1 Human Resources Green Impact - Project Structure Document purpose: this document aims to clarify the HR Division’s approach to the Green Impact Initiative (NUS), clarifying – project roles; structure; and principles. HR GI Project Structure. v1.01042015

2 Project Lead - Organise & chair team meetings - Allocate actions in agreement with team (including allocation to themself) - Monitor audit workbook and advise team on required activity peaks - Draft & issue divisional communications - Escalate issues and liaise with central scheme coordinator when required - Liaise with student support assistants - Update ‘Ideas Contribution Log’ when suggestions are provided by colleagues - Manage Leadership & Management team briefings & updates Project Team Member - Manage completion of allocated audit actions from end-to-end (see below) - Update department notice boards and confirm to Lead when communications are required - Update ‘Ideas Contribution Log’ when suggestions are provided by colleagues - Engage colleagues to continually promote action resulting from scheme - Manage service team briefings & updates Project Roles & Responsibilities

3 Team Meetings - Occur on a weekly basis (Fri) Communications - Occur on a weekly basis (Mon), although could be reduced in periods of lower output. Ad-hoc updates relating to specific activities also occur (e.g. Everest Challenge, FairTrade Raffle) Share Drive – A project share drive has been set-up which includes folders for: Audit Evidence & Docs; Scheme Key Dates; Online Workbook Guidance, Project Logs (see below) Logs – the team use the following logs: Audit Workbook – we have excel copies of the audit workbook which is used to monitor progress within Team meetings Ideas Contribution Log – we have an excel log of ‘green’ ideas contributed by colleagues, which we review and potentially implement (See ‘How it all works together’ below) Project Structure

4 Ownership – Team members manage audit actions end-to-end, which means they create a document or coordinate an event relating to the action; ensure the area noticeboard is updated; update the project lead when communications are required; manage uploads to the online workbook, ensuring a sufficient audit trial is in place. Consistency – through weekly meetings the team constantly monitor actions, completion dates are set and the team work hard to keep to these. Through use of the notice boards and regular weekly communications, the division is constantly kept up to date with regards to the hard work that is being undertaken. Contribution - We have an inclusive way-of-working, the team don’t just complete the actions in the prescriptive sense, they are pro-active and inventive, contributing variations and enhancements to the set action; the Team also log ideas from within the division, then action and communicate those which are viable. FUN! Whilst we are disciplined, we also value the core purpose of Green Impact and have fun taking positive steps to support this. Project Principles
