NWILL Conference September 16 and 17, 2004 The ClioAdvanced System and Electronic Document Delivery

Main Points The pieces of the system Staff workload reduction Patron convenience Technical requirements Pricing

Clio versus ClioAdvanced The Clio package includes only staff-use applications. The ClioAdvanced package adds the ClioWeb patron interface and its supporting components. Every ClioWeb site is a semi-custom application that blends in with the rest of your library’s website.

The components of ClioAdvanced The Clio staff-use applications Web server hosting ClioWeb site Patrons Ariel ® Clio Database OCLC, Docline, other libraries, etc. PDF files

For staff… Clio EDelivery is the only new piece, serving as the Ariel ® -to-Clio bridge. EDelivery is used a few times a day to import documents from Ariel ® and process them. EDelivery updates the Clio database, notifies patrons, and puts PDF documents onto the ClioWeb server.

…the payoff Ariel ® documents are matched to patrons, the patrons are notified of their arrival, PDFs are placed where the patrons can get them, and all other systems involved are updated. All this is a few seconds per document. Ariel ® processing goes from hours per day to minutes.

For Patrons… ClioWeb provides a seamless ILL portal where all patron interactions with ILL services can be accomplished via a unified authentication system. Patrons can see what’s happening with all of their ILL requests and pick up PDFs for those items that have arrived via Ariel ®. Patrons can also place new requests and renewal requests. ClioWeb can now also handle incoming OpenURL requests from services like EBSCOhost, SerialSolutions, WorldCat, etc.

Patron Authentication ClioWeb can often be nested inside an existing authenticated area of your library’s website. ClioWeb can perform its own authentication using campus-wide directory systems like LDAP or Microsoft’s Active Directory servers. Clio’s own database or any other data source available to your Web server can also be used.

What does it look like? ClioWeb is constructed in a modular way, making it easy to apply your own website’s look and feel to ClioWeb’s pages. Many aspects of ClioWeb’s features and behavior are controlled by a single settings file that contains explanations about what each setting means and what your options are. Extremely customizable – if you want it, ClioWeb can probably do it.

Linfield College Lives on a Linux server running ColdFusion 5 Operating with Web delivery of PDF documents for more than two years Custom ClioWeb site has the capability to manage patrons, databases and PDF files from two separate libraries

Wellesley Free Library A public library that serves as an ILL hub for hundreds of smaller libraries in the region ClioWeb site is used not by library patrons, but by staff at the smaller libraries Site hosted by an outside commercial ISP located about 80 miles away from WFL Authentication data supplied by state library board, also about 80 miles away

University of Illinois, Chicago Four libraries share a single ClioWeb site, three of which are medical libraries Windows Server 2003 running ColdFusion MX and MySQL A high-volume site with four databases serving 10,000+ patrons and processing around 100 PDF documents per day
