reporting?

3 Questions, questions and more questions….Where do I go?? What do I do?? 15D How am I doing?  First things first…follow up reporting  Is it really that important?  How is this data used?  How do I know if I have it right? 16D – Get a Jump on it!  Can I start now?  Who should I include?  Who is responsible for collecting this?

4 First things First…15D Follow Up  Which students are included in the follow up?  For 15D, these were students that left school at the end of the 13/14 school year  Students must have been reported in 13/14 as having left school  This could be through graduation or drop out  Could also include students that left your school prior to 13/14 but not reported until 13/14 as having left secondary education (may need to go back up to 2 years, or more)  In the past this is based on multiple yearend (N) EMIS databases and Graduation (G) EMIS databases  Student must have been enrolled in an approved CTE Workforce Development Course  Students must have been marked as a CTE concentrator at some point  Does not include FCS or CBI programs  Follow up data collection timeframe is October 1 – December 31 (2014)

5 First things First…15D Follow Up (cont.)  Where is it?  ODE sends file to your ITC, who then loads into appropriate application  Most districts use the FFE (flat file editor)  File is usually available in February of the fiscal year  File created by ODE is based on YOUR reported data from N and/or G reporting  So verify that fields used to create this file are reported accurately, or student may not be included in the follow up file.  Update student follow up records in FFE  Extract file from FFE and load into VRF/Data Collector (flat file)  Run collection, prepare, preview and certify/submit

8 Update Follow Up records and submit data to ODE  Update each record in the Follow Up file  Select the appropriate response from each dropdown box on the student’s GV record and save  Once all records are updated, export data from FFE and upload file into Data Collector  In Data Collector select 15D EMIS manifest  Run Collection, Prepare,  May need to make corrections based of Level 1 Errors  Then go back to FFE and start all over  Rerun collections and prepare and review any remaining errors and redo process until satisfied with results  Preview and Certify/Submit from Data collector  Review reports (level 2 and Fiscweb) for verification of accuracy  Previously – STU_CTE_MAR_AGG & STU_CTEMAR_PERFORM (PDF & CSV)  Now ??

10 How is this data used? Is it really that important?  CTPD Performance Data/Measures (i.e. report card data) collected in CTE Follow Up Survey  15D data to be used for report card results in January/February 2016  Technical Skill Attainment measures (2S1)  March can be used to add late CTE Industry Assessment (GU) or Technical Assessments (GY)  These are normally reported at yearend (Now is A/Assessment reporting period instead of N/Yearend)  No need to report both times  GW Industry Credentials  Can be reported in D or G  Some GW records may count both as Industry Credential AND Industry Assessments (GY) Cosmetology license as an example…and should be reported on both  CTSO (Career Tech Student Organization) participation level

11 How is this data used? Is it really that important? (cont.)  Post Program outcomes (5S1)  Post Program Placement grade A thru F  Status known rate  Used to calculate post program placement grade on report card

12 Helpful tips!  Make sure that student was a concentrator  If incorrectly marked as concentrator and in follow up file, mark X for status known  Report correct program of concentration (yearend)  Verify that assessments align with area of concentration (prior to end of year reporting closes)  See Program Matrix and Assessment Matrix  Make sure that for Industry assessments you report BOTH the assessment and the credential if applicable  Report assessment in Yearend or March  Report credential in March only for now

13 16D reporting…Get a head start. What can you do to be proactive for 16D?

14 Things to do/have done…for 16D  Plan for your follow up  Get contact information from students before they leave at the end of the school year (14-15)  Communicate with students that you will be doing this in October-December  Have folder ready with Industry assessments that will also be used as Industry Credentials (Cosmetology license as an example)  Create follow up documents for person who does follow up  I do a merge file for my contact people/teachers that contains SSID, Program, name and phone numbers  One person at our district does High School follow up  Satellite programs/teachers do their own follow up.  Extract “expected” student data from DASL/SI using EZQuery and then merge with Follow Up form/Word document.  Give to teachers/staff by October 1 or shortly thereafter.  See Example on next page

16 What else do I need to know??  Communicate with all districts in your CTPD  Have meeting with districts to go over reports/questions  Their data/reporting affects your “district” CTE report card  Don’t be afraid to ask questions, even about ODE reports and their accuracy…  Know YOUR data! Communication and working together…that is what it is all about.
